Overview

Software Unlimited School Accounting System is a K–12 finance platform centered on fund accounting, payroll, and purchasing. It suits district finance teams that need school-oriented accounting and reporting workflows; its choice of local or hosted deployment is useful, but platform constraints and custom pricing call for a fit check before committing.

Key features

The General Ledger brings activity and GASB 34 funds together, with customizable financial reports and state-specific annual reports. Alongside budget management and purchasing workflows, that gives districts a finance-focused system shaped around their accounting and reporting duties rather than a generic ledger.

Payroll handles tax and deduction calculations, absence tracking, and electronic time-card imports, with more than 80 standard reports. Accounts Payable supplies more than 40 reports, generates 1099s and purchase orders, and imports card transactions and invoiced assets. This broad coverage may reduce the need to split routine finance work across separate products, although the right module mix should be established up front.

Human Resources, Negotiations, Accounts Receivable, Web Link, Fixed Asset Inventory, Report Writer, and Census are optional modules. API integrations are offered with Intellinetics and MyBenefitsChannel; export and import connections include Time Management Systems, Frontline Education, Greenbush Time Tree, Higher Standards, Red Rover, and KEV School Solutions. These connections can help districts incorporate selected adjacent workflows, but the breadth of the list does not establish that every district’s particular systems are covered.

Licensing includes unlimited updates, scheduled training, and customer support at no additional cost. Support is available by toll-free phone or email, and the vendor says more than half of calls are answered by a live representative. For the hosted option, the vendor handles hosting, updates, and backups, while users must enroll in multi-factor authentication. Those services are useful for districts that want vendor-managed upkeep, but should be weighed against the local option’s database and operating-system requirements.

Pricing

The School Accounting System has custom pricing, with a 30-day trial. It can be installed locally or hosted, and add-on modules can be licensed as needed. This modular approach gives districts room to select additional functions rather than assume they need every module, but buyers should request a quote for the core system and the modules their workflows require before comparing total cost.

Platforms

The product is described as hybrid, with local installation and hosted deployment options. For onsite use, the configuration guide specifies Windows 10 or 11. The download includes SQL Server Express, capped at a 10 GB database; SQL Server Standard or Enterprise is an option for larger databases. Districts with growing records or an existing database standard should account for that difference when choosing deployment.

For hosted use, the guide supports Windows or macOS 14 or higher and excludes Chromebooks. Hosted mobile access requires iOS 26 or higher or Android 16 or higher on phones and tablets. Although the product’s platform range includes Android, iOS, macOS, web, and Windows, the deployment-specific requirements matter: a Chromebook-centered district or one with older mobile devices may not be a fit for hosted access.

Who it's for

This is aimed at K–12 district finance teams that need fund accounting, state-oriented reporting, payroll, accounts payable, and purchasing in one school-focused system. It is a stronger candidate for districts prepared to choose between local database management and vendor-hosted operations than for organizations seeking a broadly specified, platform-agnostic service.
