Overview

Microsoft OneNote is a digital notebook for collecting ideas, organizing projects, and keeping reference material together across devices. It suits people who want typed notes alongside handwriting, shared work, or Microsoft 365 tools. Its breadth is appealing, but extended offline use has a meaningful ceiling.

Key features

OneNote combines typed notes with digital ink for sketching, annotating, and highlighting. That makes it a natural fit for people who move between written reference and pen-based notes. Voice transcription offers another way to capture material for later review, while Copilot can draft plans, suggest ideas, create lists, and organize information.

Notes can be shared and edited collaboratively in real time, which supports team notebooks as well as personal reference. Teachers can organize lesson plans in searchable notebooks and create shareable libraries. Connections include OneDrive, SharePoint, Microsoft Graph, Zapier, Salesforce, Trello, Basecamp, Wufoo, Twitter, and Feedly.

Feature availability varies by device, language, platform, and operating system, so the same experience should not be assumed everywhere. OneNote also depends on internet access for installation, activation, account management, and OneDrive documents. After 31 days without internet, apps enter reduced functionality mode and cannot create or edit documents; that makes it a poor choice for extended periods without connectivity.

Pricing

A free plan is available. For users who need more than the free option, the paid plans bundle OneNote with Microsoft 365 benefits, so the choice depends on how many people need access and whether cloud storage or AI features matter.

Microsoft 365 Personal: 9.99 USD per month, billed monthly, for one person and 1 TB of cloud storage. It is the straightforward paid option for an individual who wants storage and simultaneous use on up to five devices.
Microsoft 365 Family: 12.99 USD per month, billed monthly, for 1 to 6 people and up to 6 TB of cloud storage, 1 TB per person. It suits households sharing the subscription rather than someone who only needs OneNote for themselves.
Microsoft 365 Premium: 19.99 USD per month, billed monthly, includes Microsoft 365 productivity apps including OneNote and AI features. It is aimed at readers who want the broader app bundle and included AI capabilities.
Office Home 2024: 179.99 USD per once for one PC or Mac. This is a one-time purchase option for a single computer rather than a monthly subscription.

Microsoft 365 monthly plans include a one-month free trial. Subscriptions automatically renew unless canceled in the Microsoft account, so trial users should account for renewal. The free plan is the sensible starting point when paid storage, bundled apps, or Premium AI features are not needed.

Platforms

OneNote is available on Android, iOS, macOS, the web, and Windows. Mobile apps are available for iOS and Android. Microsoft 365 Personal supports use on up to five devices at once, though app availability and features can vary across devices and operating systems.

Who it's for

OneNote is a strong fit for people who want one place for typed notes, pen input, voice capture, and shared notebooks, particularly when Microsoft services already form part of their workflow. It also suits teachers who need searchable lesson-planning notebooks and shareable libraries. Readers who regularly work offline for more than a month should look elsewhere: after 31 days without internet, editing and creating documents are disabled.

Pros and cons

Pro — Flexible capture: Typed notes, digital ink, and voice transcription cover different ways of recording information.
Pro — Collaboration and integrations: Note sharing, real-time collaboration, and connections to services such as OneDrive, SharePoint, Zapier, and Trello support shared workflows.
Pro — Multiple subscription scales: Personal and Family plans distinguish individual use from household sharing, while Family includes up to 6 TB of storage.
Con — Offline work is time-limited: After 31 days without internet, apps cannot create or edit documents, despite offline access being supported.
Con — Paid plans are bundles: Readers who only want notebook features may be paying for Microsoft 365 storage or productivity apps they do not need.
Con — Platform differences: Features can vary by device, language, platform, and operating system, which may complicate workflows spanning devices.

Alternatives

For a broader comparison, browse Note-taking apps or AI Note-Taking Apps. Consider Notion for its free plan with pages, blocks, databases, and basic collaboration for personal projects. Joplin is another freemium option with a 14-day trial on its Basic plan. Notesnook offers a free-forever plan with 50 MB storage per month and a 10 MB maximum. Zoho Notebook has a free Essential plan with 500 MB cloud storage, 20 note versions, and a 3 MB maximum notecard size. Obsidian is worth considering for its Sync Standard plan, priced at 5.00 USD per month billed annually, with one synced vault and 1 GB total storage. Goodnotes has a free plan capped at three notebooks, three text documents, three whiteboards, and 100 MB storage. Craft offers a free plan with 1,500 blocks and 1 GB storage. Logseq is free for personal use.

Verdict

Choose OneNote if you want a cross-platform notebook that brings typed and ink-based notes, transcription, and collaboration into one workspace, especially alongside Microsoft 365. Its clearest reason to look elsewhere is prolonged offline work: the 31-day cutoff can stop editing and creation when you need them most.
