Overview

Planon brings property portfolios, workplace services, maintenance, and energy and sustainability management into one IWMS. The emphasis is on connecting buildings, people, processes, and building technology rather than solving a single facilities task. That makes it a plausible fit when teams need shared operational context across real estate and facilities, but more system than a team seeking only work orders or basic asset tracking.

Its real-estate tools span portfolios, leases, invoices and cashflow, transactions, and capital projects. Asset and maintenance functions range from reactive work orders to preventive and predictive maintenance, with lifecycle, vendor, warranty, safety, inventory, procurement, and inspection checklist capabilities. This coverage is useful for organizations joining daily service work to longer-term property and asset decisions.

Key features

Workplace and mobile access

Employees can book desks and rooms, request services, and view workplace information through the Planon Workplace App. Workplace capabilities also include visitor management, CAD integration, and move management. Core, Advanced, and Enterprise tiers are described; Advanced adds workplace sensor integration and insights. Sensor data can make space planning more informed, but organizations should weigh that against the added tier and implementation scope.

The mobile offering includes Workplace App, Mobile Field Services, Mobile Asset Manager, and Mobile Condition Assessor. This gives employees and field staff mobile routes into workplace and asset processes, rather than limiting the system to office-based administrators.

Integration, hosting, and support

Planon describes an open platform for third-party products and building technology, including REST API integration tools, and a Marketplace of add-on apps and connections to building and business systems. That breadth can help fit an existing technology environment, though the relevant integrations should be confirmed for a specific deployment.

The cloud service uses Amazon Web Services technology and automated updates and releases. Planon also identifies AWS and Microsoft as hosting providers for Planon Live SaaS, with the customer environment location agreed in the Order Form. Premium Customer Support includes request handling, a designated consultant, and proactive system health checks; the customer portal provides updates, documentation, and service requests around the clock.

Planon says Planon Universe SaaS has ISO 27001, ISAE 3402 Type II, and SOC 2 assurance information in its Trust Center, alongside independent audits. Those assurances apply to selected services; other services receive Planon’s standard security and data-protection baseline. Buyers should establish which services and hosting arrangements apply to their intended use.

Pricing

Planon is paid, with custom pricing rather than a published price. Prospective customers are directed to request a demo, so organizations should expect to discuss their requirements before assessing cost. The Planon Workplace App offers a free 14-day trial, a limited way to assess that app rather than evidence of a free IWMS plan. No seat or usage caps are stated for the trial.

Platforms

Planon supports Android, iOS, web, and API access. Its cloud deployment and mobile apps suit organizations combining central workplace administration with employee and field access.

Who it's for

Planon is aimed at organizations managing workplace, facilities, and real-estate operations, including higher-education institutions through its integrated campus solution. It is strongest where portfolio, space, maintenance, assets, and building systems need to work together. Smaller teams looking for a narrowly focused maintenance tool may find its broad IWMS scope unnecessary.

Pros and cons

Pro: Real estate, workplace, maintenance, and sustainability functions sit within one IWMS, supporting coordination across property and facilities teams.
Pro: Multiple mobile apps cover employee bookings and requests as well as field service, asset management, and condition assessment.
Pro: API, Marketplace, and partner integrations provide routes to connect building technology and business systems.
Con: Custom pricing means buyers cannot compare a public rate or estimate costs without engaging Planon.
Con: Security assurances cover selected services, so organizations must verify the scope relevant to their deployment.

Alternatives

For a facilities-focused shortlist, start with Facilities Management Software; for teams centered on maintenance workflows, compare Work Order Management Software. Property operators can also browse Commercial Property Management Software.

Spacewell is another paid option on Android, iOS, web, and API; its Workplace Ultimate, Energy Ultimate, and Asset Ultimate offerings make it worth comparing when those domains are the priority. Choose Fiix instead if a free maintenance starting point matters: its free plan includes 25 active PMs, work orders, downtime tracking, and asset management, with limited users. MaintainX also has a free Basic plan with unlimited work orders and procedures and unlimited requester users, making it a fit when those maintenance workflows matter more than a broad IWMS.

Facilio, FM:Systems, eFACiLiTY, QFM, and ServiceChannel are other paid options to compare.

Verdict

Choose Planon when your organization needs real estate, workplace, asset, and maintenance operations connected in a single IWMS, with mobile access for both employees and operational teams. Its breadth and integration options are the case for it; custom pricing and service-specific security scope are reasons to look elsewhere or verify fit before proceeding.
