Overview

Procare is childcare-program software for handling enrollment, family communication, attendance, billing and lesson planning. It suits providers who want those administrative tasks in one system, particularly programs that need support across multiple center types.

Its broad program coverage is balanced by an important caveat for in-home users: classroom management is unavailable on the home version.

Key features

Enrollment management and family communication sit alongside attendance tracking, contactless check-in, billing, tuition collection, payment processing and reminders. That breadth can reduce the need to coordinate separate tools for core administrative work; lesson planning adds an educational function beyond operations.

RoomRunner uses AI-assisted planning to match families with available seats and plan openings and room transitions. It is aimed at programs managing enrollment and space across rooms, rather than being a general-purpose classroom feature.

The Child Care App extends the product to mobile. Procare also lists integrations with Checkr, Gusto, IntelliKid Systems, Learning Beyond Paper, Listen360, QuickBooks and KidKare. Setup, installation, ongoing help, training and a support portal are provided, and the company has a Trust and Security resource area.

Pricing

Procare is paid, with general pricing available on request. The Procare home version costs $25 per month, billed monthly, and is aimed at smaller centers and in-home daycare providers. The key trade-off for in-home providers is that classroom management is unavailable, so this price does not buy the full classroom-management scope.

There is no free tier. Procare is trusted by over 40,000 child care businesses nationwide.

Platforms

Procare supports web, iOS and Android, with a Child Care App for mobile use.

Who it's for

Procare serves daycare, preschool, Head Start, ECE, in-home, multi-center and other youth programs. Its combination of enrollment, billing, attendance and planning makes it a strong fit for organizations seeking broad operational coverage, including those handling room transitions and seat matching.

Smaller centers may find the monthly home version a fit, but in-home providers who need classroom management should look elsewhere or confirm whether another configuration meets that need. The company was founded in 1992 and is headquartered in Denver, Colorado.

Pros and cons

Pros

Broad administrative coverage: enrollment, communication, attendance, billing and lesson planning are included, making Procare relevant to programs looking to consolidate core work.
Planning support for room capacity: RoomRunner addresses openings, transitions and matching families to seats.
Implementation and support services: setup, installation, ongoing help and training can assist programs adopting the system.
Mobile and integration options: web, iOS and Android support, plus a range of named integrations, suit programs with varied workflows.

Cons

Home version lacks classroom management for in-home users: that limitation may rule it out for providers who need classroom tools.
No free tier: there is no free option for programs wanting to start without a subscription.
Most pricing requires a request: buyers cannot compare the general offering against a published price without contacting Procare.
Trial and refund terms are unclear: buyers should establish the terms before purchase.

Alternatives

Choose Kangarootime if a free plan matters: it covers one program, one school and five staff members, while Premium supports up to 10 schools and unlimited staff.

MyKidReports is worth considering for a free start; its MKR Lite plan is free forever for up to five children and includes one staff account and one room.

For nurseries with up to 30 registered children, BloomKidz has a £24.99 per month plan; its 31–50 children tier costs £34.99 per month.

Brightwheel is another paid option, with custom pricing based on program information.

Consider Xplor Education if its OSHC or Xplor One package structure fits your needs; prices are not provided.

QikKids offers free-plan access and Playground tiers organized by places, with prices not provided.

NestliCare is a free alternative with unlimited children and staff and no paid plan.

CubbyTrack is a web-based option with a free Home Provider plan for up to four active children and one center staff account.

Verdict

Procare is a strong choice for childcare programs that want enrollment, communication, attendance, billing and planning under one roof, backed by mobile access and support services. Its main reason to choose it is that breadth; its main reason to look elsewhere is the home version's lack of classroom management for in-home users, alongside the absence of a free tier.
