Overview

Tutorbase is a cloud service that brings lesson operations, billing, and customer management together for tutoring businesses and educational organizations. It is best suited to centers and schools that need more than a calendar, while solo tutors can also use it. Its unrestricted free plan is a strong starting point, though invoicing through the system carries a 1% fee.

Key features

Tutorbase covers the working cycle of a tutoring business: lead capture and student CRM, scheduling, lesson management, billing, payment tracking, reporting, and payroll. Its scheduling combines a drag-and-drop calendar with recurring and group lessons, room management, teacher availability, trial lessons, and attendance tracking. Student self-booking and two-way calendar sync help connect scheduling with families and staff, rather than leaving those tasks to separate tools.

Billing supports automated invoices, prepaid and postpaid packages, flexible pricing, payment tracking, cancellation fees, and multiple payment methods. Online payments are supported, but processing charges for cards and bank transfers come from the payment provider. WhatsApp and Google Calendar Sync are among the listed integrations. The breadth is useful to organizations coordinating multiple kinds of work; a solo tutor who only needs appointment booking may not need such a wide operating system.

Tutorbase describes role-based access for administrators, teachers, and other staff, with customer organizations logically separated. It says data is encrypted in transit using HTTPS with TLS 1.2 or higher and that its primary Postgres database is encrypted at rest; it does not store card numbers. Its Data Processing Addendum incorporates EU Standard Contractual Clauses and the UK International Data Transfer Addendum, while its infrastructure providers have SOC 2 Type II attestations. Tutorbase does not currently offer a paid bug bounty.

Pricing

Free Core

Free Core costs 0.00 USD per free, with no monthly subscription and no feature restrictions. It includes all features, so the free tier does not force a business to give up capabilities as it grows. The important trade-off is a 1% fee when invoicing through the system; payment processing fees are charged separately by the provider. This makes the plan attractive for trying the full workflow or keeping fixed software costs at zero, but businesses should weigh the invoice fee against their invoicing volume.

Tutorbase offers no free trial because Free Core is free to use.

Platforms

Tutorbase is available on Android, iOS, and the web, with a mobile app and cloud-based access. That combination suits teams that need to manage lessons away from a desk as well as from a central office.

Who it's for

Tutoring centers and language schools are its stated core audiences; music schools, test-prep centers, and solo tutors are also among the business types it serves. Group classes, room management, multi-location support, and payroll point toward organizations coordinating teachers and locations. Solo tutors can benefit from self-booking and billing, but may find the wider administrative range unnecessary if their needs stop at a simple booking page.

Pros and cons

Pro: Free Core includes all features, so a business can use scheduling, CRM, billing, and payroll without a monthly subscription.
Pro: Recurring and group lessons, attendance, rooms, and teacher availability address practical scheduling needs for teaching organizations.
Pro: Onboarding includes data migration, staff training, and three weeks of direct support, which can ease a team-wide transition.
Con: Invoicing through the system incurs a 1% fee, so the free plan is not cost-free for businesses using that workflow at volume.
Con: Payment processing charges still apply through the payment provider, adding a separate cost to online transactions.
Con: Tutorbase has no paid bug bounty, a limitation worth noting for organizations weighing security assurance.

Alternatives

For a broader directory of products organized around lesson scheduling, browse Tutoring Scheduling Software; for center-focused options, see Tutoring Center Software.

SchedulingKit is a better fit when a small team wants a focused booking tool: its free plan is limited to one team member, one event type, and 50 bookings per month, unlike Tutorbase's unrestricted feature set. GetSetTime offers a web-based free plan with one seat, 50 bookings per month, a public booking page, and email notifications, making it more suitable for basic booking needs than a full tutoring operation. Pynath Booking may suit businesses that need a public booking link and QR code with a free plan capped at three active services and 10 attendees per slot; it is web- and API-based.

Classcard is a paid option with a free trial and plans that include unlimited staff, students, and classes, for buyers prepared to pay a monthly subscription rather than use Tutorbase's free tier. LearnSuite may appeal to schools seeking per-lesson-hour pricing: its pay-as-you-go plan is 0.35 USD per month per completed lesson-hour and covers under 400 lesson-hours per month. Teach 'n Go is another paid, trial-available option, with plans for up to 700 live students. TutorBird starts at 16.95 USD per month, plus 4.95 USD for each additional tutor or staff member, and includes unlimited students. Tutoressa is a freemium alternative available on web, iOS, and Android.

Verdict

Tutorbase is a strong choice for tutoring centers and schools that want scheduling, customer records, billing, and staff operations in one service without a monthly subscription. Its all-feature free plan and substantial onboarding support are compelling; the main reason to look elsewhere is the 1% system-invoicing fee, particularly for businesses processing many invoices, or for tutors who need only a lightweight booking tool.
