Overview

InvoiceShelf brings invoices and estimates, payment tracking, recurring billing, expenses, and reporting into one open-source application. Its free plan has no invoice or customer cap, which makes it appealing for small businesses, agencies, and consultancies whose needs may outgrow basic billing tools. The trade-off is responsibility for deployment and upkeep: it requires a compatible server and database rather than a simple hosted signup.

Key features

Invoices, payments, and collections

Branded invoices and estimates, custom fields, tax rules, multi-currency support, and PDF templates give businesses useful control over billing documents. Users can record partial or full payments, track invoices, send payment reminders, and review overdue-balance reports. Stripe checkout supports online card payments. Customers can also use a private portal to view invoices, estimates, and payments without creating a separate account, reducing friction when they need to check a balance.

Recurring billing, expenses, and reporting

Recurring invoices cover retainers, subscriptions, and repeat customers, so the app can handle ongoing work as well as one-off jobs. Expense tracking and reports for sales, taxes, overdue balances, and profit give owners a broader view of business finances. These capabilities make InvoiceShelf more than a document generator, though its self-hosted model means users must manage the application environment themselves.

Extensibility and operations

A REST API using Sanctum tokens and a module system offer room to connect or extend workflows. The InvoiceShelf 3.0.0-alpha.5 MCP server can connect with Claude, ChatGPT, Claude Code, and Cursor, with read-only or read-and-write access, but remains disabled until a super admin enables it. That capability is tied to an alpha release, so it is not the foundation to choose the product around. Webhooks are marked as coming soon, limiting a route for event-driven integrations.

Remote storage drivers include Dropbox, Amazon S3, and DigitalOcean Spaces. The interface supports full, database-only, or files-only backups. The InvoiceShelf 2.4.6 release notes describe fixes for two security issues involving file disk selection and saved storage credentials; administrators should keep the installation maintained rather than treating self-hosting as a set-and-forget arrangement.

Pricing

The InvoiceShelf plan costs 0.00 USD per free and is free forever under AGPL-3.0. It is self-hosted, with unlimited invoices and customers, no seats, and no subscription. That combination suits a solo operator or small team that can provide its own hosting and wants to avoid per-seat or usage caps. The cost advantage comes with an infrastructure responsibility: hosting and maintaining the application are part of the deal.

Platforms

InvoiceShelf supports web, self-hosted, and API use. The download requirements are PHP 8.3 or 8.4, Nginx or Apache, and MySQL 8+, MariaDB 10.4+, PostgreSQL 13+, or SQLite 3.35+. Those requirements make it a practical choice for people able to run a compatible stack, but a poor fit for buyers who need an app they can use without managing a server. Community support is offered through Discord, with GitHub Discussions for installation help.

Who it's for

InvoiceShelf is best for individuals and small businesses, including agencies and consultancies, that want broad invoicing and finance features without a subscription and can self-host. It is less suitable for teams that need a hosted service, want webhooks now, or do not have someone able to maintain the required PHP and database environment.

Pros and cons

Pros: Unlimited invoices and customers at no subscription cost remove common growth caps for small operators.
Pros: Invoicing, recurring billing, expense tracking, reports, payment reminders, and a customer portal cover much of the day-to-day billing cycle in one application.
Pros: Partial-payment recording and overdue-balance reporting help businesses keep collections and outstanding amounts visible.
Cons: PHP, web-server, and database requirements make setup and maintenance a real commitment compared with hosted invoicing software.
Cons: Webhooks are not yet available, which can be a constraint for teams relying on event-driven integrations.
Cons: The MCP server is in an alpha release and must be enabled by a super admin, so AI connections are an emerging option rather than a dependable core workflow.

Verdict

Choose InvoiceShelf if you are a small business, agency, or consultant who wants uncapped invoicing and a broad billing toolkit without a subscription, and can handle self-hosting. Its strongest reason to buy is the combination of unlimited invoices and customers with recurring billing, payment tracking, expenses, and reports.
