Overview

Zoho Procurement is a source-to-pay system for organizations that want purchasing requests, supplier selection, orders, invoices, and payments in one workflow. It is best suited to teams that need formal controls across those stages; the main trade-off is that strategic sourcing and deeper workflow customization require the more expensive Enterprise plan.

Key features

Employees can submit one-off or catalog requests, which can route through hierarchical approvals and automation rules. Amazon Business punch-in and punch-out lets employees shop there while sending requests into the approval process. That is useful for organizations that want employees to buy through a familiar channel without bypassing procurement controls.

The sourcing module supports RFx events, bid comparisons, evaluations, and supplier shortlisting. Approved requests and RFQs can become purchase orders, while receipt notes record partial or complete deliveries. Together, these steps give procurement teams a way to connect demand, supplier selection, orders, and recorded receipts.

Suppliers can use a self-service portal to bid, manage purchase orders, submit invoices, and track payments. Zoho says invoice automation uses OCR and AI to capture invoice data and validate it against orders and receipts. ACH and batch payments are listed, with connected banking for India; payment options vary by plan, so the payment workflow may not be the same for every subscription.

Pricing

Zoho Procurement is paid, with no free plan. Premium costs 35.00 USD per year, billed per user/month annually. It includes basic approval workflows, basic audit trails and analytics, and limited supplier management, procurement, and AP automation. Each purchased user license includes 50 requester licenses. Premium is the lower-cost fit for teams that can work within basic approvals and do not need strategic sourcing or extensive customization.

Enterprise costs 75.00 USD per year, billed per user/month annually. It adds custom approval workflows, advanced audit trails and analytics, strategic sourcing, and custom ERP integrations, alongside 50 requester licenses per purchased user license. This is the more suitable tier for organizations with more complex approval structures or sourcing needs, but it costs substantially more than Premium.

Additional users can be added through a user add-on. A 14-day trial includes all features and does not require a credit card to start. Phone and email support are available on weekdays, 24 hours a day Monday through Friday.

Platforms

Zoho Procurement is available on web, Android, and iOS, and offers an API. Its Amazon Business integration supports employee shopping with requests synced for approval.

Who it's for

It suits organizations that want controlled purchasing across employee requests, supplier sourcing, order receipts, invoice checks, and payments, particularly when they need a supplier portal. The 50 requester licenses included with each purchased user license can accommodate a larger population of occasional requesters than paid-user count alone suggests. Teams that need advanced controls, strategic sourcing, or custom ERP integrations should assess Enterprise; organizations with simpler needs may find Premium's limited automation and basic workflows restrictive.

Pros and cons

Connected procurement stages: Requests, sourcing, orders, receipts, invoices, and payments are covered in one source-to-pay product.
Broad requester access: Each purchased user license includes 50 requester licenses, which can extend request submission across an organization.
Supplier self-service: Vendors can bid, manage orders, submit invoices, and follow payment status through the portal.
Important capabilities are tiered: Strategic sourcing, custom approval workflows, and custom ERP integrations are Enterprise features, while Premium has limited automation and basic audit features.
No free plan: Teams cannot keep using the product on a free tier after evaluating the 14-day trial.

Verdict

Choose Zoho Procurement if you want one system to connect employee purchasing with supplier work, orders, invoice validation, and payments, and its requester-license allowance matches your user base. Look elsewhere if you need a free ongoing plan or if Enterprise's price is hard to justify for the sourcing and customization features your team requires.
