Overview

IceHrm spans employee records, leave, attendance, payroll, recruitment, performance reviews, expenses and timesheets. Role-based permissions, an audit log and employee self-service give administrators and staff distinct ways to work with the same HR system. The breadth makes it a credible option for teams consolidating several HR tasks; organizations needing only one narrow function may find its edition and extension choices more than they need.

Open Source includes core employee, attendance, payroll and reporting functions, while Cloud adds managed hosting and IceHrmPro is priced for larger deployments. Premium extensions are not available in Open Source and cannot be bought separately, so teams that depend on them need to choose a hosted edition.

Key features

Leave, attendance and time

Leave balances update live, with accruals, manual adjustments, multi-level approvals and company or team holiday calendars. That combination can handle policy variations without reducing leave administration to a simple request form. Employees can clock in and out from web or mobile, with work location captured, and timesheets move through submission and approval workflows.

Payroll, expenses and talent

Payroll accommodates custom columns, pay groups, multiple currencies and designed payslips, giving organizations room to reflect different pay arrangements. Employees can submit expense claims with receipts for approval and reimbursement through payroll. Performance review cycles include goals and 360-degree feedback, while recruitment pipelines provide candidate profiles and interview scheduling. These connected workflows make IceHrm more compelling for teams that want HR operations and talent processes together than for those seeking a specialist recruiting or payroll tool.

Integration and safeguards

A REST API with bearer-token authentication supports external integrations and custom applications. Edition comparisons include Microsoft Entra ID, SAML 2.0 and LDAP/Active Directory sign-on options. IceHrm says its Cloud database personally identifiable information is encrypted with AES 256-bit encryption, files are privately stored and encrypted, and backups are kept in at least two locations. Its security policy describes availability, integrity and confidentiality as goals, with compliance checked through internal audits. IceHrm also states that it complies with the CISPE Data Protection Code of Conduct and that customers own their data and may request deletion.

Pricing

IceHrm uses a freemium model, with a free plan and a 14-day trial. The pricing summary says paid plans start at $11/mo, while the Cloud plan is priced separately at 12.00 USD per month, billed $ 12 /mo total for up to 6 employees, with a stated rate of $1.10/employee. Cloud includes managed hosting and email support; the listed pricing covers up to 100 employees, with custom pricing above that. This is the clearest fit for smaller teams that want hosting handled, though its per-employee price and six-employee total framing deserve attention when budgeting.

IceHrm Open Source has no listed price and includes employee profiles, attendance and clock-in/out, payroll, documents, projects and timesheets, and reports. Community support is the trade-off, and the absence of premium extensions is a substantial constraint for teams that require those add-ons.

IceHrm Enterprise has custom pricing and unlimited employees. IceHrmPro is 1799.00 USD per month, billed From $1,799 for up to 50 employees, up to 500; the starting price covers up to 50 employees, with plans up to 500. Its higher starting cost points it toward larger organizations rather than small teams; email/Slack support is listed for IceHrmPro, while Cloud provides email support.

Platforms

IceHrm supports web, Android and iOS, as well as self-hosted deployment and an API. The dedicated mobile app and mobile web experience give employees ways to use the system away from a desktop, while self-hosting gives organizations another deployment route alongside Cloud.

Who it's for

IceHrm is best suited to organizations that want employee administration, leave, attendance, payroll and talent workflows in one HR platform, and can select an edition aligned with their hosting and extension needs. Open Source is a practical starting point for teams comfortable with community support and without premium-extension requirements. Smaller teams seeking managed hosting can consider Cloud; larger organizations can evaluate the custom-priced Enterprise option or IceHrmPro. It is a weaker fit when a required premium extension must be added to Open Source or when the organization only needs a focused standalone tool.

Pros and cons

Pros: Broad coverage across core HR, payroll, recruitment and performance reviews reduces the need to split those workflows across separate products.
Pros: Leave controls, timesheet approvals, role-based permissions and employee self-service support structured processes for both staff and administrators.
Pros: Web and mobile access, self-hosted deployment and a REST API offer multiple ways to access or integrate the system.
Cons: Open Source excludes premium extensions, which cannot be purchased separately, making Cloud or IceHrmPro necessary for organizations that require them.
Cons: Cloud's listed pricing is framed around up to six employees and custom pricing applies above 100, so teams should check which employee band their budget needs to cover.
Cons: IceHrmPro starts at 1799.00 USD per month for up to 50 employees, putting it beyond the likely needs of smaller teams.

Alternatives

Choose Zoho People if a freemium HR system with web, iOS and Android support is a better match; its Free plan covers 5 users. Consider SovoHR for a web-based option with a free Starter plan for one employee and recruitment and ATS included. DutyDuke is an alternative when a free, self-hosted open-source product that users can extend and contribute to on GitHub is the priority.

Employment Hero is a paid web and mobile alternative with plans framed around AI video interview volumes. MHR iTrent is another paid web and mobile HR option. Sesame HR is worth considering for a paid platform with a free trial and web, mobile and API support; its Essential plan has a 15-employee minimum. Deputy is a paid web and mobile alternative with a free trial and per-user monthly Lite pricing, suited to readers prioritizing basic scheduling and timesheets. Sense HR is another paid option with a free trial and web, mobile and API support.

Verdict

Choose IceHrm if your organization wants a broad HR platform that brings leave, attendance, payroll, employee administration and talent workflows together, with mobile access and API integration. Its main advantage is that breadth; its main caution is edition dependence, since Open Source excludes premium extensions and larger deployments move to custom or substantially higher pricing. Teams that need those extensions or managed hosting should compare Cloud and IceHrmPro carefully, while organizations wanting a narrower or lower-commitment tool should consider the alternatives.
