Overview

For self-managed boards, the useful distinction is that SpotHOA combines day-to-day administration with a permanent, timestamped ledger for dues, votes and violations. That gives volunteer officers a consistent record of activity without moving into software built for professional property managers. Its focus is also its boundary: it is not aimed at landlords, paid managers, enterprise property management or rental operations, and version 1 serves U.S.-based HOAs only. Account creators must be at least 18 and located in the United States.

Key features

The document vault handles governing documents, meeting minutes and financials, with tags, categories and role-based access. Boards can collect card and ACH dues through Stripe Connect Standard or record check and cash payments manually. Funds pass through the HOA’s own Stripe account; SpotHOA does not hold, pool or route them. That arrangement suits boards seeking online collection while retaining control of their payment account.

AI drafts violation letters, meeting summaries and dues reminders, which can take routine writing off a volunteer’s plate. These are drafting aids, not a substitute for board review. The in-app community feed, reply-enabled messages and daily email digest give residents several ways to follow association activity.

The ledger’s append-only design makes dues, votes and violations timestamped records rather than entries that can simply be rewritten. Data is partitioned by HOA, with isolation enforced by automated tests; it is encrypted in transit with TLS and hosted in the United States. Support access is read-only and logged. SpotHOA says it does not sell data, use advertising or retargeting cookies, or train machine-learning models on HOA data. Free and Pro users can export ledger, vault, member and meeting records as CSV and PDF; account deletion has a 14-day grace period.

Pricing

SpotHOA uses a freemium model, with no free trial. Free costs $0 per month and supports up to 50 active units, 500 MB of document storage and 1,000 emails per month. It includes ACH and card dues collection, homeowner records, the ledger, meeting minutes and votes. For a small association testing whether a shared system will stick, that is a meaningful starting package, but the storage and email ceilings may constrain active communities.

Pro costs $29 per month, billed monthly, and raises the limits to 100 active units, 10 GB of storage and 10,000 emails per month. It adds AI-drafted paperwork, a Texas compliance pack and priority email support. Pro is the practical step up for a board that needs more capacity or wants drafting assistance, but the 100-unit ceiling still rules out larger associations. There is no paid tier described beyond that limit.

Platforms

SpotHOA is available on the web, Android and iOS, but it has no native mobile app. The web app can be installed to an Android home screen through Chrome or Edge, or to an iPhone or iPad home screen through Safari. That provides home-screen access, though boards seeking a dedicated app should factor in the distinction.

Who it's for

SpotHOA is a sensible fit for a U.S. volunteer board that needs shared records, dues collection and resident communication without paying at the outset. Smaller associations should find the Free plan especially relevant; boards with heavier document and email needs, or interest in the AI drafting tools, have a reason to consider Pro. It is a poor fit for paid managers, rental businesses, non-U.S. HOAs and associations above 100 units.

Pros and cons

Useful free foundation: dues collection, records, ledger and meeting tools are included for up to 50 units, rather than being reserved for a paid plan.
Clear payment custody: funds flow through the HOA’s Stripe account, while manual check and cash records remain possible.
Durable records and exports: timestamped append-only events and CSV/PDF exports help boards retain an audit trail.
Firm audience and capacity limits: U.S.-only eligibility and the 100-unit Pro cap exclude international and larger communities.
No native mobile app: phone access uses an installable web app rather than a dedicated Android or iOS app.
Free-tier quotas: 500 MB and 1,000 monthly emails may be limiting for associations with substantial records or frequent communications.

Alternatives

For a dedicated violation-management shortlist, start with HOA Violation Management Software; for broader association platforms, compare the HOA Management Software category.

HOA Messenger is worth comparing if unlimited HOAs and residents matter more than SpotHOA’s broader recordkeeping: its free plan offers 90-day visibility and is available as long as users want, with no credit card required. HOAware is a candidate for boards focused on ACC violations and applications, with resident messaging, digital inspections and SMS notifications across its Essentials and Complete plans.

ManageHOA, HOA Central, CINC and HOA Start are other paid options to compare. CommonGround is a paid alternative with a free trial; its Small plan is $59.00 USD per month for communities under 50 parcels, while Standard is $119.00 USD per month. HOALife starts at $199.00 USD per month, with final pricing scoped to community size and operational requirements.

Verdict

Choose SpotHOA if you serve a small U.S. association with a volunteer board and want dues, records and communications together, with a free tier that covers core administration. Its payment handling and exportable ledger are compelling for that audience. Look elsewhere if you need a native app, serve a non-U.S. community, manage rentals professionally or exceed 100 units.
