Overview

CommonGround combines violation handling, statutory deadline tracking, records-request management, owner access, and parcel-level accounting. Its maker says its versioned rule sets draw on state statutes and governing documents across all 50 states. That breadth may help boards organize their process, though the software's own legal-scope limits matter when decisions require legal judgment.

The service is available on Android, iOS, and the web. Boards can continue using QuickBooks; CommonGround also maintains a per-parcel ledger of fines, assessments, and payments. No direct QuickBooks integration is specified.

Key features

Evidence-led violation workflow

A board member can photograph an issue on a phone, add a note, and record its time, location, and evidence. CommonGround uses that record to draft a notice. This gives volunteer boards a consistent starting point for documentation, while leaving them responsible for reviewing the notice and deciding how to proceed.

The software tracks statutory deadlines and blocks specified invalid fining steps, including hearings held too early and fines above statutory caps. It also flags protected categories under state law and supplies statute citations before a notice is sent. These safeguards can catch process concerns, but they do not turn the system into legal advice.

Responses, records, and audit trail

Owners and fining committee members can review evidence, respond, and vote through secure signed links without accounts, passwords, or app installs. That lowers the access hurdle for people who only need to participate in a particular matter. Actions are timestamped, attributed, and described as immutable; boards can export an audit packet.

For written records requests, CommonGround logs the request, tracks statutory deadlines, and retains the request-and-response trail. Its owner portal adds records posting, a password-protected member area, required document categories, and staleness checks. Together these tools address recurring administrative work, though boards still need to keep posted records current.

Pricing

There is no free plan. CommonGround offers a 30-day trial, and its three month-to-month plans are sized by parcel count. Each can be cancelled anytime, with no annual contract or setup fee.

Plan	Price	Parcel limit	Best fit
Small	59.00 USD per month	Under 50 parcels	Smaller self-managed associations
Standard	119.00 USD per month	50–150 parcels	Mid-sized associations
Large	229.00 USD per month	150+ parcels	Larger associations

The parcel bands make the plan choice straightforward, but a board near a threshold should confirm which band applies to its count. Certified mail is metered at cost plus a small margin, so that expense is separate from the monthly plan. Email support is listed at cory.naegle@gmail.com.

Platforms

CommonGround runs on Android, iOS, and the web. The mobile app supports photo attachments, while the web option gives boards another way to manage the broader workflow.

Who it's for

CommonGround is best suited to volunteer boards in self-managed associations that want violation evidence, deadlines, owner responses, records requests, and parcel-level charges handled in one system. Its no-account response links are particularly useful when owners or committee members need to take part without installing an app. Associations seeking legal representation, or expecting software alone to settle compliance questions, should look elsewhere for that support.

Pros and cons

Pros: Deadline tracking and blocks on specified invalid fining steps give boards procedural guardrails.
Pros: Mobile evidence capture and a timestamped audit trail support more complete violation records.
Pros: Signed response links let owners and committee members participate without creating accounts.
Pros: Month-to-month plans, cancellation anytime, and no setup fee reduce contract commitment.
Cons: There is no free plan, and the 30-day trial is the only no-cost route to evaluate it.
Cons: Certified mail adds a metered charge, and the service does not replace an association attorney.
Cons: QuickBooks can remain in use, but no direct integration is specified.

Verdict

Self-managed boards that need a documented compliance workflow should put CommonGround on their shortlist: its evidence capture, deadline controls, response links, and records trail address the administrative burden in one system. Choose it by parcel band if those guardrails fit your process; look elsewhere if you need legal advice, a free plan, or a direct QuickBooks integration.
