Overview

Collaborate brings intake data, services, assignments, referrals, notes, documents, notifications, and alerts into a single case profile. That consolidated record can help teams keep client work together rather than spread across separate processes. Organizations can also track service plans, referrals, and outcomes, and provide a client portal.

Configuration is central to the product: social services experts can tailor intake forms, digitize paper forms, and automate manual processes. Pre-built service forms, custom services, and external forms shared by link or embedded on a website give agencies several ways to collect information. The trade-off is a substantial implementation period: typical deployment takes 8–12 weeks from contract to go-live, including migration, customization, and staff training.

Key features

Case records and forms

Putting services, referrals, assignments, and supporting documents alongside intake information gives staff a broad view of each case. Tailored forms are useful for organizations whose intake differs from standard workflows; agencies seeking a ready-to-use, minimally configured system may find the emphasis on customization less attractive.

Reporting and integrations

Users can build filterable, shareable reports from database fields and present results with charts and graphs. That flexibility can support organization-specific reporting, though it also makes the usefulness of reports dependent on how the agency structures its data. Collaborate integrates with DocuSign and supports API connections to systems such as statewide referrals, medical billing, payroll, staffing, and QuickBooks.

Security and support

The maker says Collaborate is HIPAA compliant and SOC 2 Type 2 compliant. Security features include encryption, role-based permissions, multifactor authentication, SSO support, audit logs, and backups. Support includes a knowledge base, in-app help, support requests, live and on-demand training, and an account manager—useful resources for a deployment involving staff training and tailored configuration.

Collaborate for Networks supports secure sharing of sensitive data among organizations using Collaborate. That makes it relevant to participating organizations that need cross-agency sharing, rather than a general-purpose integration with any outside organization.

Pricing

Collaborate uses custom pricing based on organization size, user count, and modules. There are no per-seat licensing fees, which may suit organizations that want costs based on a broader configuration rather than a seat-by-seat license. The price is custom, so organizations will need a tailored quote to assess budget fit. The plan includes custom intake forms, service plan tracking, referral tracking, outcome tracking, and a client portal.

There are no cheaper published tiers to compare. Teams should weigh the tailored scope against the 8–12 week typical path from contract to go-live, which includes data migration, customization, and training.

Platforms

Collaborate is available on Android, iOS, the web, and through an API. It is cloud hosted and accessed through modern browsers without software installation. Responsive access supports desktop, laptop, tablet, and mobile phone use with an internet connection, making it suitable for teams working across devices; offline access is not established as a capability.

Who it's for

The product is aimed at nonprofits and social services agencies, including children’s advocacy centers, domestic violence and sexual assault programs, government human services departments, healthcare violence prevention programs, youth programs, substance abuse treatment, health and wellness services, and housing programs. It is a stronger fit for organizations that need configurable intake and coordinated case records than for buyers looking for a narrowly scoped, off-the-shelf tracker.

Collaborate is developed by Network Ninja, Inc., which the maker says was established in 1998 and is based in Chicago, Illinois.

Pros and cons

Pros: Case profiles consolidate intake, services, referrals, notes, documents, and alerts, giving teams one place to follow a case.
Pros: Tailored intake forms, external forms, and configurable reports support organization-specific workflows and data collection.
Pros: No per-seat licensing fees, alongside custom pricing based on organization size, user count, and modules, avoids a stated per-seat charge structure.
Cons: Custom pricing makes cost harder to assess without a quote.
Cons: Typical deployment takes 8–12 weeks, so it is not a quick-start choice for agencies that need immediate go-live.
Cons: Its customization and implementation approach may be more than a small team needs if its case workflow is simple.

Alternatives

CaseFlow is worth considering for a buyer who prefers a stated monthly price: its Base Package costs 150.00 USD per month for two users and one custom workflow, with unlimited cases and documents, plus a $1995 setup fee. That package's two-user limit may be restrictive for larger teams.

In-Form is a freemium option for organizations working with people who become homeless in England; its maker is Homeless Link, a national membership charity serving organizations working with people who become homeless.

Primero offers a free, open-source self-managed Tier 1 DIY option with documentation and community support, for organizations prepared to manage deployment themselves.

TigernixClub is another paid web and API option.

CaseManagement.ai may suit organizations seeking one feature-inclusive plan without a mandatory annual contract; its stated average price is 5060.00 USD per month per user, billed monthly.

FAMCare is another paid case management product with tailored pricing based on user count, deployment scale, and configuration.

ShareVision is an alternative for teams willing to make an annual commitment: its Simply 10 plan costs 160.00 USD per month for 1–10 users and includes 10 GB of document storage with unlimited clients and services.

CharityTracker may suit buyers seeking a per-user monthly price; its Basic plan is 20.00 USD per month per user and includes case management, comprehensive reports, area-wide bulletins, and daily backup.

Verdict

Collaborate is a strong candidate for social services organizations that need customizable intake, unified case records, reporting, and secure coordination. Its configurable workflows and broad record view are the main reasons to choose it; look elsewhere if custom pricing or an 8–12 week deployment does not fit your budget process or timeline.
