Overview

ICANotes brings clinical documentation, assessments, and practice operations together for behavioral health care. Its menu-driven templates cover assessments, progress notes, treatment plans, SOAP, BIRP and DAP notes, group therapy notes, and discharge summaries. That range can make it a practical fit for practices with varied documentation needs, rather than teams seeking a general-purpose record system.

The platform includes more than 100 clinical rating scales and assessment tools, plus connections for labs, clearinghouses, health information exchanges, interoperability, and PDMPs. Named integrations include LabCorp, Quest, Availity, Waystar, and ClaimMD. ICANotes says it maintains HIPAA compliance and describes encrypted data transmission, user authentication, access controls, and audit logs. It also provides an ONC certification page and links to its 2026 real-world test plan.

Key features

Clinical documentation

The breadth of note types and assessment tools is a strong point for clinicians who routinely document behavioral health care. An ambient AI scribe is also described as listening to sessions and creating notes; it is a paid per-user add-on, so practices should account for it separately rather than assume it comes with a base subscription.

Practice operations

Scheduling, automated reminders, a patient portal, secure messaging, telehealth, billing, and e-prescribing are among the platform’s tools. Integrated telehealth and client portal support can keep common patient interactions in the same system. The stated 24/7 assistance, live onboarding, and training are useful for practices that want direct support during setup and ongoing use.

Pricing

ICANotes offers a free 30-day trial without a credit card, but e-prescribing and insurance claim submission are unavailable during the trial. An ICANotes+ subscription requires a three-month commitment; after that, cancellation is permitted with 15 days’ notice. Paid plans begin at $25/user/mo, but the listed options vary substantially by role and note volume.

Non-Clinical Users: The first user is free; each additional user is $25/mo. This is for staff who need access without a clinical plan, not a no-cost option for a clinical practice.
Part-Time Notes Only: $35/mo for 60 notes/month, available only to non-prescribers, with a $99 activation fee. It suits a clinician with modest documentation volume who does not need the broader practice tools.
Part-Time Non-Prescribing: $45/mo for 60 notes/month, with scheduling and automated reminders, secure messaging and client portal, billing, and reporting. It adds useful practice operations to the part-time notes allowance, but retains the 60-note cap and $99 activation fee.
Full-Time Notes Only: $55/mo for unlimited notes, available only to non-prescribers, plus a $99 activation fee. This removes the monthly note ceiling but still omits the listed scheduling, messaging, portal, billing, and reporting bundle.
Full-Time Non-Prescribing: $75/mo, including Notes Only features along with scheduling and automated reminders, secure messaging and client portal, billing, and reporting. It is the more complete non-prescribing option; the $99 activation fee still applies.
Part-Time Prescribing: $138/mo for 100 notes/month, e-prescribing and medication management, and lab ordering and results integration, plus a $99 activation fee. Prescribers should weigh those clinical functions against the note limit.
Full-Time Prescribing: $213/mo, including Non-Prescribing features, e-prescribing and medication management, and lab ordering and results integration, plus a $99 activation fee. It is the broadest listed package for a prescribing practice.
Telehealth add-on: $20/mo per user. AI Scribe add-on: $49/mo per user. Both add per-user costs to a plan; text reminders are an optional feature with custom pricing.

There is no free clinical plan, despite the freemium pricing model. Practices should compare the note quotas, prescriber eligibility, activation fees, add-ons, and commitment before selecting a tier.

Platforms

ICANotes runs on the web. It has no mobile app coverage, which may be a drawback for clinicians who need a dedicated mobile app rather than browser access.

Who it's for

ICANotes is built for psychiatry, therapy, and addiction treatment, and its intended users include individual clinicians, group practices, hospitals, and residential programs. Its documentation depth and prescribing options favor behavioral health teams with specialized clinical workflows. It is less suitable for buyers who require a free clinical tier, a mobile app, or a short initial subscription commitment.

Pros and cons

Pros: Behavioral-health-specific templates span multiple note formats, treatment plans, assessments, and group care documentation.
Pros: More than 100 rating scales and assessment tools, alongside lab and claims-related integrations, support specialized workflows.
Pros: Scheduling, reminders, portal, messaging, telehealth, billing, and e-prescribing bring common practice functions into one platform.
Cons: No free clinical plan is offered, and several plans add a $99 activation fee.
Cons: Part-time plans impose note caps, and the $138/mo part-time prescribing plan is limited to 100 notes/month.
Cons: Trial users cannot use e-prescribing or submit insurance claims, so the trial does not cover every core workflow.
Cons: The three-month commitment, per-user add-ons, and lack of mobile app coverage may be poor fits for short-term or mobile-first use.

Alternatives

For a focused comparison of appointment-management tools, browse Therapy Scheduling Software. Choose Carepatron if a free plan, broader platform coverage, and a stated allowance of 100 appointments are priorities; its free tier also includes unlimited clients, 1GB storage, 1M AI tokens, and 1K tasks. CliniForm is another free-plan option for web or API use. Colib offers a Starter plan billed at $3 per appointment, with a $9 monthly minimum, for buyers who prefer appointment-based pricing. Zanda is a paid alternative with a free trial and coverage across web, desktop, and mobile platforms. Valant uses custom pricing that varies by practice size, provider count and type, workflow needs, and optional features or add-ons. Sessions Health has a web-based free plan capped at three clients and one practitioner. WriteUpp is a paid option with a free trial and Android, iOS, and web coverage. OctopusPro is a paid web and mobile option whose Starter plan includes two seats.

Verdict

ICANotes is a strong fit for behavioral health practices that value specialized documentation, assessment tools, and integrated practice workflows in one web platform. Its depth is the main reason to choose it; its note limits on lower tiers, added fees, trial exclusions, three-month commitment, and lack of mobile app coverage are reasons to look elsewhere if flexibility or mobile use matters more.
