Overview

BillingEngine creates ZUGFeRD and XRechnung e-invoices compliant with EN 16931, and includes tax validation. Accepted quotes can be converted into invoices, and reminders can be sent at several dunning levels. Together, these features cover a practical billing cycle without requiring a separate step to turn an accepted quote into a bill.

Receipt recognition pulls out the amount, date, tax rate and supplier, then matches the receipt to an expense. Every plan also includes an unlimited email inbox for incoming e-invoices, a meaningful distinction from the monthly caps on invoices, quotes and receipts. Exports to DATEV, CSV, XLS, XML and PDF are included on every plan; a REST API is listed for customers, invoices and payments.

BillingEngine says data is encrypted in transit, stored on servers in Germany and archived in a GoBD-compliant manner. For AI receipt recognition, it says the document is sent encrypted to OpenAI, is not used to train AI models, and remains on its Frankfurt server. These safeguards will matter to businesses weighing automated handling of financial paperwork.

Key features

Structured billing and follow-up

ZUGFeRD and XRechnung support gives BillingEngine a clear role for businesses that need EN 16931-compliant e-invoices. Quote conversion and multi-level reminders extend that role from issuing invoices to following up on payment.

Receipt capture and data handoff

Automated extraction of four receipt fields and expense matching can reduce manual entry, while the range of export formats suits different handoff and record-keeping needs. The feature set is focused on invoicing and document workflows rather than a broader accounting suite.

Pricing

Plan	Price	Included limits	Best fit
Free	0.00 EUR per free	3 invoices, 3 quotes and 3 receipts per month; 1 user	Very low-volume solo use
Basic	6.00 EUR per month, plus VAT	30 invoices, 30 quotes and 30 receipts per month; 2 users	Small teams with moderate monthly volume
Premium	12.00 EUR per month, plus VAT	Unlimited invoices, quotes and receipts; 5 users	Higher-volume work within a five-user team

All three plans include unlimited incoming e-invoices and the same listed export formats. Free is genuinely usable for a handful of documents, but its three-per-month limits can quickly rule it out for active billing. Basic raises each document allowance tenfold and permits a second user, though its 30-per-month ceiling remains a constraint. Premium removes those document caps and adds room for up to five users, making it the clearest choice when volume or collaboration outgrows Basic.

Platforms

BillingEngine runs in the cloud and is available on the web, with API access. That suits browser-based work and integrations, rather than an offline desktop workflow.

Who it's for

Freelancers and small businesses that need German-compliant e-invoices, quote-to-invoice conversion, reminders and receipt capture are the natural audience. It is less suitable for businesses that need more than five users or a broader accounting feature set than the invoicing and document workflows described.

Pros and cons

Pro: ZUGFeRD and XRechnung support compliant with EN 16931, plus tax validation, addresses German e-invoicing needs directly.
Pro: Unlimited incoming e-invoice email on every plan avoids using the monthly document allowance just to receive invoices.
Pro: DATEV, CSV, XLS, XML and PDF exports are included at every price level, with a REST API also listed.
Con: Free allows only 3 invoices, 3 quotes and 3 receipts per month, limiting it to very low-volume use.
Con: Basic still caps each document type at 30 per month, and Premium tops out at 5 users.

Alternatives

Electronic Invoicing Software is a category shortlist for comparing e-invoicing options.
Invoicing software is a broader category shortlist for comparing invoicing tools.
Billit is worth considering if mobile access matters: it supports Android and iOS as well as web and API, and its free license sends e-invoices via Peppol but is limited to sales invoices and functionality.
Holodeck B2B is a free, open-source option for users comfortable with Linux, macOS or Windows and a Java runtime 11 or later.
PeppolSoft offers a free Buyer plan for receiving, with a web portal and app; consider it when receiving is the priority.
B2Brouter may suit readers who can work within a free allowance of up to 24 transactions per year, 10 contacts and one user.
ONESOURCE Pagero is another freemium e-invoicing option.
Tungsten e-Invoice Connect has a free plan for 25 invoices per month, a higher free-tier invoice allowance than BillingEngine.
Tungsten Power PDF is a paid PDF editor rather than an invoicing alternative.
Unimaze is another paid option with web, API and mobile platforms.

Verdict

BillingEngine is a strong fit for freelancers and small businesses that need compliant German e-invoices alongside quotes, reminders, receipt recognition and flexible exports. The unlimited incoming-invoice inbox and focused workflow are compelling; choose another tool if the 30-document Basic ceiling, five-user Premium limit or narrow invoicing emphasis does not fit your operation.
