Overview

The central strength is a shared client profile that brings together e-records, charts, notes, photos, purchase history, invoices, balances and remaining services. That gives a practice a more complete view of each client than scheduling alone can provide, while treatment plans, inventory tracking and payment processing support broader day-to-day operations.

AestheticsPro also combines customizable forms, appointment booking and reminders with marketing and telemedicine tools. That breadth is useful for practices seeking one system for clinical documentation and client communication; it may be more than a small operation needs if its priority is simply taking bookings.

Key features

Records, forms and photography

The cloud EMR is described as HIPAA-compliant, and the forms library includes more than 500 customizable options. AP Photo adds alignment guides, ghosting, markup and side-by-side comparisons within the mobile app, making it a practical fit for aesthetic practices that document client progress visually. The combined record and photo tools are more relevant to treatment-led practices than to businesses that need only appointment administration.

Scheduling and consultations

Clients can book online, while multiple resource allocation, text reminders and automatic email confirmations help coordinate appointments and reduce routine follow-up. Secure virtual consultations and follow-ups connect with client records, extending the same workflow beyond in-person visits.

Marketing, integrations and controls

Email campaigns, campaign tracking, review management, lead tracking and SMS blasts cover several client-acquisition and retention tasks. AP Marketing Solutions has features that may cost extra, so practices should account for that before treating marketing as part of the base price. Integrations include Google Calendar, Apple Calendar, MD Toolbox, Salesforce, Zoom, HighLevel, Twilio, Cherry, Constant Contact, webhooks and Zapier. IP restrictions, two-factor authentication and user permissions add administrative controls.

Pricing

AestheticsPro has no free plan. Pro-Plus costs 160.00 USD per month, billed $160/month, for up to 3 users; the plan description says it is for 2 users and charges $85/mo for each additional user, with some features requiring an extra fee. It is the entry point for smaller practices, but the user cap and possible add-ons can narrow the price advantage as a team grows.

Executive costs 285.00 USD per month, billed $285/month, and includes unlimited users plus live support. It is the more suitable tier for a growing team that needs room to add staff without per-user expansion under the stated plan terms.

Enterprise costs 350.00 USD per month, billed $350/month, and includes unlimited users and dedicated live support. It is aimed at scaling or complex, high-volume organizations; smaller practices may not need the additional support tier. The plan details also identify some marketing features as extra-fee items, so confirm those costs against the workflows you intend to use.

Platforms

AestheticsPro is available through the web and mobile apps for Android and iOS. The mobile app supports AP Photo documentation, while the broader web-based platform serves practices that want access beyond a single device type.

Who it's for

This is best suited to medical spas and aesthetic practices that need client records, forms, photo documentation, scheduling and communications in one platform. Pro-Plus makes the most sense for a small team that can work within its user limit; Executive and Enterprise are better aligned with growing teams and higher-volume organizations. A practice looking only for straightforward scheduling may find the wider feature set and starting price difficult to justify.

Pros and cons

Pros: Client profiles combine records, photos, billing details and remaining services, helping staff work from a fuller client history.
Pros: More than 500 customizable forms, integrated telemedicine and AP Photo support documentation-heavy aesthetic workflows.
Pros: Executive and Enterprise allow unlimited users, with live support and dedicated live support respectively.
Cons: The $160 monthly entry plan limits the team to up to 3 users, with additional users priced at $85/mo.
Cons: Some features require an additional fee, including some AP Marketing Solutions features, which can complicate budgeting.
Cons: Its broad clinical and marketing scope may be unnecessary for a practice seeking only appointment booking.

Alternatives

Choose DaySmart Med Spa if a lower-cost starting point matters more: its Basic plan is 29.00 USD per month for one user and includes scheduling, online booking, reminders, payments, a mobile app, reports and online deposits; it also offers a free trial. For a free starting tier, Zdrovia is the alternative, with a web platform and a free plan; its Small Practice plan is 49.00 USD per month, with a stated early-adopter rate for the first 12 months.

Clinicminds is worth considering if a free trial and iOS, macOS, web and Windows access are priorities; its subscription starts at € 160 a month, with monthly or yearly subscriptions and a 10% discount on yearly subscriptions. Pabau is another paid option for practices comparing a one-user plan with unlimited patients, though its Solo pricing depends on location and user count.

For other options, compare the category lists for Medical Spa Scheduling Software, Med Spa Software, Spa Management Software and Medical Appointment Scheduling Software. Remedly, PatientNow, AesthetiClinic and Aesthetic Record are also alternatives to compare.

Verdict

AestheticsPro is a strong fit for medical spas and aesthetic practices that want clinical records, visual progress documentation, scheduling and client communications under one roof. Its depth is the main reason to choose it; the $160 monthly starting price, small-plan user ceiling and possible feature fees are reasons to look elsewhere if the practice needs only booking or must keep costs low.
