Overview

ZibaDesk is a beauty CRM that brings appointments, point of sale, online booking and customer management into one platform. It is best suited to salons and clinics that want detailed client records alongside day-to-day sales and retention tools. Its strongest case is the combination of treatment-specific notes and multi-channel marketing; growing teams should check the staff limits and Xero conditions before committing.

Client profiles can connect appointment, service, product and payment history with notes on formulas, colour codes, sensitivities, preferences, contraindications and consent. Lifetime spend, visit frequency and rebooking rate give businesses useful retention signals, while segmentation supports targeted SMS and WhatsApp campaigns. Loyalty points and rewards apply automatically at checkout, tying repeat-visit incentives to the sales workflow.

ZibaDesk says client data is encrypted and access-controlled, with clinical photos held in a private encrypted vault. Australian clinics have records, photos, consents and recordings hosted in Australia in data centres holding ISO 27001 and SOC 2 Type 2 certification. Clinic customers can export client, appointment, sales and clinical-record data as CSV or JSON, consents as PDF and photos as image files, a practical safeguard for portability.

Key features

Client records and insights: History and treatment-specific notes make the CRM more relevant to beauty and aesthetic services than a simple appointment list. Spend, visit frequency and rebooking metrics help identify client patterns.
Campaigns and loyalty: Client segmentation feeds targeted SMS and WhatsApp messaging; checkout-applied rewards reduce manual work when honoring loyalty benefits.
Front-desk operations: The platform overview includes POS, online booking, loyalty club, gift cards, SMS reminders, multi-language support and offline-first POS. Offline-first operation is useful when connectivity is unreliable, while reminders and online booking can reduce routine appointment handling.
Integrations: ZibaDesk lists Stripe Payments, ClickSend SMS, WhatsApp Messaging and Tyro EFTPOS. Xero sync sends completed sales as paid invoices with line items and GST, matching customer contacts. It only covers sales rung after the connection is made and auto-sync enabled; historical migration is not included by default, and the integration is available to businesses using AUD or NZD.
Language support: The interface supports English, Persian, Vietnamese, Korean, Chinese, French and German, with right-to-left support for Persian and Arabic. That is a meaningful fit for multilingual teams and clients.

Pricing

ZibaDesk uses a freemium model, with a free plan and a 14-day free Pro trial that requires no credit card. The free plan's price is custom pricing. It allows one staff member and includes POS, customer management, reports and analytics, online booking, an appointment calendar and inventory tracking. That is a credible starting point for a solo operator, but the single-seat cap rules it out for even a small team.

Pro costs 19.99 AUD per month, billed per business, and supports up to five staff members. It adds SMS campaigns, WhatsApp messaging, shift scheduling, priority email and chat support, advanced reporting, custom branding and staff performance tools. This is the natural step for a small salon that needs campaigns and scheduling, but a team beyond five staff will need another plan.

Ultra costs 39.99 AUD per month, billed per business, and offers unlimited staff, dedicated support, priority onboarding and an aesthetics clinic suite. Its value is clearest for larger teams or aesthetics clinics that need the specialist suite and onboarding; smaller businesses may not need to move beyond Pro. The 14-day Pro trial gives a short evaluation window before a paid commitment.

Platforms

ZibaDesk supports Android, iOS, macOS, web and Windows. That breadth suits businesses mixing mobile devices with desktop front-desk work. Its interface languages include English, Persian, Vietnamese, Korean, Chinese, French and German, plus right-to-left support for Persian and Arabic.

Who it's for

The product is aimed at beauty salons and clinics, including hair, nail, beauty, lash and brow studios, spas, aesthetic clinics, tanning and waxing salons, and tattoo studios. Solo operators can start on Free; small teams can use Pro's five-staff allowance and campaign tools; larger teams and aesthetics clinics have a clearer rationale for Ultra. Australian clinics may particularly value local hosting and the stated data-centre certifications. Businesses outside AUD or NZD should not assume the Xero connection will fit their accounting setup.

Pros and cons

Pro: Treatment-specific notes, client history and rebooking insights keep service context and retention signals together.
Pro: SMS and WhatsApp campaigns, segmentation and checkout-applied rewards cover several retention tasks within the same platform.
Pro: Australian hosting for clinic records and export options across records, consents and photos support location-specific data handling and portability.
Con: Free is limited to one staff member, and Pro tops out at five; teams that outgrow that cap must pay for Ultra to get unlimited staff.
Con: Xero sync is currency-limited to AUD or NZD and does not migrate historical sales by default, so the transition requires setup and leaves older records outside the automatic flow.

Alternatives

For a wider comparison, browse Salon CRM Software. Choose WellnessLiving instead if its annual Starter plan at 62.00 USD per month, with one staff member and booking apps, better matches your needs. Pronto is worth comparing if a defined free allowance matters: its free plan has one staff member, 100 clients, 50 bookings per month and 100 products.

Salonist may suit a business that can work within 50 appointments per month on its free Market Place Listing plan. Fresha is another freemium option, with plans for an independent operator or an unlimited team. Tersavia offers a free Booking & Client Management plan covering every location with no per-seat charge or contract.

Wellnito may be a better fit for a business whose needs fit its free caps of 100 appointments, 100 bills, 500 clients and three staff. DaySmart Salon is a paid alternative with a Basic plan at 29.00 USD per month for one user and online booking. Orbis Salon is another paid option to compare.

Verdict

Choose ZibaDesk if your salon or clinic needs detailed client records, booking and POS together, with built-in retention tools and a path from a solo plan to unlimited staff. Its main advantages are beauty-specific recordkeeping and integrated campaigns; its key checks are the five-staff Pro ceiling and the AUD/NZD-only, forward-only Xero sync. Look elsewhere if your accounting currency falls outside that range or your team needs broader capacity without stepping up to Ultra.
