Overview

xtraCHEF is Toast’s restaurant back-office software for invoice processing, recipe costing, inventory management, and cost reporting. It is best suited to US restaurants and hospitality groups that need a closer view of ingredient costs, margins, and purchasing across one or more locations. Its combination of invoice data and recipe-level cost analysis is compelling, but custom pricing makes a plan comparison essential before committing.

Key features

Invoices, recipes, and inventory

Automated invoice processing turns bills into line-item data, making it easier to spot cost changes rather than treating each invoice as a single total. xtraCHEF says it delivers digitized invoice data to QuickBooks Online within 24 hours, a useful fit for teams that want purchasing records flowing into their accounting workflow.

Recipe costing connects fluctuating ingredient prices with plate costs and gross margins, including labor and how products are sold. That makes the software more useful for restaurant operators evaluating menu economics than an invoice tool alone. Inventory tools are intended to help reduce waste and manage stock, though the plan matrix indicates that some inventory and recipe features are opt-in on Starter and limited on On the House.

Integrations, access, and controls

Integrations include QuickBooks Online, Toast, Sage Intacct, Compeat, CTUIT, Restaurant365, Xero, ChefTec, Oracle E-Business Suite, and Jonas Club Software. This breadth can help restaurants fit xtraCHEF into existing accounting and operations systems. The maker says only the highest-level employees can change payment data or add vendors, a meaningful safeguard for sensitive payable workflows.

Users can work through a web portal or apps for Apple and Android devices. Onboarding includes setup by a Customer Success Representative and typically takes one hour to get started. Support is available by email, with the team aiming to respond in less than 24 hours.

Pricing

xtraCHEF is paid software with custom pricing.

On the House: The entry tier includes a mobile app, batch upload, and line-item recognition. It excludes invoice email and EDI, and limits AP automation and advanced reporting. It suits operations that can work around those exclusions, but is a poor fit for teams that need invoices routed by email or EDI.
Starter: This tier adds invoice email and EDI, AP automation, and advanced reporting, with some inventory and recipe features available by opt-in. Vendor statement reconciliation is opt-in. It is the more appropriate starting point for teams needing invoice workflows and reporting, provided they confirm the cost and availability of the optional features.
Chef’s Choice: The feature matrix includes all compared features, including vendor statement reconciliation. It is the clearest fit for buyers seeking the broadest listed feature coverage; whether that coverage warrants the custom price depends on the quote.

All three tiers are paid, and no trial or seat or invoice quota is established for xtraCHEF. The practical trade-off is between a limited entry package, optional features on Starter, and the broadest feature set on Chef’s Choice, with pricing needed to judge the value of each.

Platforms

xtraCHEF supports Android, iOS, and web access. That mix accommodates staff using mobile devices as well as back-office work through a browser.

Who it's for

xtraCHEF makes the most sense for US restaurants and hospitality groups managing ingredient purchasing, food costs, and margins, especially those that can use its accounting and restaurant-system integrations. Multi-location support broadens its appeal to groups coordinating operations across sites. Smaller teams that need only basic invoice capture may find the entry-tier exclusions restrictive; buyers focused on a fully costed menu and integrated back-office workflow have more reason to consider it.

Pros and cons

Pros: Line-item invoice data and recipe costing connect purchasing changes to plate costs and gross margins, supporting more informed menu decisions.
Pros: Integrations span accounting and restaurant operations systems, with digitized invoice data delivered to QuickBooks Online within 24 hours.
Pros: Mobile, web, and multi-location support accommodate restaurant teams working across devices and sites.
Cons: Custom pricing means buyers cannot compare tier costs without requesting a quote.
Cons: On the House excludes invoice email and EDI and limits AP automation and advanced reporting, which can rule it out for teams that need those workflows.
Cons: Some inventory and recipe features are opt-in on Starter, so the tier may not provide the full operational picture without added choices.

Craftable is another paid option with Android, iOS, and web platforms; compare it if you want to evaluate another restaurant-oriented product.
Folio is a paid web option with demo-based pricing and no public price; consider it if a web-only workflow and pricing by demo suit your purchasing process.
EYP Ops offers purchasing and supplier management for one restaurant branch on its Core plan at 179.00 USD per month with a 12-month commitment, billed monthly; its monthly list price is $209/mo. Consider it when a defined branch-level price and purchasing focus matter more than xtraCHEF’s invoice-to-recipe-cost workflow.
Vergo is a paid option for web, iOS, and Android; choose it for comparison if you are considering another cross-platform product.
Expensify has a free Submit plan for all members with receipt scanning, mileage tracking, expense reports, categories, and tags. It is a better fit for general expense tracking when a free starting tier matters more than restaurant-specific recipe costing and inventory tools.
BILL Accounts Payable has a paid Essentials plan at 49.00 USD per month, billed monthly, covering accounts payable and receivable, bill entry, and centralization. It is worth considering when a published monthly price and broader AP/AR subscription are the priority.
MarginEdge costs 350.00 USD per month per location and includes unlimited invoices processed, unlimited bills paid in the U.S., unlimited email support, and 1:1 software training. It may suit buyers who prefer a stated per-location price and those included service limits.
Zoho Expense offers a free plan; consider it if a free expense-management option is the primary requirement.

Verdict

xtraCHEF is a strong candidate for restaurant groups that want invoice line items, recipe economics, and inventory management in one back-office workflow. Its clearest reason to choose it is the link between changing ingredient costs and menu margins, reinforced by restaurant and accounting integrations. Its main reason to look elsewhere is the lack of public pricing, compounded by meaningful feature limits in the lower tiers; request a quote and verify the needed features before deciding.
