Overview

Pilot brings trip ideas, reservation details and shared itineraries together for travelers who want a group to plan from one place. It is strongest when a trip involves multiple contributors and bookings to coordinate; organizers who want someone else to run a retreat should weigh its separate per-attendee fee.

The service is available on the web, Android and iOS, with web as its primary platform. Pilot says it launched in 2022 and is based in Vancouver, Canada. The company information also identifies San Francisco and Nashville as headquarters and gives 2017 as a founding year.

Key features

Itineraries and reservations

The flexible itinerary builder combines drag-and-drop rearrangement with routes, map pins, notes, checklists and attached files or booking details. Reservations can be imported manually or by email, then parsed by AI into trips. Keeping plans and booking information together should help travelers avoid switching among separate trip records; PDF export adds a printable reference for travelers who want a copy beyond the app.

Group collaboration

Travelers can invite others by email or link without a group-size limit. Participants may edit together or get view-only access, with trip chat and lightweight voting for discussion and simple choices. That breadth suits large parties and shared decision-making, though the described tools are for trip coordination rather than full-service event management.

Discovery and AI

Pilot’s discovery tools span more than 3.2 million stays, millions of activities, local food categories and over 60 filters. AI can generate itineraries, suggest activities and extract booking details from imported files. These tools make the app more than a shared schedule, but travelers who prefer to choose every stop themselves can use the itinerary functions without relying on generated suggestions.

Maps, offline access and support

Customizable map pins use Google Maps data, and Pilot names Google Maps, Google Docs, Sheets and Calendar among tools it can replace. The iOS and Android apps provide offline itinerary access, useful when a connection is unavailable, although Pilot says some mobile functionality remains limited during early development. Support combines real-human help with instant AI answers for basic questions. Pilot also says it never sells user data.

Pricing

Pilot’s core plan is free, with no free trial. The Pilot plan costs 0.00 USD per free, billed annually, and includes the flexible itinerary builder, route and map tools, file and reservation import, real-time collaboration, iOS and Android apps, and offline mobile access. It is the practical starting point for solo travelers and groups who can organize their own trip; it does not include the separately priced full-service retreat planning.

Group-Rate Sourcing costs 0.00 USD per free, billed FREE, for groups of 8+ seeking group-rate sourcing for stays and experiences. It fits organizers looking for group rates without paying for managed planning.

Full-Service Planning costs 49.00 USD per once, billed 49$ /attendee/night. It includes a planning fee, with a 50% deposit at kickoff; additional on-site staff starts at $150/hour. This is for groups that want full-service retreat planning, and its per-person, per-night price can add up as attendance and duration rise.

Platforms

Pilot runs on web, Android and iOS. Mobile apps offer offline itinerary access, but some mobile functions are limited during early development. The web is the primary platform.

Who it's for

Pilot suits solo travelers who want itinerary, map and reservation tools in one place, and especially groups that need shared editing, view-only access and simple discussion tools. Its free sourcing option is relevant to groups of 8 or more seeking rates for stays and experiences. Retreat organizers wanting comprehensive planning may prefer the full-service option, provided its attendee-night fee and possible staffing costs fit the budget.

Pros and cons

Pros: The free core plan includes trip organization, imports, collaboration and mobile offline access, giving independent planners a broad set of tools without a subscription charge.
Pros: No group-size limit, plus edit and view-only permissions, lets organizers include a large party without giving everyone the same access.
Pros: AI booking parsing and PDF export keep reservation details usable in the itinerary and outside the app.
Cons: Some mobile functionality is still limited during early development, so the mobile apps may not cover every task as fully as users want.
Cons: Full-service retreat planning charges 49$ /attendee/night, with additional on-site staff starting at $150/hour, making it a separate cost consideration for larger or longer events.

Verdict

Pilot is a strong fit for travelers coordinating reservations and decisions with a group, particularly those who want shared editing and mobile offline itineraries without paying for the core plan. Its main reason to choose it is the range of trip and collaboration tools in one free service; its main reason to look elsewhere is the limited mobile functionality or the substantial per-attendee nightly charge when full-service planning is needed.
