Overview

Papyrs suits organizations that want a single hosted space for internal knowledge, team updates, and structured information gathering. Its mix of wiki pages, discussions, and forms is a stronger fit for company-wide coordination than for a personal note-taking setup.

The main trade-off is scale: the free Personal Wiki is limited to one user, while the paid plans start at $89 per month on annual billing. Teams should match their seat and subsite needs to a plan before committing.

Key features

Pages, search, and version history

A drag-and-drop editor combines widgets, custom layouts, Markdown, and a keyboard command palette. That flexibility helps teams shape pages around their own material, though it also makes Papyrs more of a configurable workspace than a narrowly focused document library. Search reaches pages, files, discussions, and forms; folders, tags, and templates add ways to organize content. Version history is useful for maintaining shared reference material, with unlimited history reserved for the Company Intranet plan.

Collaboration and forms

Page discussions, email update subscriptions, permissions, and subsites support collaboration without separating conversations from the material they concern. Built-in forms include reports, CSV export, status fields, and database views, making Papyrs useful for collecting and sorting team records as well as publishing documentation.

Integrations, mobile, and controls

Slack and Google Workspace integrations, Zapier, an API, and embedded third-party content give teams several routes to connect Papyrs with existing services. Mobile access comes through iOS and Android progressive web apps. The security overview describes AES-256 encryption at rest, TLS in transit, monitored servers, and firewalls. Papyrs says it adheres to GDPR, offers a signed Data Processing Agreement, and stores data in data centers in the Netherlands, Germany, Finland, and Ireland. Enterprise controls include a custom IP firewall, audit log, login alerts, password and session policies, and JWT web-token SSO.

Support is available by email and via the in-app feedback dialog; Papyrs says it strives to reply within 12 hours.

Pricing

The free Personal Wiki plan is best for one person organizing a small knowledge space, not for a working team: it allows one user, two subsites, and 1 GB of storage. Individual uploaded files can be up to 512 MB. The plan's price is custom pricing.

Team Wiki costs $89.00 USD per month, billed $89 annually or $99 monthly. It supports up to 20 users and 20 subsites, with no storage limit and advanced admin. This is the entry point for a small team that needs shared access and room for files; the annual price requires a longer commitment than monthly billing.

Company Wiki costs $347.00 USD per month, billed $347 annually or $386 monthly. Its caps rise to 60 users and 60 subsites, and it adds a custom domain and SAML. Larger organizations that need those controls can justify the step up, while teams below the caps may find Team Wiki sufficient.

Company Intranet costs $899.00 USD per month, billed $899 annually or $999 monthly. It removes the user cap, allows up to 100 subsites, and adds unlimited version history, federated identity management, and premium widgets. It is aimed at broad deployments; its price is difficult to justify for smaller groups that do not need these additions.

Two larger-seat variants are also available: Team Wiki (40 users) costs $179.00 USD per month, billed $179/mo or $199/mo, and includes 40 users, no storage limit, and advanced admin. Company Wiki (120 users) costs $539.00 USD per month, billed $539/mo or $599/mo, and includes 120 users, a custom domain, and SAML. Enterprise has custom pricing and unlimited subsites.

The 14-day trial includes all Company Intranet features and does not automatically charge when it ends, giving teams a way to evaluate the top tier without an automatic renewal.

Platforms

Papyrs is a cloud service with Android, iOS, and web access, and lists Windows, macOS, Linux, and an API among its platforms. The mobile apps are progressive web apps rather than a separately described native app experience.

Who it's for

Papyrs is strongest for organizations that want internal publishing, searchable team knowledge, discussions, and form-based record collection in one hosted product. Its permission tools and subsites can help organize work across groups, while SSO and the upper-tier administrative controls address larger deployments.

It is less compelling for an individual or a small team seeking an inexpensive shared wiki: the free plan is single-user, and team access begins at $89 per month on annual billing. It is also not a fit for buyers who require AI answers or semantic search; neither is offered.

Pros and cons

Pros: Search spans pages, files, discussions, and forms, so teams can locate more than just documents.
Pros: Forms include reports, CSV export, status fields, and database views, supporting practical record collection inside the workspace.
Pros: The 14-day full-featured trial ends without an automatic charge, lowering the risk of evaluating the top plan.
Cons: The free plan is limited to one user and 1 GB, so it cannot serve as a free team wiki.
Cons: Annual Team Wiki billing starts at $89 per month, a substantial commitment for small teams that only need shared notes.
Cons: AI search and semantic search are absent, limiting discovery options for teams expecting answer-style or meaning-based search.

Alternatives

Notion is worth considering for individual organizers: its free plan includes pages and blocks, databases, and basic collaboration, with apps for Android, iOS, macOS, web, and Windows.

Nuclino is another freemium option, with a free tier capped at 50 items, three canvases, and 2 GB of storage.

ProProfs Knowledge Base offers a free tier for one author and up to 25 pages, a more constrained starting point for a small knowledge base.

Confluence may suit teams that fit its free allowance of 10 users, 2 GB of file storage, and three active whiteboards per user.

Slab has a free plan for up to 10 users with unlimited posts and topics, but limits attachments to 10 MB and version history to 90 days.

Whale provides a free plan for 10 members, one creator, 20 Playbook items, and 20 AI credits.

Zoho Learn offers a free tier for five users, three spaces, five manuals, five courses, and 1 GB of storage.

BlueSpice is an alternative for organizations seeking a self-hosted wiki.

Verdict

Choose Papyrs if your organization needs one hosted workspace for company knowledge, internal communication, and form-based workflows, especially when its search and collaboration features matter together. Look elsewhere if you need a free multi-user wiki, AI-assisted discovery, or a lower-cost starting point: Papyrs' free plan is personal, and team plans begin at $89 per month with annual billing.
