Overview

OtisIO brings rotas, timekeeping, employment records, tasks and team communication into one platform. Open shifts, swaps and auto-assignment give managers options for filling schedules, while live labour cost helps them consider staffing expense alongside coverage. Approval workflows are supported, and accrual rules can be customized.

Attendance can be captured through GPS-stamped punches, kiosk mode, NFC tags and other clock-in methods. That range can suit teams with different working patterns, though the right option depends on how and where employees need to clock in. Operational tools include tasks, checklists, forms, audits, equipment sign-out and security patrols; HR tools cover time off, employment documents, e-sign acknowledgements, courses and certifications. Their availability varies by plan, so teams should match essential workflows to a tier before choosing.

Key features

Scheduling, attendance and operations

Rotas, shift swaps and open shifts address the practical work of organizing coverage, while time-clock options provide alternatives to a single punch-in method. Forms and audits can support routine procedures, and equipment sign-out adds accountability for shared kit. The feature set is broad enough to connect scheduling with operational work, but not every capability is included at every price level.

HR, integrations and API

Time off, employment documents, acknowledgements and training credentials extend the platform into basic workforce administration. Pro lists payroll and accounting integrations with Xero, Staffology, QuickBooks and FreeAgent, which may matter to teams wanting those connections without relying only on exports. Its REST API provides workspace-scoped access to people, shifts, timesheets, leave, tasks and sites, as well as webhooks; access requires a plan that includes it.

Security and support

OtisIO states that data is hosted in Europe and offers two-factor authentication on every plan. Its privacy policy says data is encrypted in transit, customer workspaces use separate databases, and specified sensitive fields and off-site backups are encrypted. Customers can contact the maker through workspace chat and report bugs or suggest features on every plan; Enterprise adds SLA support.

Pricing

The Free plan costs 0.00 USD per free and supports up to 10 users, one site and 1 GB of storage. It includes rotas, time clock and tasks, making it a useful small-team starting point, but the user and site caps limit its fit for growing or multi-location teams.

Starter costs 39.00 USD per month with annual billing shown by default, or £49 /mo on monthly billing. The first 30 users are included; additional users cost £1.20 /user annually or £1.50 /user monthly. It allows one site and 2 GB of storage, adding GPS clock-in, timesheet approval, payroll export and forms. This is a step up for teams that need more attendance control and payroll workflow, but the single-site limit remains.

Growth costs 79.00 USD per month with annual billing shown by default, or £99 /mo monthly. It includes 30 users, then £2.50 /user annually or £3.00 /user monthly, up to three sites and 5 GB of storage. Advanced scheduling, audits, requests and equipment sign-out make it more appropriate for teams with more complex operations, though larger site counts may outgrow its allowance.

Pro costs 179.00 USD per month with annual billing shown by default, or £199 /mo monthly. It includes 30 users, then £5.00 /user annually or £6.00 /user monthly, unlimited sites and 10 GB of storage. Geofencing, payroll integrations, automation and expenses make this the more capable option for multi-site teams, at a substantial jump over Growth.

Asset Management is a separate monthly line item at 65.00 USD per month, or is included with Enterprise. It adds an equipment register with photos and serial numbers, signed handover, per-site kit lists, and plant and hire costs. Enterprise has custom pricing and includes tailored seats, SLA support, SSO, directory provisioning, a facial-recognition kiosk and Site Register.

Every trial starts on Pro for 14 days without a credit card. Afterward, customers can select a plan or move to Free with their data retained. That gives teams time to assess higher-tier features before deciding, but the trial does not remove the Free plan’s caps.

Platforms

OtisIO supports Android, iOS, macOS, web and API access. Its download page lists iPhone and iPad apps, Android phone and tablet support, and a Mac desktop app; the Windows desktop app is coming soon.

Who it's for

OtisIO is aimed at shift-based teams in security, hospitality, cleaning and facilities, healthcare, construction and trades. It is most compelling when scheduling, attendance and operational processes need to sit together, especially across multiple sites. A small team with one site can begin on Free; teams requiring broader scheduling, integrations or operational controls should compare the paid tiers against their specific needs.

Pros and cons

Pros

Scheduling, attendance, tasks and HR tools share one platform, reducing the need to split those workflows across separate products.
GPS, kiosk and NFC clock-ins give teams multiple attendance methods to suit different work settings.
The 14-day Pro trial requires no credit card and lets customers move to Free afterward with their data retained.
Two-factor authentication is available on every plan, and support chat is available even on Free.

Cons

Free is limited to 10 users, one site and 1 GB of storage, so it is a narrow fit for larger or multi-location teams.
Starter remains limited to one site, while Growth stops at three; unlimited sites require Pro.
Extra users add recurring costs, and Pro's per-user charges are higher than Starter's and Growth's.
Feature availability varies by plan, so teams may need a higher tier for particular operations or HR capabilities.

Alternatives

Verdict

Choose OtisIO if your shift-based team wants scheduling, attendance and operational or HR tools under one roof, with the Pro trial giving you a way to assess its broader capabilities. Its strongest case is the combination of workforce workflows and flexible clock-ins. Look elsewhere if your team needs more than 10 users or one site without a paid plan, or if a narrower leave-management tool would do the job at lower complexity.
