Overview

Vendorfi covers the vendor lifecycle from requests and onboarding through approvals, contract tracking, renewals, ownership and offboarding. That scope can help teams keep responsibilities and renewal dates visible alongside purchasing decisions. Form-based intake, policy controls and approval workflows provide structure, but the free tier's three-vendor limit makes it better for a small operation than a growing supplier portfolio.

Key features

Lifecycle, contracts and AI

Vendorfi AI scans contracts to extract terms and notice periods, flag renewal risks and prepare audit summaries. These tools target a practical source of administrative risk: overlooked terms or renewal windows. The Free plan includes AI-powered alerts and insights, while Core adds AI insights and a lightweight assistant; Scale adds no stated AI-specific entitlement. CSV vendor import is unavailable on Free, so teams moving an existing roster will need Core or Scale for that route.

Spend visibility and integrations

Shared dashboards track spending across vendors and categories and surface budget drift and anomalies. That makes Vendorfi relevant to teams that want to monitor spend as part of vendor management, rather than handle contracts and budgets separately. Xero, QuickBooks and Slack integrations are included on Core; the pricing comparison also lists Asana, while Scale adds custom API integrations and webhooks. Free includes no CSV import, a constraint for teams onboarding vendors from existing spreadsheets.

Security and availability

Vendorfi says it encrypts data at rest with AES-256 and in transit with TLS 1.2 or higher, and makes encrypted daily backups in geo-redundant storage. It says its SOC 2 Type II audit is in progress, is GDPR compliant, and supports CCPA access and deletion requests. Its availability target is at least 99.9% per calendar month, excluding scheduled maintenance. Those assurances may matter to teams assessing vendor data handling, but the SOC 2 audit is not described as complete.

Pricing

Vendorfi is freemium. Free is $0.00 per free, billed free forever, and includes core vendor lifecycle management, AI-powered alerts and insights, standard email support, a complete audit log and action history, three active vendors and two user seats. That is a useful low-commitment starting point for a tiny team, but the caps quickly become restrictive as vendors or users grow.

Core costs $299.99 per month when billed monthly, or $259.99 billed annually. It raises capacity to 50 active vendors and 15 seats, and adds AI insights and a lightweight AI assistant, guided approval workflows, a 24-month audit trail, Xero, QuickBooks and Slack integrations, CSV import and standard support. It fits teams that have outgrown Free and want more structured approvals and a defined vendor capacity; the annual price is lower, but requires annual billing.

Scale has custom pricing and is billed custom. It includes unlimited active vendors and users, advanced role-based access control and SSO, custom approval workflows, EU or US data residency, audit history with no expiry, custom API integrations and webhooks, and priority support with a dedicated customer success manager. It is the fit for larger or more control-conscious teams, though buyers must request pricing and book a demo. A supplier portal is marked as coming soon, not a current capability.

Platforms

Vendorfi is web-based. The pricing comparison shows two ERP connectors, alongside Xero and QuickBooks integrations on Core. Single sign-on is included with Scale.

Who it's for

Vendorfi suits small and mid-sized businesses and tech startups that need a shared process for vendor requests, approvals, contracts and spend monitoring. Free can cover a very small roster; Core is more practical once the three-vendor or two-seat cap is a problem. Teams needing unlimited capacity, data residency choices, stronger access controls or a dedicated customer success manager should assess Scale. Organizations seeking an available supplier portal should wait until it is offered.

Pros and cons

Pros

Lifecycle coverage: Requests, onboarding, approvals, renewals and offboarding sit within one vendor-management scope.
Contract oversight: AI extraction of terms and notice periods, renewal-risk alerts and audit summaries address dates and obligations that can otherwise be missed.
Spend monitoring: Dashboards surface category and vendor spending, budget drift and anomalies.
Clear growth path: Core raises the caps to 50 vendors and 15 seats, while Scale removes capacity limits and adds access and residency controls.

Cons

Free is narrow: Three active vendors and two seats are unlikely to serve a growing team for long.
Core is a meaningful commitment: Monthly billing is $299.99 per month, and CSV import is unavailable on Free.
Scale requires a sales conversation: Custom pricing and a demo make costs harder to compare upfront.
Supplier portal is not ready: Scale lists it as coming soon, so it should not factor into a present-day buying decision.

Alternatives

Procurement Orchestration Software is a category directory for comparing procurement orchestration options.
Choose Flowie if a document-processing free tier matters more than workflows: its free plan supports up to 24 documents per month (300 per year), basic processing without workflows, all document types and one entity.
Choose ControlHub if purchasing-request approvals and mobile platform availability are priorities: its Approvals plan is $249.00 per month, with unlimited requests and requester users, five advanced users, and an additional-user charge of $12 per user.
Raindrop Systems is a paid alternative available on web and API.
VendrNova is a paid web-based alternative.
Consider Genie Bazaar if asset tracking is the need: its Starter plan lists up to 1,000 assets, up to 10 users, QR code tagging, a mobile app and API access, with pricing available on request.
Consider Levelpath if an enterprise platform is the priority and a paid plan without a free trial or free version is acceptable; pricing is available upon request.
Consider Precoro if procurement basics, vendor and spend management, integrations, reporting and analytics, and a mobile app suit the buying need; its Core plan is $499.00 per month, billed annually.
Gainfront AgentFlow is a paid web-based alternative with unpublished pricing and a demo requirement.

Verdict

Choose Vendorfi if your team wants vendor lifecycle management, contract renewal oversight and spend dashboards in one web-based system, and Core's vendor and seat capacity fits your operation. Its free plan offers a way to start, but the three-vendor and two-seat caps are severe; look elsewhere if you need a larger roster on a low-cost plan or want Scale pricing upfront.
