Overview

Keelstar handles business documents such as W-9s, insurance certificates, contracts, invoices, and policy acknowledgments. Teams can collect and approve documents, monitor deadlines, and retain records of activity across vendor compliance, contract operations, HR compliance, finance operations, and platform auditing.

Free browser tools provide one-time results without an account, and can be upgraded to monitored workflows. Keelstar describes setup as self-serve, with same-day go-live and no implementation fees or rollout project. That makes it a plausible fit for teams that want a focused process rather than a large implementation; the free tools, however, are not a substitute for continuing oversight.

Key features

Monitoring and evidence

Team workflows include reminders before every deadline, an audit trail, version history, role-based permissions, and on-demand exports. Records and their full history can be exported from every workflow. These features make Keelstar more useful for recurring document obligations than a one-time collection tool, particularly when a team needs evidence of who acted and when.

Conditional routing is supported, but parallel approvals are not. Invoice workflows include comments and an approval audit trail. Teams with processes that depend on simultaneous sign-off may need a different tool; those using conditional paths and documented sequential activity have a better match.

Access, data, and API

Role-based permissions govern workflow access, and meaningful actions are logged with an actor and timestamp for export as evidence. Data is encrypted in transit and at rest, held on managed access-controlled infrastructure, and backed up with retention configurable to customer needs. Customers own their data, can request deletion, and can export it at any time; Keelstar says it does not sell customer data.

Keelstar does not claim certifications it does not hold, and says it will publish formal attestations such as SOC 2 when completed. Teams that require a current formal certification should not treat the described security controls as a substitute. API endpoints cover documents, parsed fields, workflows, monitors, notifications, and webhooks; third-party integrations are not identified. Business plans include priority support, and the site offers a Help Center and contact email.

Pricing

Keelstar uses a freemium model, with paid Team workflows from $49/mo. The Free tools plan costs 0.00 USD per free, billed forever. It includes every free tool, no account, one-time browser results, and private signed share links. It is suitable for occasional tasks, but does not provide monitored workflows.

Team costs 49.00 USD per month, billed per workflow / month. It covers one application, fully monitored, with deadline reminders, audit trail and version history, role-based permissions, exports on demand, and up to 10 seats. Because the charge is per workflow, teams running several applications should account for each workflow rather than assume the price covers the whole operation.

Business has custom platform pricing. It includes every application on one platform, shared audit logging and permissions, priority support, volume and multi-workflow pricing, security documentation on request, and unlimited seats. It fits broader deployments, but lacks a fixed price for straightforward budget comparison.

Platforms

Keelstar is available on web and through an API. The API supports document, workflow, monitoring, notification, parsed-field, and webhook capabilities, making it relevant to teams connecting operational processes programmatically.

Who it's for

Keelstar is best suited to vendor compliance, contract, HR compliance, and finance teams that need recurring document collection, deadline reminders, permissions, and exportable audit evidence without an enterprise implementation project. It is less suited to teams needing parallel approvals, a broad named integration ecosystem, or a current formal certification requirement.

Pros and cons

Pros: Monitored Team workflows preserve history and send deadline reminders, addressing recurring obligations rather than just collecting documents once.
Pros: Exportable records, role-based access, and actor-and-timestamp logs help teams retain evidence of workflow activity.
Pros: Free browser tools require no account, while self-serve setup avoids implementation fees and a rollout project.
Cons: The free tier offers one-time results, not ongoing monitoring.
Cons: Team is priced per workflow / month and caps seats at 10, so multiple workflows or larger teams may require Business pricing.
Cons: Parallel approvals are not supported, and formal attestations such as SOC 2 are not yet claimed.

Alternatives

For invoice-focused approval routing, Nanonets Approval Routing Agent is another freemium API and web option, with a free plan and trial; its Starter begins with $50 in credits, then costs $100/month for 100 credits and up to three users.

DocuClipper Invoice Approval is worth comparing when broad platform coverage matters: it supports Android, iOS, Linux, macOS, web, and Windows as well as API access. Its Starter costs 20.00 USD per month billed annually for 60 pages/month, unlimited users, and API access.

hh2 AP Routing & Approval is a paid alternative for teams seeking AP routing and approval on Android, iOS, or web.

Vic.ai APSuite may suit organizations seeking an AI invoice-processing and approvals platform; its AP Module costs 25000.00 USD per year on a 12-month contract.

Cflow is a paid workflow alternative with a free trial and Android, iOS, web, API, and self-hosted availability. Its Joy plan costs 22.00 USD per month, billed monthly, with a 10-user minimum and a 20-workflow maximum.

Envoice is a paid alternative with a free trial; its Essential plan costs 10.00 USD per month for 50 documents and two users per month, with additional document and user charges.

Finmatics is another paid option for teams considering invoice processing: Pro Fin is 1.05 EUR per month with an annual invoice in advance, and monthly payment carries a 20% surcharge.

Hili Billing is a freemium web alternative.

Verdict

Keelstar is a strong fit for operations teams that need monitored document workflows, deadline reminders, permissions, and exportable evidence without an enterprise rollout. Its clearest reason to choose it is the shared audit-and-export approach across several business operations. Look elsewhere if parallel approvals or formal certifications are essential, or if a per-workflow monthly bill and 10-seat Team cap do not fit your scale.
