Overview

RealPage Vendor Credentialing is a vendor compliance service for multifamily property managers and the companies that work with them. It is best suited to teams that need to track insurance, licenses and other requirements across properties; its central advantage is a shared compliance workflow, though vendors pay an annual registration fee.

It can operate as a standalone product, so property managers do not need to adopt other RealPage software to use it. The service connects managers with a database of more than 135,000 credentialed multifamily vendors.

Key features

Managers can set Certificate of Insurance requirements company-wide or by risk tier, then monitor vendor status through compliance dashboards. RealPage manages insurance, licenses and business requirements by property and sends proactive notifications. This combination suits portfolios with differing property risks, while screening status checks, background checks, insurance review and financial-status evaluation add checks beyond document collection.

Vendors can submit, store and update documents in a secure online workspace, with an audit trail for staff. The mobile app lets vendors view clients and properties, link properties, check status, upload documents, review issues and update company details. That gives vendors a way to handle credentialing tasks away from a desktop.

Insurance agents get a separate portal with real-time document status, sample certificates, chat and expedited document processing. Lumina can retrieve license confirmation from a state website when a license number is entered. Credential Key is a premium vendor status denoting pre-qualification against property-management requirements and potential same-day readiness; it is not a guarantee that every vendor will be ready the same day.

Integrations include OpsTechnology, OneSite Purchasing and many third-party accounting systems, alongside spend-management, procurement and property-management solutions. The stated support hours are Monday through Friday, 7:30 a.m. to 6:30 p.m. Central Time, by phone at 888-493-6938, option 1.

Pricing

Property manager credentialing: Free, billed at no cost to the property manager. It includes vendor credentialing and ongoing criteria checks, making it the clear starting point for managers who want the compliance workflow without a subscription charge.

Vendor registration: custom pricing, billed as an annual fee specified by RealPage Vendor Credentialing. Registration renews annually, and the fee may change before the anniversary date. Vendors should account for that renewal and possible price change when deciding whether to register.

The manager plan is free, but this is not a free end-to-end service for both sides: vendor registration carries an annual fee. Vendor onboarding, compliance documents, insurance tracking, assignment workflows, vendor messaging and performance reporting are supported capabilities.

Platforms

RealPage Vendor Credentialing supports Android, iOS and web. The mobile app’s document, status and company-detail tools are particularly relevant to vendors handling requests across multiple client properties.

Who it's for

This is a strong fit for property managers who need property-level compliance oversight, adjustable insurance requirements and ongoing criteria checks, especially when their vendor relationships span a large multifamily network. Vendors that serve those managers can use the app and portal workflows to keep documents current. Businesses looking only for a small, inexpensive vendor list may find a free tier with a fixed vendor cap easier to budget for.

Pros and cons

Pro: Property managers pay free for ongoing criteria checks, avoiding a direct software fee for the manager plan.
Pro: Requirements can be set by company or risk tier, giving managers a way to reflect different property-level insurance needs.
Pro: It supports standalone use and integrates with named RealPage products and third-party accounting systems, allowing teams to use it without committing to the wider RealPage suite.
Con: Vendors face an annual registration fee that can change before renewal, making their ongoing cost less predictable.
Con: Credential Key is a premium status, so potential same-day readiness is not presented as a standard outcome for every vendor.

Alternatives

For a broader comparison, start with Property Management Vendor Management Software.

Fyxt is worth considering if a freemium property-management tool and unlimited users matter; its CRM Starter is free when at least 75% of tenant payments are collected through Fyxt by the end of the second month.
bcs is a fit for teams that want a permanent free plan capped at 25 vendors, with COI tracking, data extraction and automated requests.
TrackMyVendor offers a free forever web plan for up to 25 subcontractors and one user, plus a $39.00 USD per month Starter plan for those who prefer a flat monthly price without a contract.
VendorJot may suit a small operation: its free plan allows five vendors, two users, one workspace and one project, while Starter costs $29.00 USD per month.
HqO is another paid option available on Android, iOS, API and web.
ISOPro is a paid alternative with no free trial; it uses a one-off implementation fee and ongoing monthly subscription, with a custom quote based on requirements.
NetVendor is another paid, web-based option.
Yardi VendorCafe is another paid, web-based option.

Verdict

Property managers overseeing multifamily vendors should choose RealPage Vendor Credentialing when property-specific compliance controls, ongoing checks and integrations matter more than a fee-free experience for vendors. The manager plan costs nothing and the platform can stand alone; vendors’ annual registration charge, with a fee that may change before renewal, is the main reason to consider a capped free alternative instead.
