Overview

Indico brings event administration, room scheduling and event records into one open-source system. It is a strong fit for organizations running recurring academic or institutional events that can operate their own software; it is less suitable for teams seeking a hosted service with no installation work.

Its advantage is breadth: conference submissions and materials sit alongside registration, access controls and room bookings. The trade-off is that this breadth comes with deployment and configuration responsibilities rather than a paid plan that handles them for you.

Key features

Indico supports seminars, meetings, workshops and conferences, and can bring an institute’s events together. For conferences, the workflow spans registration and abstract submission, paper and material storage, and participant badges. Registration forms, ticketing, attendee email and onsite check-in cover practical event operations as well as submissions and archiving.

Hierarchical categories, resource protections and event-level roles let organizations shape access at several levels. That is useful when many departments or event teams share an installation, though it also makes Indico a system to configure around organizational needs rather than a lightweight single-event tool.

Room booking supports delegated management, approval of bookings and audiovisual equipment management. Companies, research institutes and universities coordinating shared rooms are the clearest beneficiaries. Zoom integration lets participants join video conferences with a single click.

Administrators can customize Indico through its configuration file and extend it with plugins. The project lists plugins for Zoom, PayPal payments and Amazon S3 event-file storage. Flask-Multipass supports compatible identity providers, including LDAP and SAML. Its HTTP Export API exposes category contents, events, rooms and bookings, making it relevant to organizations that need to work with this event data programmatically.

Pricing

Indico is free open-source software, priced at 0.00 USD per free plan. The plan is self-hosted, and no paid tiers are stated. That makes it a compelling option for organizations able to manage deployment themselves; free software does not remove the work of setting up an instance. There is no free trial because the software is already free.

Indico provides installation instructions, and the team lists email, IRC, Matrix and a community discussion forum as contact options. CERN adopted Indico in 2004 and has financed its development since; the project says CERN uses it to manage more than 900,000 events and 200 meeting and conference rooms.

Platforms

Indico supports Android, iOS, web, API access and self-hosted deployment. The self-hosted model is central to the choice: organizations get an open-source system to run themselves, rather than a conventional hosted plan.

Who it's for

Indico is best suited to universities, research institutes and companies that need event organization alongside shared-room management, and have the capacity to install and maintain an instance. It is particularly relevant where recurring conferences, access controls and event archives matter together. Teams that want a ready-to-use hosted service or only need a narrow submission workflow should consider a more focused option.

Pros and cons

Broad event lifecycle: registration, abstract submission, stored papers and materials, badges, ticketing and onsite check-in can serve organizers managing more than submissions alone.
Room workflows in the same system: delegated booking, approvals and audiovisual equipment management suit institutions coordinating shared spaces.
Adaptable integration points: plugins, LDAP and SAML-compatible authentication, and an HTTP Export API give organizations routes to fit Indico into existing systems.
Self-hosting is a real commitment: organizations must set up an instance, so the zero price is a better fit for teams able to manage their own deployment than for those seeking a managed service.

Alternatives

Fourwaves is worth considering for organizers who want a freemium web service rather than self-hosted software. Its free Starter plan includes 25 abstract submissions per year, unlimited registrations and events, with a 3% service fee.

ConfTool may suit a smaller non-commercial event that can work within its free license cap of 150 participants and local-installation requirement; Indico’s stated workflows cover a broader mix of event and room management.

HotCRP is another freemium alternative.

SimplyConf is a freemium alternative with a free Core plan that includes unlimited events, submissions and users.

Congressio may fit a small event team seeking a web-based workflow: its free plan allows one active event, 100 submissions and three team seats.

EasyChair is a web-based alternative whose free plan caps submissions at 20 and provides no technical support.

Oxford Abstracts may be a better fit for organizers focused on abstracts: its free Basic plan includes unlimited submissions, review and decision workflows, ticketing, reviewer progress tracking, and customizable forms and emails.

Sciencesconf is a free web-based alternative aimed primarily at scientific events; event requests require validation.

Verdict

Choose Indico if your institution needs event organization, room booking and archived materials in one free system and can manage a self-hosted installation. Its breadth and open-source model are the strongest reasons to choose it; the responsibility for deployment is the clearest reason to look elsewhere.
