Overview

HOA Simplify brings board administration, resident services, and property-manager tools together for communities that want dues, records, voting, and maintenance in one workspace. Its mix of resident-facing tools and accounting functions makes it a strong fit for boards and managers seeking more than a payment portal. Unit caps and per-transaction platform fees are important to weigh before choosing a plan.

Key features

Accounting and governance

AI Smart Accounting can produce reports and budget alerts from natural-language questions, as well as record expenses, payments, and journal entries through chat. Assessment billing, financial statements, bank reconciliation, and budget tracking are also supported. This breadth can reduce administrative fragmentation, though communities should weigh the platform's stated fees against their payment volume.

Election tools cover quorum tracking, proxy and ranked-choice voting, anonymous results, and archived elections. That combination suits associations with more involved voting procedures, not just simple polls.

Resident and portfolio tools

Residents can pay dues, find documents, submit maintenance requests, vote, and book amenities through a portal that can be installed as a PWA on mobile devices. Managers overseeing multiple communities get cross-HOA reporting, reusable dues templates, bulk resident imports, and a portfolio activity feed.

AI Smart Import maps CSV columns from Buildium, AppFolio, PayHOA, or spreadsheets, with preview and rollback. Stripe payments and QuickBooks Online sync are built in; Slack, Google Calendar, Zapier, DocuSign, Plaid, and Twilio are marked as coming soon, so they should not be treated as current integrations.

Security and compliance

HOA Simplify lists AES encryption, two-factor authentication, IP allowlisting, session management, secure file storage, automatic backups, and access controls. The company is building its formal compliance program as the platform matures, a consideration for associations with strict compliance requirements.

Pricing

HOA Simplify has a free plan and a 14-day trial. The paid plans carry unit caps and platform fees in addition to Stripe fees: 0.75% per transaction with a $5 minimum for PMC-managed HOAs, or 1.25% per transaction for standalone HOAs. Those charges can materially affect the total cost of collecting dues.

Basics: Custom pricing, up to 25 units. It may suit a small community, but its included features are not described.
Community: 79.00 USD per month (billed $99/mo Launch Pricing), up to 50 units. It includes basic accounting and billing, a resident portal, document storage, standard reports, and email support. This is the entry paid tier for smaller associations; it gives up the advanced accounting, vendor management, and board tools in higher tiers.
Association: 119.00 USD per month (billed $149/mo Launch Pricing), up to 125 units. Advanced accounting and billing, vendor management, board meeting tools, custom reports, mobile app access, and priority email support make it a better fit for communities needing more administration tools.
Standard: 179.00 USD per month (billed $229/mo Launch Pricing), up to 200 units. It includes advanced accounting, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. Its stated features overlap substantially with Association, so the higher unit ceiling is the clearest distinction in the plan details.
Premium: 379.00 USD per month (billed $449/mo Launch Pricing), unlimited units. It adds advanced analytics, API access, custom integrations, and priority feature requests to full feature access, for larger communities or portfolios that need scale and customization.
Enterprise: Custom pricing and custom capacity, with a custom support plan.

Support ranges from email on lower tiers to priority email on several paid tiers. The plan prices distinguish the monthly amount from a higher Launch Pricing amount; confirm which amount applies before committing.

Platforms

HOA Simplify is available on Android, iOS, and the web. Its resident portal can also be installed as a PWA on mobile devices.

Who it's for

It is best suited to HOA boards and property managers that want resident self-service alongside accounting, elections, and maintenance workflows. Portfolio reporting and bulk tools are especially relevant to managers handling multiple associations. Small communities should check the 25- or 50-unit limits and transaction minimums; organizations that require a mature formal compliance program may prefer to wait.

Pros and cons

Pro: Accounting, resident services, elections, and maintenance share one workspace, reducing the need to split those core tasks across separate tools.
Pro: Portfolio reporting and CSV migration with preview and rollback support managers moving multiple communities or importing existing records.
Pro: Election features include quorum tracking, proxy voting, ranked-choice voting, anonymous results, and an archive.
Con: The unit caps on Community, Association, and Standard mean growing associations may need a more expensive tier.
Con: Platform transaction fees apply on top of Stripe fees, including a $5 minimum for PMC-managed HOAs.
Con: The formal compliance program is still being built, and several named integrations are coming soon rather than built in.

Alternatives

Consider SMPLR HOA if its $25.00 USD per month Community plan, billed annually at the 25-home minimum, fits your association; monthly billing is $32/month, and per-home pricing slides from $1.00 to $0.50 as community size grows. HOA Fiscal is another paid, web-based option, with Essentials at $89.00 USD per month for associations under 50 units. HOA Hub may suit a smaller community seeking all features and unlimited users, documents, requests, events, and surveys: its Up to 25 units plan is $35.00 USD per month, billed $420 annually.

PayHOA, HOAfy, CINC, HOA Manage, and Vantaca are other options to compare. Browse Homeowners Association Management Software or HOA Accounting Software for category lists.

Verdict

HOA Simplify is a compelling choice for boards and managers who want resident services, accounting, voting, and portfolio operations in one system, especially when multi-community tools matter. Look elsewhere if transaction fees or fixed unit caps undermine the economics, or if your association needs a mature formal compliance program now.
