Overview

GymSales is a lead-management platform for gyms and other fitness businesses, especially clubs with staff responsible for turning enquiries and guest visits into sales. Its strongest case is bringing capture, follow-up, team workflow and sales reporting together; the trade-off is custom pricing and a demo-led buying process.

Key features

Gyms can capture visitors through a branded iPad guest sign-in app or QR codes, with waiver submission in either workflow. That gives front-desk teams a structured way to collect lead details and waivers; the iPad app is specifically an iPad tool, rather than a general mobile sales app.

After capture, staff can use automated follow-ups, bulk campaigns and one-to-one email, SMS or phone engagement. Prospect profiles, salesperson assignment and follow-up tasks help teams share responsibility, while activity views and sales funnels give managers a way to monitor progress. Retention automation and separate tracking for secondary sales, such as personal training or childcare, broaden its usefulness beyond membership enquiries.

Reporting covers campaign performance, waiver compliance, daily activity, sales funnels, team performance and custom sales targets. This is useful for clubs that want to connect outreach with sales activity and targets, rather than simply store contact details. Existing forms can also connect through the GymSales API, and the product lists integrations with member systems including ABC Ignite, ABC Glofox, Mindbody, Gym Master and Virtuagym, among others.

GymSales is web-based, so staff can respond to enquiries from different locations. Its terms set a 99.95% monthly uptime target, with exceptions including planned downtime and third-party outages. The Data Processing Addendum covers personal-data processing and applicable cross-border transfers; it also requires notification of a personal-data breach without undue delay and within 72 hours of awareness. The terms say support requests are generally answered within one business day, with reasonable efforts to respond within two hours or less.

Pricing

GymSales subscription: custom pricing, with fees and included services set out in a subscription agreement. Fees are billed monthly in advance. Optional SMS is charged per credit sent, so clubs should account for messaging volume when comparing costs. There is no free plan or trial described; prospective customers are directed to book a demo, making GymSales less suitable for teams that need a public price before engaging sales.

Platforms

GymSales supports web, Android, iOS and API access. The branded guest-waiver app is specifically for iPad, while the web product supports staff responding to enquiries remotely. WhatsApp is not yet a current channel: GymSales says it is coming and offers an availability notification.

Who it's for

GymSales is best suited to fitness businesses with recurring lead flow, a sales team and a need to track follow-up alongside campaign results. Clubs already using one of its listed member systems may find the integration options especially relevant. A small operator seeking a low-cost, self-serve CRM with transparent pricing may be better served elsewhere.

Pros and cons

Pros: Lead capture includes branded iPad sign-in, QR sign-in and waivers, accommodating both staffed and QR-based guest registration.
Pros: Automated and manual email, SMS and phone engagement sit alongside assignment and task management, helping teams organize follow-up rather than leaving leads in a standalone list.
Pros: Campaign, waiver, activity, funnel and target reporting offers managers several views of sales execution.
Cons: Custom pricing and a demo-first purchase make cost comparison and quick self-serve adoption harder.
Cons: Optional SMS is charged per credit, so messaging costs vary with usage.
Cons: The guest-waiver app is for iPad; businesses wanting a dedicated Android guest-sign-in app should not assume one is included.

Alternatives

WinChilla is another paid option for readers comparing gym-oriented software.

GymCRM is worth considering for a gym seeking a published monthly price: its launch offer is 299.00 INR per month for unlimited members for the first 100 gyms, with a standard plan also offered.

GymLeads may appeal to clubs preferring a published month-to-month license at 149.00 USD per month, with unlimited users, leads and locations.

LoopSpark is an alternative to compare if a free trial and separately priced add-ons such as forms and waivers or Zapier matter to your buying decision.

Smarfle offers a transparent small-team entry point: its Solo plan costs 19.00 USD per month month-to-month for one user and up to 100 clients.

Boost CRM is another option for teams comparing prospect pipelines and follow-up automation, with a Pro annual plan billed upfront for a one-year commitment.

Verdict

Choose GymSales if your fitness business needs a coordinated system for capturing guests, assigning sales follow-up and measuring campaigns, funnels and team activity. Its fitness-specific workflows and member-system integrations are the main reasons to choose it; custom pricing, a demo-led purchase and per-credit SMS charges are reasons to look elsewhere if clear upfront costs matter more.
