Overview

OpenApply is an admissions system built around the journey from a family’s first enquiry to a student’s enrolment. It is best suited to international and independent schools, including groups and schools serving Greater China.

Its strength is the combination of family-facing application tools and school workflows, with exports and a broad set of payment and school-system integrations. The trade-offs are custom pricing tied to enrolled student numbers and a web-based setup that requires a working internet connection.

Key features

Families can apply or re-enrol, follow progress, receive updates and register for school events. On the school side, OpenApply supports applicant communications, document collection, review, decisions and enrolment, covering the main admissions stages in one system rather than stopping at application intake.

Applicant and family information can be exported as PDF or Excel CSV, and all stored information is exportable. A public API provides secure access to data and files, which gives schools another route to work with their records. That combination is useful for schools that want control over their admissions data, though it does not remove the need to plan integrations with existing systems.

Connections include payment services such as Flywire, Alipay, WeChat, Stripe, PayPal, Braintree and CyberSource, as well as school systems including PowerSchool, iSAMS, ManageBac+ and Engage. Other listed integrations include Finalsite, I-DAT, WeChat SSO, SAO and Baidu Map. The breadth is particularly relevant to schools operating across regions and payment methods; schools should confirm that the specific connections they need fit their workflows.

OpenApply says it builds application forms within 24–48 hours and that typical implementation takes 4–6 weeks. That offers a defined expectation for setup, but schools should allow for an implementation period rather than expecting an immediate switch.

Pricing

OpenApply is paid, with custom pricing based on enrolled student numbers. The annual school subscription is billed annually in advance and is non-refundable. Schools can instead pay two years upfront for a 5% discount or three years upfront for a 10% discount. Those longer terms lower the stated fees but require a larger upfront commitment; the annual option avoids that multi-year commitment, though it remains non-refundable.

A free plan is also offered, but no plan limits or terms are given for it, so schools considering it should establish what it covers before relying on it. The School Group Dashboard is an optional paid upgrade, meaning group-level dashboard functionality adds to the cost rather than forming part of the base subscription.

Platforms

OpenApply is web-based and hosted on its servers; it requires an internet connection and a modern browser with JavaScript enabled. It is listed for web, macOS and Windows, but the stated delivery model makes connectivity and browser access central to day-to-day use.

Hosting is on Amazon Web Services: mainland China accounts are hosted in Beijing, while other accounts are hosted in Montreal. OpenApply states that it is ISO 27001 compliant and uses SSL encryption between users and its systems by default. Faria says its systems follow GDPR, PIPEDA, COPPA, UK DPA 2018 and Chinese Cybersecurity Law requirements.

Who it's for

OpenApply is a strong fit for international and independent schools, new schools, schools in Greater China and school groups seeking a connected admissions process that includes family communications and enrolment. Email support is offered 24 hours a day Monday through Friday, alongside free one-to-one online setup training; the homepage also advertises email and Help Centre support around the clock, seven days a week.

Schools that need admissions work to continue offline, or that require a known price before starting a conversation, should look elsewhere. The subscription’s student-number basis and non-refundable annual term also make it important to match the commitment to the school’s size and plans.

Pros and cons

End-to-end workflow: Applications, re-enrolment, document collection, review, decisions and enrolment sit within one admissions process.
Useful family tools: Parents can track progress, receive updates and register for events, reducing the gap between school-side processing and family communication.
Export and integration options: PDF and Excel CSV exports, a public API and numerous payment and school-system integrations give schools routes to use and retrieve their records.
Online dependence: The hosted service requires an internet connection and a modern JavaScript-enabled browser, so it is not suited to offline admissions work.
Pricing commitment: Fees depend on enrolled student numbers, annual billing is in advance and non-refundable, and multi-year discounts require upfront payment.
Group dashboard costs extra: The School Group Dashboard is a paid upgrade rather than an included capability.

Alternatives

Admissions Software and Education CRM Software are useful category starting points for schools comparing admissions and education-focused relationship tools.

Choose SurveyMonkey instead when the need is simple surveys, forms or quizzes and a freemium tool is a better fit than a school admissions workflow; its free Basic plan limits surveys to 10 questions and responses are limited.

WebAdMIT is another paid admissions option, with a complimentary plan for participating programs. Consider it when that program-based offer suits better than OpenApply’s school subscription based on enrolled student numbers.

OpenEMIS Admissions is the alternative to consider when free, open-source admissions software and self-hosting matter more than OpenApply’s hosted service and paid school subscriptions.

Gecko is another paid option, with Android, iOS, web and API platforms.

Common App is a freemium alternative available on web, iOS and Android.

Embark offers a paid Campus solution with custom pricing.

For schools prepared to pay a published license price, Slate lists an Admissions & Enrollment license for $30,000.00 USD per year for fewer than 1,500 annual submitted applications.

AdmitCue is a freemium alternative available on the web.

Verdict

OpenApply is a sensible choice for international and independent schools that want family-facing admissions tools alongside review, decision and enrolment workflows, with export and integration options. Choose it for that end-to-end school focus; look elsewhere if offline access or a clear, fixed price is essential, or if the School Group Dashboard would make the total commitment unsuitable.
