Overview

Rentman is a rental and event-production management platform for teams that need to coordinate equipment, crew, and project administration. It is most compelling for event-rental and AV businesses that want those workflows connected rather than handled in separate tools.

Its modular pricing can suit teams that need only selected capabilities, but the Platform fee is distinct from the per-power-user charges for several working modules. Budget for the combination your operation needs, not just the entry price.

Key features

Equipment planning and tracking

Teams can check availability, book equipment, arrange subrentals, and review costs. QR and barcode scanning support check-in and checkout and help track equipment across locations. This is useful for rental operations where knowing what is available and where it is matters; the more advanced inventory and warehouse functions are tied to separate modules.

Crew scheduling

Drag-and-drop scheduling and shift filling based on availability, training, and cost help planners balance staffing needs. Crew members can use the mobile app to accept or decline job invitations, report availability and hours, and access job notes and files. That gives field staff a practical route to job information, while the crew-planning tools are charged per power user.

Quotes and project administration

Rentman can produce estimates and proposals, branded quotes, and digital signature approvals for quotes and contracts. Online payments and invoicing are included in the Quoting & Invoicing module. Projects also draw on task management, team collaboration, calendars, dashboards, and file sharing in the Platform plan.

Integrations and resilience

Named integrations include QuickBooks, Zapier, Mollie, Xero, WooCommerce, Stripe, Calendar, Visma E-conomics, Exact Online, Port-All, and Billit, alongside the Rentman API. Rentman says it encrypts customer databases and server connections, hosts data in major European data centers, and uses redundant infrastructure, backups, and automatic data-center switching. It reports uptime above 99.995% over the past four years. Support is included; the team aims to answer most questions within an hour and all questions within a day.

Pricing

Rentman offers a free plan and a 30-day trial. Its paid Platform plan starts at 39.00 EUR per month, billed monthly, with yearly payment saving 8%. The entry Platform price covers CRM and communication, task management, team collaboration, dashboards and calendars, file sharing, the mobile app, and API access.

Basic users are free, but power users plan equipment, schedule crew, and create financial documents. Power users are required to create and edit projects and schedule equipment or crew, so the free basic-user allowance does not replace paid operational seats.

Inventory Standard: 14.00 EUR per month per Power User for equipment availability, project scheduling, and standard inventory features. Inventory Pro: 19.00 EUR per month per Power User for the same core scope with Pro inventory features.
Crew Essential: 14.00 EUR per month per Power User; Crew Standard: 19.00 EUR; and Crew Pro: 24.00 EUR. Each covers crew scheduling, availability, and worked-hours tracking. Crew Enterprise has custom pricing and adds an integrated freelancer marketplace, work-permit and hour tracking, and travel, catering, and accommodation features.
Quoting & Invoicing: 9.00 EUR per month per Power User for estimates and proposals, quotes, e-signature approvals, online payments, invoicing, and reports.
Equipment Tracking: 9.00 EUR per month per Power User for check-in and checkout, QR and barcode scanning, warehouse operations, and serialised inventory. History Logs: 12.00 EUR per month per Power User for change logs covering warehouse, equipment, projects, contacts, and crew members.
Additional Warehouse: 5.00 EUR per month for multiple storage locations, equipment allocation across warehouses, and warehouse availability and stock management.

The menu lets a smaller operation avoid buying every specialist capability, but a team needing several modules will pay the Platform charge plus the relevant power-user fees. The lowest module price is therefore not the full cost of running a project workflow.

Platforms

Rentman is available on Android, iOS, and the web, and provides an API. Its mobile app focuses on crew invitations, availability, hours, notes, and files.

Who it's for

Rentman is aimed at event-rental teams and AV and event professionals, from one-person operations to large production companies. It fits businesses coordinating rental inventory and event labor alongside quoting and project work. Teams seeking only a simple asset list, or needing every capability at a single flat per-seat price, may find its modular structure less suitable.

Pros and cons

Pro: Equipment, crew, and quote workflows sit within one event-production system, reducing the need to coordinate those functions across separate tools.
Pro: Crew mobile access covers invitations, availability, hours, and job files, which gives field staff useful self-service capabilities.
Pro: Free basic users and separately selectable modules allow some control over which users and functions incur fees.
Con: Power users pay module fees in addition to the Platform plan, so project creation and core scheduling can cost more than the starting monthly price suggests.
Con: Advanced inventory, tracking, history, and warehouse functions are split across separate modules, making total cost dependent on the operation's specific needs.

Verdict

Choose Rentman if your event-rental or AV operation wants equipment planning, crew scheduling, and project administration working together, with mobile access for crew. Its main trade-off is cost complexity: the Platform subscription does not include every operational module, and power-user fees can accumulate. Teams needing only one narrow rental function or a simpler all-in-one price should compare alternatives before committing.
