Overview

Zoho Invoice is a free invoicing app for small businesses and independent professionals who need recurring billing, payment follow-up, and client self-service. Its strongest case is the breadth of those tools at no subscription cost; the two-user, three-project, and 500-invoice annual caps, plus inactivity-based data deletion, make it less suitable as a permanent home for a growing operation without careful account management.

Zoho, founded in 1996 and headquartered in Chennai, India, also offers GST-compliant invoices and GSTR-1 filing through an API. Zoho says it does not show ads or sell user information.

Key features

Invoicing and payments

Recurring invoices and invoice tracking support routine billing, while overdue-balance reports and automated payment reminders help users keep collections visible. Invoices can be emailed or sent as PDFs through WhatsApp or iMessage. Customers can pay by UPI, credit or debit card, net banking, or bank payment, making the payment options particularly relevant to businesses serving Indian customers.

Client and business workflows

The customer portal lets clients view and pay invoices, respond to quotes, and leave reviews. That gives clients a self-service route for several billing interactions, rather than limiting the portal to invoice viewing. Expense and time tracking add useful record-keeping alongside invoicing, and reports cover products, receivables aging, customers, taxes, sales, and expenses.

Integrations include Zoho CRM, Analytics, and Books, among others. Businesses already using Zoho tools may benefit from keeping related workflows connected; the breadth of the integration list alone does not establish fit with other systems. Free email support is available 24/5.

Pricing

Free

The Free plan costs 0.00 USD per free and is billed Free forever; it is free for all Indian businesses, forever. It includes online invoicing, payment reminders, recurring invoices, a customer portal, expense and time tracking, and up to two users. The annual ceiling of 500 invoices and limit of three projects will suit modest workloads, but can constrain businesses with multiple staff, many active projects, or heavier billing volume. Invoices carry Powered by Zoho Invoice branding.

The zero subscription price is compelling for a freelancer or small team that fits within the caps. It comes with a meaningful continuity caveat: after more than 180 days of inactivity, account data is deleted within the following 20 days, with prior notification. Businesses relying on it should keep the account active and consider the consequence of losing data if billing operations stop. No paid plan is described; a plan without a published price would have custom pricing.

Platforms

Zoho Invoice is available on Android, iOS, Windows, and Mac. That range suits users moving between phones and desktop systems, though no web platform is specified.

Who it's for

Freelancers, consultants, contractors, agencies, entrepreneurs, startups, and small businesses are the clearest fit, especially those that need recurring invoices, client payments, and reminders without a subscription. Indian businesses that need GST-compliant invoices or GSTR-1 filing through an API have a specific reason to consider it. Larger teams or businesses exceeding three projects or 500 yearly invoices should look for a plan whose capacity fits their workload.

Pros and cons

Pros

Broad billing toolkit at no subscription cost: recurring invoices, reminders, tracking, a customer portal, and expense and time tracking are included in the free plan.
Several routes to payment and delivery: customers can use UPI, cards, net banking, or bank payments, while invoices can be sent by email, WhatsApp, or iMessage as PDFs.
Useful client visibility: the portal handles invoices, payments, quote responses, and reviews in one self-service space.

Cons

Hard free-plan ceilings: two users, three projects, and 500 invoices per year may be restrictive as a business expands.
Branding on invoices: the free plan includes Powered by Zoho Invoice branding, which may not suit businesses seeking unbranded client-facing documents.
Inactivity can erase account data: deletion follows over 180 days of inactivity, within 20 days, even though prior notification is provided.

Alternatives

PayPal Invoicing is worth considering if creating and sending invoices without setup or subscription fees is the priority; transaction fees apply when customers pay.
InvoiceOcean has a free plan capped at three invoices per month and one user, so Zoho Invoice offers a much higher stated free invoice allowance for businesses that fit its other limits.
SumUp Invoices may suit businesses wanting unlimited invoices and quotes on its free plan, with recurring invoices and customer management also included.
Hiveage offers unlimited invoices, estimates, and time tracking on its free plan, but its stated client cap is five.
SolidInvoice is an option for teams seeking a 9.00 USD per month Solo plan with 10 active clients, unlimited invoices, one seat, online payments, and recurring invoices.
Billbooks may suit someone who wants a trial before choosing paid invoicing software; its trial lasts 30 days and does not require a credit card.
Zoho Billing is a paid Zoho option, with its Standard plan at 39.00 USD per month billed annually and up to three users.

Verdict

Zoho Invoice is a strong choice for an Indian freelancer or small business that can stay within two users, three projects, and 500 invoices a year and wants recurring billing, payment follow-up, and a client portal without subscription fees. Look elsewhere if those caps are too tight, invoice branding is unacceptable, or the risk of inactivity-based data deletion does not fit how the business manages its records.
