Overview

EduCRM is a browser-based CRM for education agencies and consultants managing student recruitment and university applications. It is best suited to small teams that want student records, application progress and billing kept together. Its free plan offers a low-risk start, but the 10-student cap makes Premium the practical choice once a service grows.

Run by GN, EduCRM works in English and Greek and requires no installation. It can serve study-abroad consultants, education agencies, recruitment teams and admissions consultants. For broader category comparisons, see Student Recruitment Software and Education CRM Software.

Key features

Student and application management

A student record can hold parent contacts, sessions, notes, applications, documents, tasks, payments and invoices. That breadth makes EduCRM a useful coordination hub for agencies that otherwise track client work across separate records. Applications have their own stages, deadlines, documents and owners, and a drag-and-drop board helps a team see and update progress. Funnel analytics and a prospect limit of 1,499 add a basic view of recruitment activity, though the Free plan's 10-student ceiling is far lower.

Calendar, importing and forms

Optional two-way Google Calendar sync covers sessions, tasks and deadlines, which can reduce the need to maintain schedules in two places. Students can be imported from spreadsheets; Premium adds data export. There is no connector for an LMS or student information system, and no UCAS or Common App API integration. Teams can note which platform an application uses, but should not expect EduCRM to sync application data with either service.

Premium registration forms create a branded sign-up page on an EduCRM subdomain, with 47 ready-made questions and up to 10 custom ones. This is a useful lead-capture option for agencies seeking a structured intake process, although the page is hosted on EduCRM's subdomain rather than a stated custom domain.

AI and safeguards

AI converts spoken notes into tasks and suggests spreadsheet column mappings during import. Both require user confirmation before saving, keeping people in control of the resulting records. Data is stored in Google Cloud's europe-west1 region, encrypted in transit with TLS 1.2 or higher and encrypted at rest. Workspaces separate data and provide owner, admin, counsellor and viewer roles, along with an immutable log of access and admin events. EduCRM does not hold an independently audited certification such as ISO 27001 or SOC 2, a material consideration for institutions with formal assurance requirements.

Pricing

The Free plan costs 0.00 EUR per free, billed forever, and supports up to 10 students. It includes session tracking, calendar and scheduling, application tracking, payment tracking, invoicing and email support. It is a credible starting point for a solo consultant or very small practice, but the student cap makes it unsuitable for a growing caseload.

Premium costs 49.99 EUR per month, billed €49.99/month, and supports up to 1,499 students. It adds branded registration forms, AI voice tasks, custom branding, data export and priority support. Extra team members cost €49.99 each. The jump from the free cap to the larger capacity is substantial, but teams should account for per-member charges before committing.

Business uses custom pricing and is billed “Let's talk,” with + €49.99/mo Premium. It adds a professional custom website, custom lead-capture form, professional email at the customer's domain, automatic invoices, and ongoing maintenance and updates. It is aimed at agencies wanting a broader web and lead-generation package; those needing only CRM capacity may find Premium the more direct fit. EduCRM also offers a 14-day trial. Free support is by email, Premium support is priority, and the site says direct enquiries receive a reply within 24 hours.

Platforms

EduCRM runs in a web browser, with no installation required. English and Greek are supported. Readers who need native mobile or API platforms should compare alternatives rather than assume browser access covers those needs.

Who it's for

EduCRM is a good fit for education consultants and agencies that want one place for student histories, application stages, scheduling and payment records. It is particularly compelling when spreadsheet import, Google Calendar sync or a branded intake form would simplify day-to-day coordination. It is less suitable for institutions that depend on UCAS or Common App integration, LMS or student-information-system connections, or independently audited security certification.

Pros and cons

Pros

Broad student records: contacts, applications, documents, tasks and financial records can sit together for each student.
Clear application workflow: per-application stages, deadlines and owners appear on a drag-and-drop board.
Useful entry point: the free plan includes core tracking and invoicing, with no end date, for up to 10 students.
Practical import assistance: spreadsheet import and AI column-mapping suggestions can ease migration, while confirmation remains with the user.

Cons

Low free capacity: 10 students is likely to constrain even a modest active caseload.
Seat costs add up: each extra Premium team member costs €49.99.
Limited external connectivity: there is no LMS or SIS connector and no UCAS or Common App API integration.
No independent security certification: organizations requiring audited certification may need another product.

Alternatives

Gecko is worth considering for buyers seeking a paid alternative with Android, iOS, web and API platforms. Creatrix Campus Admissions suits institutions looking for an admissions product with customized institutional pricing and Android, iOS, web and API availability.

ConexED Retain is another paid web-based option. Slate may suit organizations prepared for a substantial annual license: its listed Admissions & Enrollment license is 30000.00 USD per year for a single database and license, and it has Android, iOS, web and API platforms.

Jenzabar Campus Marketplace is a paid web and API alternative with pricing handled through a demo request. Salesforce Education Cloud is a broader paid option with Android, iOS, web and API availability; its Enterprise Edition is listed at 87.00 USD per year, billed annually at $87 USD/User/Month, and it offers a free trial.

Unibuddy is a paid option for organizations considering ambassador programs, with Android, iOS and web platforms. Azorus CRM may appeal to buyers seeking a paid API and web CRM with fixed contract pricing, no per-user fees and no usage caps.

Verdict

EduCRM is a sensible choice for education consultants and recruitment agencies that need student records, application workflow and billing in one browser-based workspace. The free plan gives small practices a way to start, while Premium supplies the capacity and branded intake tools a larger operation is likely to need. Look elsewhere if your workflow depends on UCAS or Common App data syncing, institutional-system connectors or independently audited security certification.
