Overview

DoneTrace supports move-in, move-out, turnover and other property inspections. Users can create custom checklists, attach photos to individual steps, then share completed records by link or export them as PDFs containing protocol details, timestamps, notes and photos. That combination makes it useful when a team needs more than a ticked-off list: the record can show what was checked and provide supporting evidence for an owner or job file.

Share links are scoped and revocable, and recipients can view, run, save, print or download without an account. DoneTrace says records use row-level security and that users own their data. These are practical controls for sharing records, though recipients’ account-free access still makes careful link distribution important.

Key features

Checklists, photos and reports

Photo proof tied to each checklist step gives inspections a clearer record than a completion list alone. PDF export and share links provide straightforward ways to pass that record to owners or retain it with a job. Direct integrations with property-management platforms are on the roadmap, so teams relying on connected workflows will need to use document uploads or links with owner portals that accept them.

Protocol flows and team tools

Paid plans add visual protocol flows that connect checklists through decision gates, assigned owners and evidence dependencies. This is more useful for repeatable, multi-step operations than for a landlord who only needs a basic inspection form. Team plans also include member invitations, workspace roles and a shared template library, supporting coordinated use across a group.

Mobile and connectivity

The web app works in iOS Safari and Android Chrome, with no installation required. But an internet connection is required to save inspection runs, and dedicated offline mode is on the roadmap. That is a material limitation for field work in basements, remote properties or other places with weak service.

Templates and standards

Starter templates are examples, not certified inspection standards. For regulated or safety-critical work, DoneTrace advises review by a qualified expert; teams cannot treat a supplied template as a substitute for an approved procedure.

Pricing

DoneTrace is freemium, with a free plan and paid plans billed monthly. Pro and Team include a 14-day free trial and require a card.

Plan	Price	What it includes
Free	0.00 USD per free, billed forever	Unlimited personal checklists, 5 AI draft credits per month, 1 workspace, photo proof per step, PDF export and share links.
Pro	9.00 USD per month, billed monthly	50 AI draft credits per month, visual protocol flows, custom industry tags, advanced reviewers and audit history.
Team	29.00 USD per month, billed per workspace and monthly	Team invitations, workspace roles, shared template library and 200 AI credits per month.
Operations	Custom pricing, billed per month	SSO + SAML, dedicated success, custom retention and unlimited AI add-ons.

Free is a capable starting point for an individual: it includes unlimited personal checklists and the core photo-and-report workflow, but is limited to one workspace and five AI draft credits monthly. Pro suits a solo operator who needs the paid workflow tools and a larger AI allowance. Team is the relevant step up for shared work, adding roles and a common template library for 29.00 USD per month per workspace. Operations is aimed at organizations needing identity controls and custom retention, with custom pricing.

Platforms

DoneTrace is available on Android, iOS and the web. Its mobile access is through the browser, rather than requiring an app installation, but saving runs still requires a connection.

Who it's for

DoneTrace can serve landlords, property managers, real estate inspectors, vacation-rental operators, contractors, insurance-claim documenters, HOA boards and construction teams. Its checklist-and-evidence approach is most compelling for people who need a shareable property record; teams with regulated or safety-critical processes should have qualified experts review templates before relying on them.

Pros and cons

Pros: Photo proof per checklist step makes records more informative than completion status alone.
Pros: PDF reports and revocable, scoped share links let teams pass records to recipients without requiring them to create accounts.
Pros: The free plan includes unlimited personal checklists, photo proof, PDF export and share links.
Cons: Runs cannot be saved without an internet connection, limiting field use where service is unreliable.
Cons: Direct property-management integrations are not yet available, so connected workflows depend on PDFs or share links.
Cons: Starter templates are not certified standards and need expert review for regulated or safety-critical work.

Alternatives

For a wider category comparison, see Property Inspection Software. PropertyTrace may suit readers who prefer a property-count-based free plan, which allows 10 properties and five reports per month, with a Tours Pack at 12.00 GBP per month for 25 additional published tours. The Property AI is another freemium option for readers comparing property tools across Android, iOS and web. Wooma offers a free plan for up to 10 properties and one user, with unlimited documents, core report types and eSignatures. myInspections is worth considering for landlords seeking unlimited inspections and properties with one seat at 8.00 USD per month. SmartRent Smart Access is a paid, project-specific alternative for access control. zInspector is a freemium option available on Android, iOS, web and API. Inventorai is a paid alternative with a 10-credit pack for 25.00 GBP once, plus VAT. The Inventory Manager offers paid inspection products including HMO, periodic and schedule-of-condition inspections.

Verdict

DoneTrace is a good fit for landlords and property teams who want checklist-based inspections with photo evidence and shareable or exportable records, especially if they can begin with a free personal workspace. Its central advantage is linking proof to each step; look elsewhere if offline saving or direct property-management integrations are essential, and have templates reviewed before using them in regulated or safety-critical work.
