Overview

Cogran is a browser-based operations platform for recreation organizations that need to coordinate programs, facilities, memberships, sports, communications, and payments. It suits parks and recreation departments, camps, and community or sports organizations managing several of those workflows together. Its registration-based annual plans start at $899.00 USD per year, so the key question is whether the breadth of tools fits your operation and annual volume.

Key features

Registration brings forms, waivers, eligibility rules, discounts, online payments, and waitlists into one process. That combination can help organizations handle program sign-ups and capacity rules without treating each as a separate task. Reservations cover availability, time slots, overnight bookings, rental requests, and facility calendars, making Cogran relevant to operators that manage both programs and spaces.

Membership renewals and member pricing sit alongside sports registration, team and coach assignments, schedules, and standings. This is a broad operational mix rather than a narrow camp-only tool, though the annual volume tiers make it important to match the plan to expected activity. Group email and text messaging, confirmations, reminders, branded email templates, reports, and charts round out the administrative toolkit.

Cogran works with Stripe for payments. Standard online card processing is approximately 2.9% + $0.30 per transaction, with actual rates varying; budget for those fees separately from the annual software charge. Stripe provides PCI DSS Level 1–certified payment infrastructure, and Cogran says it does not store card numbers in its database. It also describes per-client databases, HTTPS with a minimum documented TLS version of 1.2, role-based controls, and restricted administrative access.

Pricing

Plans are billed annually and priced around registration volume. Camp & Program tiers begin at 899.00 USD per year for up to 500 annual registrations, with another listed tier at 925.00 USD per year for up to 600. The next tiers are 1100.00 USD per year for 501–800, 1350.00 USD per year for 801–1,000, 1800.00 USD per year for 1,001–1,300, 2100.00 USD per year for 1,301–1,500, 2600.00 USD per year for 1,501–2,000, and 3000.00 USD per year for 2,001–2,500 registrations. The two low-volume options overlap, so confirm which tier applies to your expected count before committing.

Recreation pricing starts at 925.00 USD per year for up to 600 registrations; the listed 601–1,000 tier costs 1350.00 USD per year. A separate Camp & program listing offers up to 500 registrations for 925.00 USD per year with the core platform included, while 501–800 costs 1100.00 USD per year. These separate published schedules make it worth confirming the applicable plan and included scope directly.

Published camp tiers reach 2,500 annual registrations and recreation tiers reach 26,000 annual activity volume; higher volumes receive a tailored proposal. There is no free plan, and the published plans include personal onboarding support. Expanded support is an optional $1,000/year service for recreation plans. Allow for card-processing fees as well as the subscription when estimating total cost.

Platforms

Cogran runs in a browser and can be installed as a progressive web app on Windows, Mac, Android, iPhone, and iPad without an app-store download. The platform listing also includes Android, iOS, macOS, web, and Windows, so it can serve organizations working across desktop and mobile devices.

Who it's for

Cogran is aimed at parks and recreation, camps, nature centers, community organizations, sports organizations, and facilities. It is strongest for teams that want registration, reservations, memberships, sports administration, messaging, and reporting connected in one platform. A small camp with straightforward needs may find the annual registration tiers and separate transaction charges harder to justify than a usage-priced option.

Pros and cons

Pros: One platform spans registration, facility reservations, memberships, sports coordination, communications, and reporting, which suits organizations running multiple kinds of recreation operations.
Pros: Waitlists, capacity rules, and registration windows support controlled enrollment rather than simple sign-up collection.
Pros: Browser and progressive web app access avoids a separate app-store download across supported devices.
Cons: There is no free plan, and annual registration caps mean organizations must select a volume tier rather than pay only for occasional use.
Cons: Stripe processing fees add a per-transaction cost on top of the annual software fee.
Cons: Recreation teams pay extra for expanded support, at $1,000/year, despite personal onboarding being included with published plans.

Alternatives

For camp-focused comparisons, browse Camp Management Software or Course Registration Software. SixSevenBall Camp Management is a web-based freemium option for coaches, with a free tier capped at one team, 12 players, and three saved plays; its $29.00 USD per month Pro Coach plan raises those limits to five teams and 100 players. It is a better fit for team coaching than Cogran's broader recreation operations.

nextRec is a paid alternative for Android, iOS, and web. Arly is a paid Android, iOS, and web option whose Learning Experience plan centers on enrichment curriculum, a resource library, professional development, dashboards, analytics, and surveys; choose it when those learning-program tools are the priority.

CampOrganizer offers a free entry point and usage-based pricing at €0.25 per participant per event or €1.00 per participant per day, with no fixed monthly subscription. That structure may suit camps seeking variable usage charges rather than Cogran's annual volume tiers. Campwise is a paid option for resident camps, day camps, and conference centers; its software has flexible monthly leasing.

ACTIVE Camp & Class Manager is a paid alternative with pricing details available from an account manager. AMES has a free plan and a Standard starting transaction fee of 1.25% on successful payments, which may appeal to organizations comparing transaction-based costs. Camp Network is a free web-based option with pay-as-you-go registration software and online payments; its standard processing is about 3.95% + 30 cents per transaction, typically paid by the participant.

Verdict

Cogran is a strong fit for recreation organizations that want registration, facilities, memberships, sports, communications, and reporting under one roof and can forecast annual volume. Its broad feature set and device flexibility are compelling, but the annual tiers, transaction fees, and optional recreation support cost deserve careful budgeting. Look elsewhere if you need a free plan, very light camp registration, or a pricing model tied more directly to individual events or participants.
