Overview

Coast is a maintenance and asset management workspace built around work orders, equipment records, and team coordination. It is best suited to deskless and SMB-focused teams that want those workflows together, rather than organizations looking for separate plans for different members.

Its free tier provides a useful entry point, but short history and small file limits make the paid tiers more practical for teams that need a durable maintenance record.

Key features

Work orders and team communication

Teams can assign and prioritize work orders, discuss them in real time, and attach photos or checklists. That keeps task context close to the work itself; mobile users can also scan QR codes and capture photos directly for work orders or procedures. Spare-parts inventory and technician time tracking extend Coast beyond basic task assignment.

Preventive maintenance and asset lookup

Schedules can recur by day, week, or month, with meter-based work and due-date alerts. QR-code lookup brings up asset information and equipment status, a practical fit for staff who need to identify equipment on site rather than search manually.

Reporting, integrations, and controls

Real-time equipment insights, custom dashboards, and maintenance-team efficiency and cost tracking give managers a view beyond open work orders. Zapier connections, an Open API, and support for hardware such as IoT sensors and smart meters offer routes to connect Coast with other systems and equipment.

Coast states that it is SOC 2 Type II certified. Audit trails, electronic signatures, required fields, and user permissions support regulated workflows, though those controls do not by themselves establish fit for every compliance regime. Coast says it does not sell personal information and accepts access, correction, and deletion requests through support.

Pricing

Coast is freemium, and new signups receive a 7-day Pro Plan trial without a credit card. When the trial ends, they can remain on Free or upgrade. The workspace-wide plan rule matters: every member of an organization must use the same plan, so a team cannot reserve paid features for only a few people.

Plan	Price	What it includes
Free	0.00 USD per free	Unlimited work orders, 5 repeating work orders, real-time messaging, 7-day history, and file uploads up to 3 MB.
Starter	2.00 USD per month billed per user / month; $1.80 with yearly billing selected	Unlimited history and repeating work orders with procedures, no file upload limits, workspace permissions, time and cost tracking, and 5 workflow automations.
Pro	4.00 USD per month billed per user / month; $3.6 with yearly billing selected	Full workflow customization, reporting analytics, customizable external work request forms, automated work order time tracking, unlimited custom dashboards, automated downtime tracking, and 30 workflow automations.
Enterprise	Custom pricing	Custom workflow development, custom reporting and analytics, multi-site management, single sign-on, escalation protocols, unlimited automations, and integrations.

Free is a sensible way to begin, but its five recurring jobs, seven-day history, and 3 MB upload ceiling constrain ongoing recordkeeping. Starter removes those particular caps and adds permissions and time-and-cost tracking, making it a better match for a small team ready to standardize maintenance. Pro is the more relevant step for teams that need analytics, external request forms, downtime tracking, or more automation. Enterprise is aimed at multi-site or more customized deployments; pricing is custom.

Platforms

Coast supports Android, iOS, macOS, web, and Windows. Its native mobile app includes QR scanning and direct photo capture. Supported desktop systems are Windows 10 version 2004 or later, Windows 11, and macOS 12 or later.

Who it's for

Coast fits deskless maintenance and operations teams that need recurring work, asset lookup, and communication in one workspace, especially when mobile QR scanning and photo capture matter. It is less compelling for organizations that need different plan levels within one team: the shared-plan requirement forces all members onto the same tier.

Pros and cons

Pros: Free includes unlimited work orders and real-time messaging, giving a team room to trial core coordination without an initial subscription.
Pros: Recurring and meter-based maintenance, QR asset lookup, and due-date alerts connect planning to equipment-level work.
Pros: The Pro trial needs no credit card, and customers can continue on Free afterward.
Cons: Free history lasts only seven days, recurring work is capped at five, and uploads are limited to 3 MB.
Cons: Every workspace member must share one plan, which limits selective paid access.

Alternatives

For a broader comparison, browse CMMS Software.

Atlas CMMS is worth considering if open-source software and self-hosting are priorities; it also has a free plan and trial.
Azzier CMMS may suit a very small operation that can work within its free plan's limits of 3 users, 50 equipment records, and 2 locations.
Fiix is another freemium option; its free plan includes 25 active PMs alongside work orders, downtime tracking, asset management, and mobile access.
Maintainly offers a free plan with unlimited work orders, repeating work orders, checklists, meter readings, and task templates for teams prioritizing those maintenance tools.
MaintainX is an alternative with a free Basic plan that includes unlimited work orders, procedures, and requester users, but only two work orders with attached procedures.
Fracttal One is an alternative for teams willing to request a quote rather than choose from a stated price.
Maintenance Care may fit buyers seeking unlimited users, work orders, preventive maintenance, and assets for 250.00 USD per month based on yearly pricing.
EMS Academic Scheduling is an alternative for academic scheduling needs.

Verdict

Coast is a strong fit for deskless and SMB maintenance teams that want work orders, preventive schedules, QR asset access, and communication in one mobile-capable system. Its free starting point and no-card Pro trial lower the barrier to adoption, while the limited free history and mandatory workspace-wide plan make it worth looking elsewhere if long records or mixed subscription levels are essential.
