Overview

ClientLoop is a branded client portal for gathering documents, forms and information from clients. It suits service businesses that manage repeat submissions and need a team workflow for reviewing them. Its strongest case is replacing scattered requests and follow-ups with one portal; the free plan is tightly capped, while paid plans charge more as storage and upload needs grow.

Key features

Clients open a magic link to send files and complete forms without an account or app installation. Teams can reuse document sets and build forms with tables, file fields and signatures, making repeat requests easier to standardise. Reviewers can preview uploads, ask for changes, approve or reject submissions, and message clients in the context of a request.

Automatic reminders and recurring requests reduce the need to chase each client manually. Built-in connections include Calendly, Asana and Slack; Zapier, n8n, Make, REST API and webhooks broaden the options for fitting the portal into other workflows. REST API access and webhooks begin with Pro, where teams can create requests, read submission statuses and approvals, and receive events about submissions and workflow changes. That makes Pro the relevant tier for teams needing programmatic connections, but its price may be difficult to justify if those workflows are not central.

ClientLoop says uploads are virus-scanned, encrypted and stored in the UK, with activity logs, role-based access and GDPR erasure. Its developer information also describes TLS/HTTPS connections, encrypted files at rest, isolated workspaces and workspace-specific API keys. The privacy policy says customers generally control workspace content and ClientLoop processes it, and that personal data is not sold.

Pricing

The free plan costs 0.00 GBP per free, forever, and allows 5 clients and 1 team member. It includes unlimited document and form requests, but caps storage at 1 GB and uploads at 100 per month; files are kept for 6 months and activity history for 90 days. It is a useful low-volume trial of the workflow, not a fit for a team serving more than five clients or needing longer retention.

Essentials costs 35.00 GBP per month, billed monthly, excluding VAT. It raises capacity to 100 active clients and 2 team members, with 50 GB storage and 1,000 uploads per month. Files remain for 1 year after the client's last activity and activity history for 1 year. Packs, reusable templates, automatic reminders, recurring requests and a custom domain make this the practical tier for a small team that wants a branded, repeatable process; the two-seat limit may constrain growing teams.

Pro costs 69.00 GBP per month, billed monthly, excluding VAT. It adds unlimited clients, 5 team members, 100 GB storage and 2,000 uploads per month, plus the REST API and webhooks. Files are kept for 5 years after the client's last activity while on Pro, and activity history lasts 5 years. Choose it when longer retention or integrations justify the increase over Essentials; it is not unlimited in storage or upload volume.

Scale costs 149.00 GBP per month, billed monthly, excluding VAT. Its 15 team members, 500 GB storage and 5,000 monthly uploads suit larger workloads, and it includes priority support. Enterprise has custom pricing and is described as a custom build for larger organisations. The pricing note gives a paid starting point of £19/mo, but the specified Essentials tier is 35.00 GBP per month; the listed tier prices are the clearest basis for comparing plan capacity.

Platforms

ClientLoop supports web and API. Clients need no app installation to use the magic-link workflow, but there is no listed mobile app platform for team use.

Who it's for

ClientLoop is positioned for accountants, bookkeepers, agencies, law firms, mortgage brokers, financial advisers, recruiters and consultants: businesses that repeatedly collect client material and need to track reviews. Its founder-led company, Pleesys Technology Limited, is based in York, England. The portal is less compelling for a solo operator with few requests or a team whose storage and upload needs exceed the plan caps.

Pros and cons

Pro: Magic-link access avoids requiring clients to create accounts or install an app, reducing friction in document collection.
Pro: Request review, client messaging and automated reminders keep collection and follow-up work together.
Pro: Reusable packs and forms support repeatable workflows, while API and webhooks give Pro teams a route to custom connections.
Con: The free plan's 5-client and 1-member limits make it a narrow option beyond a small pilot.
Con: Paid tiers still cap monthly uploads and storage, so high-volume teams must match their usage to a more expensive plan.
Con: Essentials has only 2 team members; teams needing integrations through the API must step up to Pro at 69.00 GBP per month.

Alternatives

For a broader shortlist, browse Client Intake Software. Choose Intake if Android or iOS support matters, or if its free tier's 10-client allowance is a better fit. FormsHQ is worth considering for a web-based form-first workflow; its free Starter Form plan allows one published form and 50 responses per month.

PlatoForms may suit a team seeking a lower-cost form tool: its free plan includes one live form, 100 submissions a month and 100 MB storage, while Bronze costs 10.00 USD per month. Portico is another web-and-API option, with a free plan allowing three active onboardings monthly, three e-signatures and unlimited team members. For web forms with a free plan that includes unlimited forms and submissions, e-signatures and file uploads, consider FlowyForm.

Onvoy offers a free tier with five onboardings per month, one team member, forms, file uploads, templates and automated email reminders. Teams wanting a paid, cross-platform onboarding product could compare Clustdoc, whose PRO plan costs 190.00 USD per month for three seats and 50 new applications monthly. IntakeQ is a paid alternative with a starting price of 49.90 USD per month and low-volume discounted plans available by contacting the provider.

Verdict

Choose ClientLoop if your service team repeatedly collects client documents and needs a branded portal that combines requests, review and follow-up. Its no-account client access and reusable workflows are the clearest reasons to choose it. Look elsewhere if you need generous free capacity, mobile team apps, or higher upload and storage ceilings without moving up the paid tiers.
