Overview

Policyflow links drafting and review to employee distribution and evidence collection. That focus makes it a practical fit for policy acknowledgements, but not a substitute for a broader compliance platform when the need extends beyond managing policies and their confirmations.

Key features

Drafting and approvals

A clause library and clause-coverage tracking help policy owners build documents with coverage in view. Imported PDFs become editable requirement passages while retaining their original wording, a useful bridge for teams moving existing policies into a managed workflow. Sequential approvals and version-linked sign-offs and confirmations provide a clearer record of what reviewers approved and what recipients acknowledged.

Distribution and evidence

Campaigns send personal, single-use email links, so recipients need neither an account nor an installation. That reduces friction for acknowledgement drives, while PDF certificates and CSV logs with version and timestamp details give teams two usable formats for audit evidence. Automated reminders are included, helping administrators follow up on outstanding confirmations.

Directories, frameworks, and security

Azure AD and Google Workspace directory sync, plus Microsoft and Google SSO, support organizations already using those identity services. Policyflow positions its acknowledgement evidence for ISO 27001, SOC 2, GDPR, NIS2, DORA, and HIPAA use cases. Its Trust Center states that primary data is hosted in the EU, with TLS 1.2+ in transit and AES-256 encryption at rest. However, its GDPR, ISO 27001, and SOC 2 controls are self-assessed or aligned: Policyflow is not ISO 27001 certified and has no SOC 2 Type II report. Organizations that require either formal assurance should look elsewhere.

Pricing

Free — 0.00 USD per free. This no-time-limit plan requires no card and covers up to 15 employees, with unlimited policies, version history, and audit-ready exports. It is a useful way for a small team to run the core workflow, but the employee cap makes it unsuitable once the organization grows beyond 15 people.

Core — 155.00 EUR per month, billed annually. Core covers up to 250 people and includes 10 admin seats, unlimited policies, version history, audit-ready exports, and email support. It is the paid fit for organizations that exceed the free cap but stay within 250 covered people; the annual billing commitment and 10-seat limit matter for teams with many policy administrators.

Custom — custom pricing. Intended for organizations above 2,500 employees or with non-standard requirements, with volume pricing. The gap between Core's 250-person ceiling and Custom's stated audience leaves Policyflow less clearly suited to organizations in between.

There is no free trial. HRIS integrations and single sign-on are listed capabilities, but the plans' stated limits remain important: the free tier stops at 15 employees, and Core at 250 covered people.

Platforms

Policyflow runs on the web. Its email links let employees confirm policies without installing an app, but teams seeking a native mobile app will need another option.

Who it's for

Policyflow suits smaller organizations and policy owners who need controlled drafting, sequential approvals, version-specific acknowledgements, and exportable evidence. It is a particularly sensible starting point for teams of up to 15 employees; Core serves those needing more capacity, up to 250 people. It is a weaker fit for organizations needing formal ISO 27001 certification or a SOC 2 Type II report, native mobile access, or a clearly scoped plan between 250 and 2,500 employees.

Pros and cons

Pros

Single-use email links let recipients acknowledge policies without accounts or installations.
Approvals and confirmations are tied to document versions, and exports include version and timestamp details.
The free plan has no time limit and includes unlimited policies, version history, and audit-ready exports for teams up to 15 employees.
PDF certificates and row-level CSV logs serve different evidence-handling needs.

Cons

The free plan's 15-employee cap is restrictive for growing teams, while Core tops out at 250 covered people.
Core is billed annually at €155 per month and limits administrators to 10 seats.
Policyflow is not ISO 27001 certified and does not have a SOC 2 Type II report, which rules it out for buyers requiring those credentials.
Web-only access may not suit teams that need a dedicated mobile app.

InspectWrk Policy Management offers a 14-day free trial and supports Android, iOS, web, and self-hosting.
PowerDMS Policy is a paid alternative for web, iOS, and Android.
HRDocket Policy Management has a free plan for one employee and a free trial; its Starter plan is 15.83 USD per month, billed annually.

Mitratech PolicyHub is a paid alternative available on web, iOS, and Android.

Verdict

Choose Policyflow if your team wants a focused path from policy drafting and approvals to version-specific confirmations and exportable audit evidence, especially if the free tier's 15-person cap or Core's 250-person allowance fits. Look elsewhere if formal ISO 27001 certification or a SOC 2 Type II report is a requirement, or if your team needs native mobile access.
