Overview

Catertoo is catering management software for handling client records, events, menus, proposals and payments in one workspace. It suits catering businesses that want to move from an inquiry to a paid invoice without splitting those tasks across separate tools. Its scope is broad for a product in public beta, though businesses needing established workflows should weigh that status carefully.

Key features

Proposals draw from the menu builder and can include itemized charges, fees, discounts and tax. Clients can accept quotes online, and accepted proposals can become invoices. That joined-up path should help teams keep quote and billing work connected; the value depends on whether Catertoo’s menu and proposal workflow fits the way they price jobs.

Event records follow work from inquiry through confirmed and completed, with dates, guest counts, client and venue links, and an activity timeline. The CRM holds individual and organization records, multiple contacts, addresses, notes and tags, with activity histories per client. These records give caterers a place to track customer and event context, rather than relying on a proposal alone to carry it.

For payments, Catertoo connects Stripe to collect card payments online and track deposits and balances. It says it does not store raw card numbers; Stripe handles payment data as a PCI DSS Level 1 certified processor. The service also says tenant data is isolated with row-level security, data is encrypted in transit with TLS 1.2+ and at rest at the storage layer, and passwords are hashed with bcrypt. Optional sign-in uses Google.

The product says its core offering has shipped, including clients, events, menus, proposals, invoices, Stripe-collected payments, staffing and reporting. It also describes a JSON API foundation, with API documentation for developers. The broad feature set is promising, but public beta is a meaningful qualification for businesses that depend on settled processes.

Pricing

The Free plan costs $0 /mo forever and allows up to 3 events a month, with unlimited users and clients, proposals and e-signatures, and a menu builder. The event cap makes it a practical starting point for low-volume operators, but not a lasting fit once monthly bookings exceed three.

Pro costs $39 /mo, or $29/mo billed annually, saving $120/yr. It removes the event limit and adds branding on proposals and invoices, priority support, and free migration from an old tool. It is the clearest step up for an active caterer that needs unlimited events and branded client documents.

Premium costs $89 /mo, or $69/mo billed annually, saving $240/yr. It includes everything in Pro, 0% Catertoo fee on card payments, four times Pro’s AI allowance, and dedicated onboarding. The payment-fee term may matter to businesses collecting cards regularly; the plan’s appeal otherwise turns on the larger AI allowance and onboarding.

Enterprise has custom pricing and includes custom workflows, integrations and development, SLAs, SSO and dedicated support. It is aimed at operations that need tailored systems or formal service commitments rather than a standard subscription.

Platforms

Catertoo is available on Android, iOS and the web, with an API also offered. The company says the full product works on desktop, tablet and phone without an app download, which gives teams a browser-based option across devices.

Who it's for

Catertoo names independent caterers, restaurant catering arms, hotels and venues, and campus dining operations as intended customers. Its event records and client CRM suit teams coordinating repeat customers and event details, while the proposal-to-invoice flow and Stripe collection are relevant to businesses that want quoting and payment in the same system. The free plan’s three-event ceiling favors a trial or small operation; higher-volume teams need a paid plan.

Pros and cons

Pro: Proposals, event tracking, client records, invoices and Stripe payments connect the main stages of a catering job in one product.
Pro: Free includes unlimited users and clients, making its three-event monthly limit less restrictive for teams evaluating the workflow together.
Pro: Browser access across desktop, tablet and phone avoids requiring an app download.
Con: Free caps users at three events a month, so even a modest increase in bookings requires a paid plan.
Con: Catertoo is in public beta, a concern for operations that need a mature, settled system.
Con: The annual prices require an annual billing term; monthly billing costs more on both Pro and Premium.

Alternatives

For a broader comparison of category options, see Restaurant Catering Software and Event Catering Software.

Curate is a paid alternative with no free plan and an annual subscription priced by chat; its Basic plan is described for a few employees and has limits including no recipes, forms or production. Caterease is worth considering if its desktop support matters; it has paid enhancement modules billed annually, including guest-room, prospect, document-building, web-inquiry and banquet-room tools.

Total Party Planner is another paid option, with plans organized around one, two or three users. BEO HQ may suit users focused on banquet event orders and catering invoices: its free plan is limited to one of each document and puts a footer credit on PDFs. CaterOps is a web-based freemium alternative.

CaterZen is a paid alternative with a free trial and a Pro plan at $179.00 USD per month, including unlimited users, transactions, menus/items and orders/events. Puree is a web-based freemium option. CaterTrack offers a seven-day free start at 0.00 INR, including orders, bookings, menu, customer history and web, Android and iPhone access, with no card needed.

Verdict

Catertoo is a strong fit for caterers who want client, event, proposal and payment work connected, and whose booking volume or need for branding justifies Pro. The free plan offers a useful low-volume entry point, while Premium adds a specific payment-fee advantage for regular card collection. Look elsewhere if public beta is too early for your operation or if three events a month is not enough to evaluate the workflow.
