Overview

Caspian brings customer management, communications, scheduling, pipelines and compliance into one workspace. That insurance-specific focus is its clearest advantage: agents can work leads and follow-ups alongside consent tracking and DNC safeguards rather than stitching together separate tools. It also serves a range of organizations, from independent agents to large call centers, though plan limits matter when evaluating a larger team.

Key features

The communications hub combines a dialer, SMS, email, calendar, tasks and workflows. AI workflows can send texts, emails and ringless voicemails, handle missed-call text backs and automate appointment follow-up. This can reduce routine follow-up work, while the separate usage fees on Basic mean communication volume should factor into the budget.

Insurance leads are offered with verified consent and DNC scrubbing, with real-time delivery into the workspace. Pipelines use Kanban boards, SLAs and assignments, supported by task queues, agent leaderboards, QA coaching, reports and attribution. These tools give agency leaders visibility into pipeline activity and agent performance, not just a contact database.

Scheduling includes round-robin assignment, buffers, reminders, reschedule links, calendar sync and no-show recovery sequences. Workflows also support webhooks and an open API, which gives teams a way to connect automation to other systems. Caspian says its built-in compliance features cover TCPA, DNC and 10DLC, including consent tracking and quiet hours. Its privacy policy describes encryption, access controls, security testing and regular backups as safeguards.

Caspian processes WhatsApp messages and related metadata through the WhatsApp Business Platform Cloud API for CRM communications. It advertises 24/7 support; teams also receive live training, on-demand videos, scripts and agent support.

Pricing

Starter: Free, with basic automations, limited sites and forms, basic analytics and integrations, and a managed-operations add-on. It is a low-commitment way to start, but limited sites and forms and basic reporting make it a modest fit for teams with more demanding operations.

Basic: $49 per agent/month. It adds the full communications hub, workflow automation, compliance and DNC scrubbing, and basic support. Usage fees are billed separately, so the per-agent price does not represent the full cost for teams with substantial messaging or calling activity.

Professional: $149 per agent/month. It includes Basic plus advanced marketing tools, AI-assisted content generation, higher sending limits, premium integrations and priority support. The higher limits and integrations may suit agencies scaling outreach, but the plan is marked coming soon.

Team/Enterprise: $1,499 per month for up to 10 agents, with team dashboards, advanced analytics and reporting, role-based access controls, custom feature requests, priority support and onboarding. This is the clearest fit for a team that needs shared oversight and access controls; the 10-agent cap matters for larger call centers.

Caspian offers a free plan and a free trial. The Basic and Professional prices are per agent, while Team/Enterprise is a monthly price covering up to 10 agents. Check usage fees alongside the seat cost before committing to a paid tier.

Platforms

Caspian is available on the web and through an API. The API and workflow webhooks support integration-oriented setups, while the platform listing does not include mobile apps.

Who it's for

Independent agents and small or midsize agencies are the natural audience if they want communications, insurance lead handling and compliance tools in one system. Larger agencies and call centers can benefit from reporting, assignments and agent oversight, but should compare the Team/Enterprise 10-agent limit with their staffing needs. Caspian is less compelling for buyers who need a general CRM first or who want a predictable communication bill without separate usage fees.

Pros and cons

Pros: Insurance-specific compliance features combine consent tracking, TCPA, DNC and 10DLC tools, which makes the system more tailored to agent workflows than a basic contact manager.
Pros: Communications, scheduling, pipelines and follow-up automation share one workspace, helping agencies coordinate lead handling and appointments.
Pros: Starter is free, and Basic has a relatively low per-agent entry price for teams that need the communications hub and compliance tools.
Cons: Basic usage fees are separate, making total communication costs less predictable from the seat price alone.
Cons: Professional is marked coming soon, so its higher sending limits and advanced marketing features are not an immediate option.
Cons: Team/Enterprise covers up to 10 agents, which may not fit a larger call center without a different arrangement.

Alternatives

Insurance CRM Software is the category directory for comparing more insurance-focused options.

AgencyZoom is another paid insurance-agency option, with a 14-day free trial and plans shown for single- and multiple-location Allstate agencies. It is worth considering when those agency-specific plan choices are a closer match.

AgencyBloc AMS+ is a web-based paid alternative with Grow and Accelerate plans, including automated servicing and lead workflows and click-to-text communications. Consider it when servicing workflows are central to the decision.

Bitrix24 CRM offers a free plan for 1–2 users with 5 GB storage and basic deals and contacts, and supports a broad range of platforms. It is a sensible alternative for a very small team prioritizing broad platform coverage and a free general CRM over Caspian's insurance-specific workflows.

Zoho CRM has a free plan for three users and supports Android, iOS, web and API. It may suit a small team seeking a general CRM with a free tier rather than insurance-focused operations.

Freshsales has a free plan for up to three users, supports web and mobile, and offers a Growth plan at $9.00 per month billed annually. It is an alternative for buyers prioritizing a low-priced general CRM entry point.

Odoo CRM offers a free One App plan with unlimited users and is open source. It is worth considering when unlimited users on one free app or open-source software is the priority.

Creatio CRM is a paid alternative with Growth and Enterprise plans, and supports web, mobile, API and self-hosting. Consider it if self-hosting or those platform options matter more than Caspian's insurance specialization.

Pipedrive is a paid web and mobile CRM with Lite and Growth plans. It is another option for teams considering a paid CRM outside an insurance-specific system.

Verdict

Caspian is a strong fit for insurance agents and agencies that want communication, lead workflows and compliance in one purpose-built system. Its free Starter tier gives teams a way in, while Basic adds the core operating tools at $49 per agent/month. Choose it when insurance workflow coverage is the priority; look elsewhere if separately billed usage, the Professional plan's coming-soon status or the 10-agent Team/Enterprise cap does not fit your needs.
