Overview

Rev is a transcription and communication workspace for people who need to capture conversations and make recordings, documents, and other files usable together. It suits legal and investigative teams especially well, while journalists and researchers may also benefit from its recording and analysis tools. Its breadth is a strength, but the free tier is too constrained for sustained team use.

Key features

Rev combines AI and human-generated transcription with AI and human-generated English and Spanish captions, as well as human-generated global subtitles. Speaker identification and labels, a transcript editor, and caption export support work beyond producing a first transcript. That mix is useful when an organization needs both automated processing and a human option, though language coverage varies by service and plan.

Human transcription costs $1.99 per minute and is advertised at 99%+ accuracy with delivery in 12 hours or less. It is a clear alternative when a human-produced transcript and stated turnaround matter more than keeping costs down; per-minute charges make it a less economical fit for long recordings. Legal Premium Transcript costs $2.50 per page, is prepared by legal-trained experts, and is advertised at 99.7%+ accuracy with delivery from same day to five days. The page-based price and turnaround range make it a separate choice from the general per-minute service.

Recording is available through the Rev app or an account-based computer voice recorder. Users can also make shareable clips, use Meeting Hub, and use an AI Notetaker with calendar integration. These options extend Rev from transcription into meeting capture and collaboration, rather than leaving users to assemble a workflow around a standalone transcript tool.

Workspaces and folders organize files, while multifile insights can draw on audio, video, documents, and images. AI Prompts, AI Chat, and Rev Agent—with citations back to source files—give teams ways to work across that material. This breadth is particularly relevant when a case or investigation involves more than one recording; the available AI usage and simultaneous-file caps still determine how much material a team can process at once.

Rev connects with video services including YouTube, Vimeo, JW Player, Brightcove, Panopto, Kaltura, Ensemble Video, WarpWire, and YuJa; meeting, calendar, and storage connections include Zoom, Google Meet, Microsoft Teams, Google Calendar, Microsoft Outlook, and Dropbox. Its iOS and Android apps support recording, transcription, note sharing, and collaboration on the go.

Pricing

The Free plan costs $0.00 per free and allows one user, English-only transcription, 45 AI transcription and caption minutes per month, and analysis of up to five files at a time. It also includes a beta document editor and page:line citations for depositions. That is enough to try a narrow workflow, but the monthly minutes, single seat, and English-only scope limit its usefulness for an active team.

Essentials costs $29.99 per month, with two months free when billed annually and $305.90 billed annually. It supports English and Spanish, provides 5,000 AI transcription and caption minutes per user per month, allows 10 files at a time, and includes three users. It is the more focused paid option for smaller teams whose work fits those two languages and moderate file volume.

Pro costs $59.99 per month, with two months free when billed annually and $575.88 billed annually. Its 37+ languages, including Spanglish, 10,000 minutes per user per month, 50-file limit, and five users make it better suited to teams with heavier workloads or broader language needs. The higher price buys more capacity, not unlimited use.

Unlimited has custom pricing. It includes 37+ languages including Spanglish, unlimited AI transcription and caption minutes per user per month, up to 500 files at a time, unlimited users, SSO, and CJIS and HIPAA compliance. It is the plan for organizations needing scale, larger teams, or those compliance provisions; smaller groups should weigh whether they need those allowances before moving beyond Pro.

Platforms

Rev is available on Android, iOS, and the web, and also offers an API. The mobile apps cover recording, transcription, note sharing, and collaboration, while the listed integrations connect it with video, meeting, calendar, and storage services.

Who it's for

Rev is built for legal and investigative teams, including attorneys, law enforcement, investigators, journalists, and researchers. Legal Premium Transcript and page:line citations for depositions speak directly to legal workflows, while multifile analysis and source citations can help people working across many kinds of case material. Teams whose needs are limited to occasional, English-only transcription may find the free plan adequate; those needing more minutes, users, or languages will need a paid tier.

Rev states that it maintains SOC 2 Type II, GDPR, and PCI compliance. Enterprise customers can use SSO and domain claiming. Files are protected in transit with TLS and at rest with Amazon S3 server-side AES encryption; Rev says files are not publicly shared and customer content is not used to train external LLMs. Its Security Team is on call 24/7 to respond to security alerts and incidents. These protections matter to organizations handling sensitive recordings, while the stated enterprise access features are distinct from the Unlimited plan's SSO and compliance provisions.

Pros and cons

Pros: AI and human transcription options, plus captions and global subtitles, accommodate different transcript needs.
Pros: Multifile analysis covers audio, video, documents, and images, with Rev Agent citations that point back to source files.
Pros: Mobile recording and sharing, meeting tools, and a broad set of integrations support work across devices and services.
Cons: Free use is capped at 45 minutes per month for one user, is English-only, and limits analysis to five files at once.
Cons: Essentials supports only English and Spanish; broader language choice starts with Pro, at a substantially higher monthly price.
Cons: Human transcription and Legal Premium Transcript have separate per-minute and per-page charges, respectively.

Alternatives

For a narrower legal-transcription focus, compare Legal Transcription Software; for general audio workflows, see Audio Transcription Software or Podcast Transcription Software.

MatterScribe is worth considering for pay-as-you-go transcription: it charges $0.10 per minute, retains files for three days, requires a card on file, and includes 30 free minutes. SoniClear Transcriber 10 may suit Windows users who prefer manual playback and transcription without cloud transcription time on its free Player plan, while its Pro plan is $360.00 per year for 40 hours of cloud transcription.

WhisperAI Legal Transcription offers a free plan with five minutes per month and a $14.99 monthly Premium plan with 120 minutes, a lower-cost option for users whose monthly volume fits those quotas. HappyScribe Legal is another freemium option, with a free allowance of 45 minutes per recording, a 10-minute AI transcription trial, and three AI file analyses per month.

FTR Justice Cloud is an alternative for readers comparing legal-focused transcription software. ArcaScribe is another freemium alternative, available on macOS and Windows. Colibri Legal may suit teams considering page-charged final transcripts and optional court reporter appearance fees. Depo CoPilot offers custom-built packages for teams.

Verdict

Rev is a strong choice for legal and investigative teams that need transcription, recording, and source-linked analysis across more than one kind of file. Its choice of AI and human services and its collaboration tools are compelling, but its free plan is only a small-scale starting point, and heavier use means committing to paid capacity or separately priced human work. Choose it when that breadth matters; look elsewhere if you need only occasional transcription or want to avoid per-minute or per-page charges.
