Overview

The software connects sales activity to project delivery: estimates and proposals can lead into schedules, budgets, change orders and client updates. That continuity may help residential firms keep customer and job information in one workflow rather than splitting it across separate tools.

BuildBook is not aimed at large commercial construction firms or tract builders with internal sales teams and custom software systems. Those businesses should look elsewhere rather than try to stretch a residential product to fit a different operating model.

It runs on the web, iOS and Android, and supports guest access. That gives clients and other project participants a way to be involved without requiring every person to be a core user.

Key features

Sales and project delivery

A sales pipeline, contact management, estimates, branded proposals, digital approvals and a reusable price book cover the path from lead to accepted work. For a builder or remodeler handling custom jobs, linking those sales steps with project tools is a practical advantage. Gantt scheduling, task management, budgets, change orders, client selections, expense tracking and file sharing then address the work of coordinating the job after approval.

Client communication and mobile access

Project chat rooms, daily logs, client portals, inline comments, notifications and public sharing links give teams multiple ways to keep clients informed. Native iOS and Android apps provide the full feature set, along with device notifications, camera roll access and video recording; that is useful for teams who need mobile access as well as a browser. Project schedules can also sync to desktop and mobile calendars through iCal.

Financial connections and safeguards

Automatic syncing with QuickBooks Online covers project data, bills, expenses and invoices, reducing the need to handle those records in isolation. BuildBook says it uses commercially reasonable safeguards for personal information, but does not guarantee that transmitted or stored information cannot be accessed, disclosed, altered or destroyed. Organizations with strict security requirements should weigh that stated limitation carefully.

Pricing

BuildBook offers a free plan and a 10-day trial. The trial includes every feature, requires no credit card and includes access to the support team; the company also promises direct access to a real person during the trial and as a customer. The free plan is capped at one user, so it is suitable only for an individual who can work within that limit.

Paid plans include unlimited projects, clients and subcontractors, with the listed plan summaries describing all features as included. Solo is $79.00 USD per month on the annual plan for one user, or $99.00 USD per month on the monthly plan. It suits a solo operator; choosing monthly costs more per month, while annual billing commits the user to that plan term.

Team is $149.00 USD per month on the annual plan or $179.00 USD per month on the monthly plan. The plan details give it two to five users, making it the relevant step up for a small crew; the higher monthly rate buys flexibility over the annual term.

Business is $249.00 USD per month starting on the annual plan or $299.00 USD per month on the monthly plan. Its plan details describe six to eight users, so larger teams should confirm the appropriate capacity and custom pricing with BuildBook. Storage rises by tier: 1 TB for Solo, 5 TB for Team and 10 TB for Business. The lower tiers give up storage capacity and seat count, not the listed feature set.

Platforms

BuildBook is available on web, iOS and Android. Its native mobile apps are described as full-featured and support notifications, camera roll access and video recording. Calendar syncing through iCal connects project schedules with mobile and desktop calendars.

Who it's for

Custom home builders, remodelers and specialty contractors are the intended audience. Solo contractors can start with one-user Solo, while small teams can choose Team according to their seat needs. Guest access can bring clients or other participants into project communication without requiring them to occupy a paid user seat.

It is a poor match for large commercial firms and tract builders with internal sales teams and custom systems. The product's residential focus and tiered seat limits make it less appropriate for those operating models.

Pros and cons

Connected residential workflow: Sales tools, project controls and client communication share one product, which can reduce handoffs between estimating and job coordination.
Useful accounting link: QuickBooks Online sync includes bills, expenses and invoices as well as project data.
Full-featured mobile apps: iOS and Android access includes camera roll and video recording, useful for field communication.
Seat and storage ceilings: Solo stops at one user and 1 TB, while the listed Business user range reaches eight; teams outside those bounds should check capacity and pricing before committing.
Security caveat: BuildBook does not guarantee information cannot be accessed or changed despite its stated safeguards, a meaningful concern for firms with strict data requirements.

Alternatives

Choose Buildxact if a free starting point with five complimentary credits, AI estimating, professional proposals and Home Depot material ordering better matches your estimating workflow. Beam is worth considering for a web-only option with a free Core plan for up to two users and five free AI estimates, alongside unlimited estimates, projects, invoices and payments.

Hyphen CRM is another paid option for teams comparing software in this space. ClickHome may suit readers seeking a paid product with a free trial and broad platform support, including Windows and self-hosted access. Konstria is another paid option with Android, iOS and web support.

Buildern may fit a team seeking paid plans with two-seat entry and free field workers, subcontractors and vendors; its Starter plan is $225.00 USD per month billed annually. BuildTools Bidding is an alternative for custom home builders and remodelers willing to take on a 12-month commitment at $499.00 USD per month, with guided onboarding included. NEWSTAR is another paid, web-based alternative.

Verdict

BuildBook is a strong fit for residential builders, remodelers and specialty contractors who want sales, project management and client communication connected, especially when QuickBooks Online and full-featured mobile access matter. Its one-user free cap and clearly tiered paid seats make costs easy to frame for smaller teams, but larger commercial firms, tract builders and teams exceeding the stated seat ranges should look elsewhere.
