Overview

Astellio is an all-in-one management platform for wellness, beauty, and personal-care businesses, combining appointments, client care, checkout, marketing, and reporting. It is best suited to practitioners who want those workflows in one system, from solo providers to multi-location med spas. Its broad toolkit is compelling, but the per-location subscription and card processing fee belong in the cost calculation.

Key features

Scheduling combines staff calendars with service durations, buffers, personal time, availability rules, and waitlists. Those controls can help businesses coordinate appointment flow around provider schedules; Astellio is more than a simple booking calendar.

Client care tools include digital intake forms, SOAP notes, appointment updates, messages, and client preferences in secure portals. The portals also work on phones for booking, forms, and payments without requiring an app download. For providers who need to keep client information and appointment administration together, this is a meaningful strength.

At checkout, staff can process services, add-ons, retail products, gift cards, taxes, and split tender, while tracking cancellations and no-shows. Inventory and marketing extend the platform beyond appointments. Owners can review revenue, utilization, client growth, provider performance, tax reports, product sales, and gift-card value.

Astellio includes 1,500 text segments and 25,000 client emails. Its security approach includes six-digit two-factor sign-in, role-specific access paths, and server-side authentication storage rather than browser local storage. Support is available by email for account, billing, migration, and general product questions; existing customers can also use a portal for tickets and ticket history.

Pricing

The 30-Day Free Trial costs 0.00 USD for 30 days, with no recurring charge unless the user accepts payment continuation. It includes the complete service and all functions. At the end, users choose to continue with payment or cancel and permanently delete the business account, so this is a time-limited evaluation rather than an ongoing free tier.

Astellio Monthly costs 69.00 USD per month per active location, recurring until canceled, and includes every function. The plan makes sense for businesses that expect to use its scheduling, client-care, checkout, inventory, and reporting tools together. The per-location basis matters as a business expands: each active location carries its own monthly charge.

Successful card transactions incur a flat 2.9% processing fee with no fixed transaction fee. Credit-card and ACH payment workflows are supported, but the stated processing rate applies to successful card transactions. Businesses should weigh this variable expense alongside the subscription.

Platforms

Astellio is available on Android, iOS, and the web. Its phone-friendly portals support booking, intake forms, and payments without an app download, which is useful for clients who need access from their own devices.

Who it's for

Astellio targets wellness, beauty, and personal-care professionals, including solo massage therapists and multi-location med spas. It is a strong fit for operators who want appointments, records, sales, and owner reporting in one platform. A practitioner seeking only a low-cost calendar may find the breadth and per-location pricing harder to justify.

Pros and cons

Pros

Broad business coverage: Booking, SOAP notes, checkout, inventory, marketing, and analytics sit within one platform.
Useful scheduling controls: Buffers, personal time, availability rules, and waitlists address practical staffing and appointment-flow needs.
Client access without an app: Phone-ready portals handle booking, intake forms, and payments.
Full-function trial: The 30-day trial includes every function before a paid commitment.

Cons

No ongoing free plan: After the trial, continued use requires accepting payment; canceling means permanently deleting the business account.
Location-based recurring cost: The $69 monthly charge applies per active location, so multi-site businesses pay more as they add locations.
Card processing adds a transaction cost: Successful card payments carry a 2.9% fee, even though there is no fixed transaction charge.
Included messaging has caps: The plan includes 1,500 text segments and 25,000 client emails, which matter to businesses with substantial messaging needs.

Alternatives

Browse Esthetician Software for a category-wide comparison. Salon Manager may suit businesses prioritizing a lower monthly entry price: its Essentials plan is 29.00 USD per month, but online booking is excluded and can be added separately; SMS starts at 6p each and a £199 + VAT setup fee applies. Glamorph is worth considering for a lower-priced starting subscription, with its Base subscription at 9.99 EUR per month; the final amount is shown before purchase.

Salonist is the alternative to consider if a free tier is essential: its free Market Place Listing caps usage at 50 appointments per month. Mangomint uses a separate location and user fee, with a Core location fee of 120.00 USD per month and a Core user fee of 10.00 USD per month. PocketSuite is another paid option, with a Premium plan at 49.99 USD per month for a solo practitioner.

Meevo offers salon and spa plans with user, contact, and SMS-credit allocations, with custom pricing. GlossGenius is an alternative with a Standard plan at 28.00 USD per month. Phorest is another paid alternative, with custom pricing.

Verdict

Astellio is a strong choice for wellness and personal-care businesses that want scheduling, client records, payments, inventory, and owner analytics under one roof. Its all-functions plan and full-service trial make it straightforward to assess against a business’s needs. Look elsewhere if an ongoing free plan, a lower per-location subscription, or avoiding card processing fees is the priority.
