Overview

Reftab is a cloud asset-management platform for IT teams that need to keep hardware inventory and software records in view. It is strongest for organizations that want barcode-based hardware workflows alongside license and renewal tracking; teams needing only one side should compare its separate paid plans carefully.

Key features

Hardware inventory and workflows

Reftab tracks hardware and equipment, with assignment history, audits, maintenance, requests, and reservations in its Hardware Asset Management plan. Custom fields and statuses, reports, exports, and bulk actions give administrators practical ways to shape records and handle routine updates. Barcode scanning and QR codes, paired with iOS and Android apps, suit teams that identify or manage inventory away from a desk. Employee self-service can bring requests into the asset workflow rather than leaving them entirely with administrators.

The Free plan allows up to 50 assets, a meaningful constraint for an expanding inventory. Accessories and licenses can be tracked without limit at no cost, and archived assets blocked from checkout do not count against the active asset quota. Those rules make the free tier more useful for a small active fleet than its headline cap alone suggests.

Software records and administration

Software Asset Management covers SaaS discovery, installed software, licenses and users, usage and spend, access reviews, and renewal visibility. Reftab also provides software asset management compliance visibility for ISO 27001 and SOC 2. Integrations include Intune, Jamf, Jira, Microsoft, Okta, Adobe, and 30+ more, which can help teams connect asset administration to tools they already use.

Pricing

The Free plan costs 0.00 USD per free and includes up to 50 assets, unlimited inventory and software tracking, mobile apps, and barcode and QR-code support. It is a sensible starting point for small inventories, but the asset ceiling makes it a poor long-term fit if active hardware keeps growing.

Hardware Asset Management costs 125.00 USD per month, billed monthly. It includes unlimited users, asset tracking and assignment history, barcode scanning, a mobile app, audits and maintenance, and requests and reservations. A 14-day free trial and cancellation anytime reduce the commitment, while unlimited users make the plan easier to share across a team; the monthly price is a substantial step up for organizations that need only basic records.

Software Asset Management costs 9.00 USD per year, billed annually. It includes a 14-day free trial and cancellation anytime, plus SaaS application discovery, installed software tracking, license and user tracking, software usage and spend, access reviews, and renewal visibility. This is the focused option for software oversight, but it does not include the hardware management scope described for the hardware plan.

Complete ITAM combines hardware and software asset management, includes all integrations, and uses custom pricing based on assets and software users. Choose it when both disciplines and the full integration set matter; teams should expect a quote rather than a fixed published price. Credit card and ACH are accepted.

Platforms

Reftab is cloud-based, with web, Android, and iOS platforms. Mobile apps and barcode support are useful for staff handling physical assets, while cloud deployment avoids making self-hosting a requirement.

Who it's for

Reftab suits IT teams that want a shared inventory for hardware and software, especially those relying on barcode or QR identification, assignment history, employee requests, or renewal visibility. Its unlimited-user hardware plan can accommodate broad internal participation. It is less compelling for a team that needs both hardware and software management on a predictable low price, since the combined Complete ITAM plan is custom priced, or for a growing hardware inventory that has outgrown the free cap.

Pros and cons

Useful free starting point: the plan combines mobile apps and barcode support with software tracking, while accessories and licenses have no-cost unlimited tracking.
Broad operational coverage: audits, maintenance, requests, reservations, assignment history, and employee self-service support more than a static asset list.
Distinct plan scopes: hardware and software management are sold separately, so teams needing both must weigh the custom-priced Complete ITAM option.
Free hardware cap: 50 assets limits the free tier for organizations with larger active inventories, even though archived assets blocked from checkout are excluded.

Alternatives

Browse IT Asset Management Software or Asset Tracking Software to compare category options. Consider LICENSEWARE if its free plan's 10 rows per table or its one-off, consumption-based PAYG pricing better matches the job. xAssets ITAM may suit a single user who wants its free, cloud-hosted Express Edition with 100 endpoints per user. Choose GLPI if its Public Cloud plan's per-agent pricing and stated storage and attachment limits fit better. Open-AudIT is worth comparing when unlimited devices on a free plan are the priority. Flexera One IT Asset Management is another option if you are prepared to book a demo for pricing. Nexynt Asset Management may be preferable for a free plan allowing up to three users and 500 MB storage. Freshservice is an alternative for teams looking at its paid Starter plan, which includes knowledge management, task management, a support portal, and omnichannel support. InvGate Asset Management is another paid option to compare if its device-count-based plans suit your requirements.

Verdict

Choose Reftab if your IT team wants hardware workflows and software-license oversight in one cloud platform, with mobile barcode tools and room to start free. The main reason to look elsewhere is the division between hardware and software paid plans: teams that need both should assess the custom-priced Complete ITAM plan before committing.
