Overview

Reusable templates and multiple intake routes give teams a way to bring employee and outside requests into shared workflows. That flexibility suits varied processes, but the request and AI-action quotas mean buyers should estimate volume before settling on a plan.

Key features

Flexible intake and approvals

The form builder offers 27 field types and conditional logic, letting teams tailor follow-up questions to a submission instead of presenting every requester with the same form. Requests can also start from a template picker, AI-drafted chat, public link, inbound email, resubmission, or linked sub-request. This range is useful when intake comes from more than one channel, though it also makes Requester a broader workflow choice than a simple form tool.

Approval steps can require any reviewer, all reviewers, or an M-of-N quorum, with multi-step routing for decisions that need several stages. External approvers can decide through single-use email links without an account or seat; attribution in the audit log keeps those decisions traceable without adding outside participants as users.

Automation, integrations, and records

Visual workflows support routing, branching, delays, service-level targets, and webhook steps. Integrations include Slack, Microsoft Teams, Discord, Google Chat, Telegram, incoming and workspace-event webhooks, and Zapier; a per-workspace public API key is also described. These options give teams several ways to connect request handling to other systems, while the scope of any particular integration is not established by the feature list.

The audit log records each action with actor, timestamp, IP address, and user agent. Workspace data tables use row-level security, and public-link tokens are hashed with expiry and revocation controls. Workspaces can be exported as one JSON file, while request lists can be exported as CSV. Basic analytics require Pro; advanced analytics require Business, so teams wanting performance insight must move beyond Free.

Pricing

Free costs $0/forever and includes 3 approver seats, unlimited submitters, 50 requests/month, 5 templates, 2 teams, 250MB storage, and 150 pooled AI actions/month. It is a useful starting point for a small process or pilot, but the request cap and limited templates and teams constrain broader adoption.

Pro costs $12 per approver per month, with a 3-seat minimum. It includes unlimited submitters and templates and teams, 200 requests per approver seat/month pooled, 10GB base storage plus 2GB per seat, and 3,000 pooled AI actions per seat/month. Basic analytics and email support are included. The seat minimum makes the effective starting commitment at least $36/month; pooled volume offers more headroom than Free, but teams with many approvers or high request volume should check their expected usage.

Business costs $25 per approver per month, with a 5-seat minimum. It raises the pooled request allowance to 1,000 per approver seat/month and includes 50GB base storage plus 5GB per seat, 5,000 pooled AI actions per seat/month, advanced analytics, and priority support. The minimum is $125/month, making this a better fit for larger teams that need the higher quotas and analytics than for small groups.

Platforms

Requester is offered on Android, iOS, and the web. Its mobile access is a progressive web app that can be installed on a home screen and receive web push notifications. The service is operated from Sri Lanka and offered globally; customer data is processed by service providers in locations that depend on provider regions and configuration.

Who it's for

Requester fits finance, IT, operations, and people teams handling processes such as purchase approvals, access requests, leave, vendor onboarding, expenses, and external intake. It is particularly relevant where conditional forms, multi-stage approvals, and an audit trail matter. Teams that need only a small number of forms or do not need approval routing may find its workflow and seat-based model more than they need.

Pros and cons

Pro: Multiple intake channels and conditional forms support different request patterns without forcing every process into one static form.
Pro: Quorum options and account-free external approvals accommodate both internal reviewers and outside decision-makers.
Pro: Detailed audit records and export options help preserve traceability and move request data out of the workspace.
Con: Paid plans require at least 3 Pro or 5 Business approver seats, so small teams face a meaningful minimum commitment.
Con: Free is capped at 50 requests/month, while paid request quotas are pooled by approver seat; teams need to match plan capacity to actual workload.
Con: Basic analytics start at Pro and advanced analytics at Business, placing deeper reporting behind the higher-cost tier.
