Overview

SpaceBasic is a campus housing platform for institutions that want to manage resident services and day-to-day operations together. It suits schools, colleges, and universities with multiple roles involved in housing; its breadth is useful, though teams should weigh plan fit and data handling before adopting it.

Alongside administrative work, the platform gives residents ways to manage everyday housing needs. SpaceBasic says more than 50 schools and universities use it, with 100k+ users.

Key features

Onboarding and room allocation

Onboarding tools aim to reduce paperwork through automated data entry and communication with incoming students. Room assignments can account for preferences, requirements, and availability, with real-time occupancy updates. Roommate matching and bed assignments make this more than a basic room register, particularly for campuses coordinating many placements.

Resident services and operations

Residents can submit leave requests, participate in community activities, and track daily attendance. They can also raise maintenance requests for staff to follow, while inventory tracking helps housing teams keep tabs on assets and supplies. These connected workflows are a strength for institutions looking to coordinate resident and staff tasks in one platform.

Check-ins, payments, and cafeteria

QR code check-ins and check-outs support occupancy tracking, and AI-enabled analytics add a reporting layer. The digital cafeteria handles menus and orders with cashless payments; integrated payments also support online rent collection. IoT device integration and software plug-ins are described, with Tally and Zoho named as compatible ERP systems on the hostel page.

Privacy and security

SpaceBasic says it does not sell personal data and does not collect or store credit card numbers or CVV information. Its stated safeguards include encryption, access controls, monitored hosting, and regular security reviews and audits. Data may be processed in the United States or other jurisdictions; the policy says it follows India’s DPDPA with contractual safeguards and retains data for the contract period, legal requirements, or legitimate business purposes. Institutions handling student records should assess those terms against their own requirements.

Pricing

The Free plan costs 0.00 USD per free and includes Excel uploads, cross-platform sync, task automation, unlimited daily check-ins, a resource library, and mobile app access. That makes it a low-cost way to start, but it does not include the Pro plan’s advanced collaboration, customizable dashboards, progress visualizer, priority support, version history, in-app mind mapping, or enhanced security.

Pro has custom pricing. It retains all basic plan features and adds those higher-tier tools, making it the more relevant option for institutions that need collaboration and security features beyond the free package. SpaceBasic offers a demo and a free trial, but no trial duration is stated; confirm the trial terms and Pro pricing with the provider before committing.

Platforms

SpaceBasic is available on the web and through iOS and Android apps. That combination gives staff and residents mobile access alongside a web-based service. Support is available by email at support@spacebasic.com and by phone at +91 88841 33362.

Who it's for

SpaceBasic is aimed at administrators, faculty, wardens, students, and parents in educational institutions managing student housing. It is a stronger fit for campuses seeking a broad set of linked housing workflows than for operators looking only for a narrow maintenance or reservation tool.

Pros and cons

Pros

Broad housing coverage: onboarding, assignments, attendance, leave, maintenance, inventory, cafeteria, and payments serve both staff and resident workflows.
Room allocation support: preference-aware assignments, roommate matching, bed assignments, and real-time occupancy suit campuses coordinating placements.
Free entry point: the Free plan includes mobile access, task automation, sync, and unlimited daily check-ins without a listed charge.
Stated safeguards: encryption, access controls, and security reviews accompany a policy against selling personal data or storing card numbers and CVV details.

Cons

Pro cost needs confirmation: custom pricing makes it harder for institutions to compare the advanced features against a fixed budget.
Trial duration is unclear: a free trial is offered, but the stated terms give no length, so buyers should confirm the evaluation window.
Cross-jurisdiction processing: data may be processed outside India, a material consideration for institutions with specific student-data requirements.

Alternatives

For a broader comparison, browse Student Housing Software.

Platuni Maintenance is the more focused choice when maintenance requests and basic work orders matter most; its free Starter plan covers up to one unit, while Growth starts at 1.39 USD per month with a minimum of 10 units. For reservation-centric operations, Room Choice offers web access and resident-paid plans tied to annual reservation volume, rather than SpaceBasic’s wider campus workflow mix.

Stayqa is worth considering for web-based property operations: its Growth plan is 999.00 INR per month for up to 10 properties and 100 beds, with payment collection, receipts, maintenance workflows, and staff management. Institutions seeking a sales-led student-housing platform can compare RealPage Student, which is paid and has custom pricing.

Yorlet is another freemium option with web, iOS, and Android access. Bedspace Manager is a paid alternative with a free trial and monthly plans capped by active leases: Starter is 15.00 USD per month for 30 active leases, while Growth is 45.00 USD per month for 90.

Housing.Cloud is a paid, web- and API-based alternative. For teams prioritizing screening, Ayillo Tenant Screening is a paid option with a free trial; its Core workspace plan is 49.00 USD per month, billed monthly per workspace, and includes the first five units.

Verdict

Choose SpaceBasic if your educational institution wants resident-facing services and housing operations—especially allocation, attendance, maintenance, cafeteria, and payments—in one web-and-mobile platform. Its free plan offers a substantial starting set, but institutions needing Pro capabilities should confirm custom pricing, and those with strict data-location requirements should review its processing terms carefully.
