Overview

For organisations that need hosted email on their own domain, Zoho Mail pairs mailboxes with team administration and migration tools. Its standout advantage is the range of controls and mailbox options across free and paid tiers; the central trade-off is that the free plan bars common synchronisation protocols.

Zoho Mail also brings calendar, contacts and files into its mobile app, and offers a 15-day trial. That makes it worth considering for small teams weighing a move to hosted business email, as well as larger organisations that need administrative safeguards.

Key features

Mailbox tools and AI

Zia can draft replies and summarise long email threads, while Zoho Mail MCP connects the service to AI apps. These features may help with routine correspondence, but they are secondary to the product’s core job: domain email hosting. For CRM work, integrations include Zoho CRM, HubSpot, Pipedrive and Insightly CRM.

The mobile app combines email, calendar, contacts and files, giving users more than an inbox in one place. A free migration tool can move emails, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers, a practical advantage for teams changing services.

Security and administration

TLS, S/MIME and AES-256 encryption at rest are among Zoho Mail’s security features. Its spam and phishing blockers target socially engineered attacks. Administrators get role-based access, custom security policies, audit logs and eDiscovery, useful controls for organisations that need to manage accounts and review records. Zoho says the service is GDPR compliant and has ISO/IEC 27001 and SOC 2 Type II certifications.

The pricing comparison lists a 99.9% uptime guarantee for plans. Paid plans include 24×7 support by email, phone and live chat, which is a meaningful benefit for teams that rely on mail for daily operations.

Pricing

Zoho Mail is freemium, with a 15-day trial. The free Mail Free plan costs 0.00 USD per free, billed forever, with no credit card required. It allows up to five users on one domain and provides 5 GB of mail storage per user. Its sharpest restriction is protocol support: IMAP, POP and Active Sync are excluded, so this tier is a poor fit for teams that need those connections.

Paid Mail plans are billed annually, with no monthly option:

Mail Lite 5 GB: 1.00 USD per month, billed annually, for 5 GB per user and a 250 MB huge-attachment limit. This is the lowest-cost paid tier for teams that want more client access than the free plan permits and do not need larger mailboxes.
Mail Lite 10 GB: 1.25 USD per month, billed annually, for 10 GB per user and the same 250 MB huge-attachment limit. The small price step over the 5 GB option makes it the more sensible Lite choice when users are likely to keep more mail.
Mail Premium: 4.00 USD per month, billed annually, for 50 GB mail storage and 50 GB retention storage per user, plus a 1 GB huge-attachment limit. It suits teams with heavier storage or attachment needs.
Mail Lite: 1.00 USD per year, billed annually, with 5 GB or 10 GB per user and a 30 MB attachment limit. The stated annual term and price differ from the monthly-priced Lite tiers, so confirm the intended option before subscribing.

Workplace bundles Mail with other Workplace apps and adds team file storage. Workplace Standard is 3.00 USD per year, billed annually, or US$4 per user/month billed monthly; it includes 30 GB mail storage per user and 100 GB team file storage for 3–10 users. Workplace Professional is 6.00 USD per year, billed annually, or US$7 per user/month billed monthly; it includes 100 GB mail and 100 GB retention storage per user, plus 1 TB team file storage for 3–10 users. These bundles make more sense when a team wants the other Workplace apps and shared file capacity, rather than mail alone. Workplace Enterprise has custom pricing. Its custom limits include virtual private cloud only for subscriptions above 100,000 users and pooled Mail storage only above 1,000 users.

Platforms

Zoho Mail supports Android, iOS, Linux, macOS, web and Windows. Its desktop app supports Windows 10 or later, macOS 12 or later, and specified 64-bit Linux distributions. Native mobile apps are available for iOS and Android.

Who it's for

Zoho Mail is best suited to businesses that want custom-domain email with account administration, security controls and a route to migrate existing mail. The free tier can work for a small group with modest storage needs, provided its one-domain, five-user cap and lack of IMAP, POP and Active Sync are acceptable. Teams needing larger mailboxes, larger attachments or retention storage should look at paid tiers.

It is less compelling for someone seeking only a personal email client: its core proposition is managed business email hosting, and its free tier’s protocol exclusions constrain how users can connect other clients.

Pros and cons

Pro: The free plan covers five users and one domain with 5 GB per user, giving a small team a no-cost way to use hosted business email.
Con: Free users cannot use IMAP, POP or Active Sync, limiting compatibility with other mail clients and synchronisation setups.
Pro: Migration can bring email, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers, reducing the work of switching.
Pro: Paid plans provide 24×7 support and a listed 99.9% uptime guarantee, alongside administrative and security controls.
Con: Mail Lite and Workplace annual prices have no monthly option; Workplace bundles offer monthly billing at higher stated rates.

Alternatives

Epistles Mail has a free tier for two connected accounts and a Pro plan.

Spike may fit small teams seeking a free team-oriented plan, with three members, one teamspace, 60 days of search history and 15 GB storage per member.

Verdict

Choose Zoho Mail if your business needs custom-domain hosting with migration support, mobile access and meaningful administrative controls. The free tier is useful for a small team that can live without IMAP, POP and Active Sync; otherwise, paid plans unlock a better fit for external clients and larger storage demands. Look elsewhere if you need a personal email client rather than a managed business mail service.
