Overview

GatesFlow QMS is cloud software for manufacturing teams that need to coordinate quality processes across products and suppliers. It is best suited to organizations managing formal quality records and workflows; its lasting free tier makes it possible to start without a subscription, but storage, programs and modules expand only on paid plans.

It brings risk analysis, submissions, inspections, audits and corrective actions into a connected system. The breadth is useful when quality work spans multiple stages, though teams seeking a focused document-control or audit tool may not need its full manufacturing scope.

Key features

FMEA, PPAP and corrective action

Design and process FMEA includes severity, occurrence and detection ratings, automatic RPN calculations and action tracking. That combination helps teams keep risk assessments tied to follow-up work rather than treating them as static records. PPAP tracking covers all 18 elements and supports multi-level submissions, a practical fit for suppliers handling layered approval workflows.

CAPA tools track non-conformances, root-cause analysis, corrective and preventive actions, and 8D reports. This makes the product relevant when a manufacturer needs to carry a quality issue from identification through documented resolution.

Audits, suppliers and traceability

Internal, supplier and customer audits sit alongside supplier scorecards, incoming inspection and supplier PPAP approvals. FMEAs, control plans and inspections can be linked to bills of materials, drawings and specifications, connecting quality records to product context. That traceability is a meaningful advantage for teams that need to follow requirements across the product lifecycle.

Compliance, AI and connectivity

GatesFlow is designed to support IATF 16949, ISO 9001, AS9100, ISO 13485, FDA 21 CFR Part 11, APQP and PPAP requirements. That makes it a candidate for organizations working within those frameworks, but software support does not itself establish compliance.

Autonomous AI agents analyze quality trends, predict failures and recommend corrective actions. Integrations include Microsoft 365, Google Workspace, QuickBooks, Plex MES, SolidWorks, Shopify, Anthropic, OpenAI, Gemini, Copilot and a REST API, among others. Enterprise connectivity includes bidirectional Plex ERP sync, connections to SAP, Oracle and NetSuite, legacy PLM integration, and SAML, OAuth and Active Directory. This range favors organizations with existing systems to connect, though the breadth may be unnecessary for a small operation with simple workflows.

GatesFlow states that it encrypts data with TLS 1.3 in transit and AES-256 at rest, and offers role-based access control and MFA. It also states a 99.9% uptime SLA, daily automated backups retained for 30 days, and point-in-time recovery. Existing customers can contact technical support 24/7 by email.

Pricing

The free plan costs 0.00 USD per free and is described as having generous usage limits for individuals or small teams. GatesFlow says it has no trial clock and requires no credit card, so it is a low-friction way to begin; teams that need more storage, programs or modules will need a paid plan.

Paid plans start at 20.00 USD per month and add more storage, more programs and additional platform modules. That entry point is suited to teams that have outgrown the free allowance, but the stated starting price does not establish the cost of a particular configuration. No seat quota or renewal term is given for the paid starting plan.

Platforms

GatesFlow QMS is a cloud service available on the web, with API access. Cloud deployment avoids a self-hosted setup, while the API gives organizations a route to connect it with other systems.

Who it's for

Manufacturers managing FMEA, PPAP, inspections, supplier quality and CAPA in connected workflows are the clearest fit. It is also worth considering for teams that need product-linked quality records, enterprise integrations or support for the named standards. A small team needing only document control or a standalone audit process may find the broader QMS unnecessary.

Pros and cons

Pros

Broad manufacturing coverage: FMEA, 18-element PPAP tracking, CAPA, audits and supplier quality share one quality-management system.
Product-to-quality links: Connecting analyses and inspections to BOMs, drawings and specifications supports lifecycle traceability.
Accessible starting point: The free account has no trial clock and requires no credit card.
Enterprise connections and controls: ERP, PLM, identity and API options are relevant to organizations integrating established systems.

Cons

Paid scope drives expansion: More storage, programs and modules are part of paid plans, so the free plan may not suit growing or complex deployments.
Starting price is not a full quote: Paid plans begin at 20.00 USD per month, but the listed starting point does not specify a configuration or seat allowance.
May be more system than some teams need: Organizations looking only for document control or audits may not benefit from the manufacturing-focused breadth.

Alternatives

For a dedicated document-control category comparison, browse Document Control Software; for a broader QMS shortlist, see Quality Management Software.

Ketryx is another freemium web option, with a free plan and startup and business tiers aimed at different company sizes. AssurX Document Management is a paid alternative with web, mobile, API and self-hosted platform options, but no free trial. QT9 QMS is a paid QMS with a free trial and broad platform coverage, including self-hosting; its annual licensing uses custom pricing based on users and deployment requirements.

Veeva Network MDM is another paid option. DocControl offers a free trial and paid plans starting at 49.00 USD per month for two users and 1 GB of storage, making it a more defined-price starting point for document management. Ideagen Internal Audit is a paid web option for readers focused on internal audit. QualiVault is a freemium web alternative. Intelex Inspection Management is a paid option with a free trial and mobile, web and API access; its Safety Essentials plan is 44.00 USD per year with a 25-user minimum.

Verdict

GatesFlow QMS is a strong fit for manufacturers that want risk analysis, supplier quality, submissions and corrective action tied to product records in one cloud platform. Its free account lowers the barrier to adoption, while its integration and traceability options give larger operations room to connect established systems. Look elsewhere if your need is limited to a narrow document-control or audit workflow, or if you require a fully specified paid quote before choosing.
