What AstuteWheel is
AstuteWheel is web-based financial planning software for client engagement, advice delivery, practice management, and business improvement. Its client portal supports collection of personal and financial information, messaging, and document sharing. More than 10 online questionnaires are included, and firms can make their own. Tools cover goal setting and tracking, values exploration, and advice scoping. The ADVISE product includes 20+ visual modelling calculators and comparisons of multiple cashflow scenarios. MANAGE provides CRM dashboards, client and compliance management, while its workflows and tasks remain in beta. IMPROVE includes workflow design, business and marketing plans, client segmentation, risk management, diagnostics, and succession planning. The software does not produce SOA or ROA documents, though calculator visuals can be copied into a firm's own advice templates. Xplan/Iress client data integration is in beta for IFA users with direct Xplan licences and is being rolled out to dealer group licences. Plans are billed monthly per user or practice, with listed prices ranging from free plus GST to A$500 a month plus GST; some subscriptions require adviser subscriptions.

The full review of AstuteWheel
AstuteWheel is a web-based financial-planning suite for advisers and firms that want client engagement, modelling, practice operations and business-improvement tools in one product family. It is best suited to Australian planning practices prepared to assemble final advice documents themselves. The core appeal is breadth across the planning workflow; the important limitation is that SOA and ROA documents are not produced in the platform.
Overview
Founded in 2012 and headquartered in St Leonards, New South Wales, AstuteWheel is designed for financial advisers and financial-planning businesses. Its separate ENGAGE, ADVISE, MANAGE and IMPROVE products cover information gathering, advice conversations, cash-flow analysis, practice administration and business planning. That range can reduce the need to stitch together narrowly focused tools, particularly for a practice that wants client work and internal operations in the same environment.
Advice-document production is the decisive caveat. AstuteWheel currently does not create Statements of Advice or Records of Advice. Users can copy calculator charts and other visuals into their own templates, but document assembly remains an external task.
Key features
Client engagement
The client portal handles secure collection of personal and financial information, messaging and document sharing. More than 10 online questionnaires are included, and firms can build their own questionnaire or survey. This supports structured discovery and ongoing client communication rather than relying solely on email and ad hoc forms.
Goals and modelling
Tools cover goal setting, goal tracking, values exploration and advice scoping. ADVISE adds more than 20 visual modelling calculators and lets advisers compare multiple cash-flow scenarios. Cash-flow, goal, tax, scenario, insurance and investment planning are all supported, giving advisers a broad basis for explaining trade-offs. The visuals are useful in meetings, but they do not remove the need for a separate advice-document workflow.
Practice and business management
MANAGE provides CRM dashboards, client management and compliance management. Workflows and tasks are still in beta, so firms that depend on mature process automation should confirm whether the current implementation meets their requirements. IMPROVE adds workflow design, business and marketing plans, client segmentation, risk management, diagnostics and succession planning, extending the suite beyond client-facing calculations.
Integration and security
Xplan/Iress client-data integration is in beta for independent financial advisers with direct Xplan licences and is being rolled out progressively to dealer-group licences. Compatibility therefore depends on licence type and rollout status. AstuteWheel's privacy policy describes password protection, firewalls, network security and restricted, monitored access, while acknowledging that internet transmission and server data cannot be guaranteed fully secure. Personal information is not disclosed to overseas recipients unless the person consents or the law requires it.
Pricing
All prices are in Australian dollars, billed monthly, and marked +GST. User plans are priced per user; IMPROVE is per practice.
| Plan | Price | What it covers |
|---|---|---|
| ENGAGE — Admin | free | Admin subscription; requires adviser subscriptions |
| ENGAGE — Adviser | A$300 a month | Client engagement; no modelling calculators |
| ADVISE — Paraplanner | A$25 a month | Requires adviser subscriptions |
| ADVISE — Admin | A$25 a month | Requires adviser subscriptions |
| ADVISE — Adviser | A$400 a month | Client engagement, advice delivery and modelling calculators |
| MANAGE — Admin | A$50 a month | Requires adviser subscriptions |
| MANAGE — Paraplanner | A$50 a month | Requires adviser subscriptions |
| MANAGE — Adviser | A$500 a month | Client engagement, advice delivery, practice management and modelling calculators |
| IMPROVE — Practice | A$100 a month | Business-improvement tools; used with the other three products |
The free-priced ENGAGE Admin, ADVISE Admin and MANAGE Admin entries are not standalone free editions: each requires adviser subscriptions. ENGAGE Adviser is the lower-cost adviser route, but omits modelling calculators. ADVISE Adviser is the logical choice for advice delivery and scenario work, while MANAGE Adviser is for firms that also need practice-management features. IMPROVE only makes sense alongside the product modules, adding a practice-level charge rather than replacing user licences.
Platforms
AstuteWheel runs on the web. No native mobile or desktop platform is identified.
Who it's for
Choose AstuteWheel if you run a financial-planning practice and want questionnaires, a client portal, visual cash-flow modelling, CRM and compliance administration, plus structured business-improvement work. It is particularly relevant to advisers who can maintain their own SOA and ROA templates and to firms willing to evaluate beta workflows and Xplan/Iress integration.
It is a weaker fit when automated advice-document generation is essential, when a direct Xplan licence is unavailable, or when you need a mature, fully established workflow and task system rather than beta functionality.
Pros and cons
Pros
- Broad practice coverage: ENGAGE, ADVISE, MANAGE and IMPROVE span client communication, modelling, compliance and business planning.
- Strong visual planning toolkit: More than 20 ADVISE calculators and multi-scenario cash-flow comparisons support clearer client discussions.
- Flexible discovery: Built-in questionnaires plus custom survey creation let practices shape their information-gathering process.
- Useful operational depth: CRM dashboards, client management and compliance tools extend beyond a standalone calculator.
Cons
- No SOA or ROA output: Advice documents must be produced in external templates.
- Beta dependencies: Workflows, tasks and Xplan/Iress integration are beta or still rolling out.
- Stacked licensing: Admin and paraplanner prices require adviser subscriptions, and IMPROVE is an additional practice fee.
- ENGAGE Adviser excludes modelling: Firms wanting calculations must move to the higher ADVISE tier.

Verdict
AstuteWheel is a strong match for Australian financial-planning practices that value an integrated client, modelling and operations toolkit and can handle advice documents outside the system. Its breadth and visual calculators are compelling; the missing SOA/ROA generation, additional subscription structure and beta-stage integrations are the reasons to choose another platform if document automation or mature connectivity is non-negotiable.
